About this ebook

The PRINCE2 (PRojects IN Controlled Environments) Exam is a de facto process-based project management method used widely throughout the United Kingdom and internationally, as well. This book is designed to help you learn more about the examination process, including test questions, so you can prepare for and pass it to earn your PRINCE2 certification.

Since I first started work in 2005 at a small West Coast tech startup company, I've made a practice of studying project management systems. Too often, I think, team members get caught up in the micro level of doing their individual tasks and fail to see the big picture. PRINCE2 is a powerful tool for ensuring that all the parts of the project development process work together to produce a successful result.

The PRINCE2 exam is challenging, but with hard work and confidence, you can master it. I hope this book will make your exam study experience a rewarding endeavor, and that it leads to a successful result on the PRINCE2 examination.

    Introduction

    What is the PRINCE2 Method?

According to the PRINCE2 Methodology, all projects should have:

An organized start: Don’t jump right into the project. Take time to discover what you need, how you’ll do it, and how long it will take. This will keep things running smoothly from the start.

A controlled middle: Keep the project on track—don’t stray from the plan. If you must stray, make sure it is controlled and organized, to keep you on point toward reaching the end of the project on time and efficiently.

A controlled and organized end: Don’t call the project finished just because you’ve gotten what you wanted. Make sure to go back and tie up the loose ends. Analyze the project to determine where the problems were and decide how to get through those problems more efficiently in the next project, to improve the process.

The PRINCE2 method accounts for the fact that many of today’s projects include several groups of people who are all involved in different stages of the project. This method provides common language all interested parties can understand—so there is no need for industry jargon to confuse customers. With this method, you can effectively and efficiently work within the bounds of your contract.

It seeks to help you address the six variables within any project:

    Costs

    Timescales

    Quality

    Scope

    Risk

    Benefits

    Project Management Roles

    Project Manager

This person is the one who assumes responsibility for making sure the project is organized and controlled at all stages. The Project Manager will:

Choose the people to do the work

Develop the project plans that detail what the project is, how it will be done, and the timeline for completion.

Maintain responsibility for making sure the work is done correctly and by the deadline.

    Customer

The person who is paying for the project. This person may also be referred to as the executive.

    User

The person who will be using the finished project, or will be affected by its outcome. In some cases, the customer and the user are the same person.

    Supplier

The person, or people, using expertise to do the actual work dictated by the project. This person may also be referred to as the specialist.

    Project Board

All projects following the PRINCE2 system will have a Project Board comprised of three parties: the customer, a user representative, and a suppler representative. Their titles are Customer, Senior User, and Senior Supplier, respectively.

The Project Manager will provide regular status reports to
