Task: Model the cost to students who are going on the visit.
1. You will need to gather information in order to do this (for example, the cost of transport, etc).
The first thing that i will be looking into is where or what attraction it is. By researching the venue
and contacting them i will be able to find out fees for the venue. This is important because if it
doesnt suit the funding we cannot go.
Also i will need to find out the cost of transport. This is important because i need to find a way to get
there and back. Obviously i will choose the cheapest method whether it would be by mini bus or by
train. I will also have to look into the journey times so i can find what the quickest way to get there
is.
I will also have to look into what the student will have for lunch and look into their dietary needs.
Finally the most important thing is the funding. I will need to research and look into how i will be
funded and work out whether student will have to pay some money for the trip or not.
2. The visit always includes lunch at the venues restaurant/caf.
For lunch i will need to gather the information on what restaurants or cafes that will offer the
cheapest lunch meal. I will also need to look into the students dietary needs and work out whether
these venues will meet our dietary standards .E.G. halal meals, vegetarian/vegan meals etc...
However if the school wants to provide the lunch it will be their responsibility to give the students
some options.
3. You will need to create the model and use it to try out various scenarios to keep the costs within
a certain amount.
To create the model I will need to use Microsoft excels. From here can use various formulas to easily
change any aspects to create my scenarios.
Resources Needed:
I will need many resources. I will need a Microsoft package which should include excel andand
others. I will also need a PC to put it all on and use it. I will also need access to the phone so i can
contact the venues and to contact a place to eat. Also i will need internet access if i need to send
email to these companies.
Time Needed:
I will need approximately 2-3 hours to do all the essential research to find the suitable venue and
assets according to the quality and what people want.

Task: Gather information about students who are planning to go on the visit.
Consider using a variety of methods of collecting data.
1. Use a data capture form
This method is used commonly. It often uses boxes to collect information easily.
2. Their personal and contact details
For the personal details I will need various information about the students. These include Full Name
(there may be more than one person with the same name), Telephone Number, Address, Emergency
Contact, Parent/Guardian details, Form Class and also GP name and Address. Maybe the personal
student contact number just in case if they get lost in the venue.
3. Information about access issues they have (for example, needing a wheelchair, etc)
If student need wheel chairs or crutches then i will need to research whether the venue has efficient
access for these people and make it easy for them. I can do this by contacting the agencies and the
venues to find out whether there are ways to access the venues.
4. Information about any medical conditions (for example, asthma, etc)
We need to ensure whether each of our students have any medical conditions and they should be
responsible for getting the correct medication. Some conditions include asthma which means that
they should have their inhaler and also if they have hayfever they should have the correct
medication.
5. Details about their parents/guardians (for example, address, etc).
We need to know the information of the parents/guardians because they may need to be aware if
they are in trouble. Also we need to know whether they would be in work if their child is in a state of
emergency.
6. You will have to find a way of collecting, inputting and storing this information.
There are many ways in which i can collect this information. One include paper form this is what
most schools find easy as a form is sent home and they can will it up by paper and pen. Also email
form is basically when the form is sent via email and is filled up electronically. Finally web form is
when it is willed up online and sent to school.

I will need access to Microsoft access database to store all the data. I will also need a PC to do it all
on and a printing machine to print out letters. I may need internet access if i want to send emails to
parents.
Time Needed:
This may take 1-2 weeks as i will need to print out or send it to parents and for them to fill up may
take time. Also to put it up will also take time.

Task: Contact Parents
1. Inform them of specific details about the visit (for example, when it will take place), so that
they are aware of what is going to happen.
I will need to write up a letter t letting the parents/guardians be aware of the trip. Information may
include meeting time and place, transport, price of trip, and any educational benefits. Also i can
include the duration of the trip and the duration of the journey. Also dates of the trip may be very
important. Usually the letters includes the permission for the parent is included where the
parent/guardian must sign.
Resources Needed:
I will need to use Microsoft word to create the letter and to easily create a header to make it look
professional. Also i will need a printing machine to print out all the letters.
Time Needed:
This may take up to a couple of hours to create the letter and to print it. To process it may take up to
a couple of days.

Task: Record the amount which each student has paid for the visit by the deadline date.
1. Produce a list of students who have not paid in full with the amount that remains to be paid by
the deadline date.
I will have to use Microsoft access in order to create a query. A query allows me to easily create a
way to show all the students who have not paid for the trip. To do this i will have to set criteria for
the people who have not paid and criteria for the people who have paid. This helps to easily
differentiate the students and sort them out. Then it may be advisable to convert it to a report form.
This will allow me to create a printable copy and it is a form of hard copy information.
2. If any student has not paid in full by this date, the organiser must be able to remind their
parent/guardian individually how much remains to be paid and that it has to be paid
immediately.
The query allows me to identify the students who have not paid for the trip. But to remind them a
good way is to send home a letter. I will do this by creating a letter using Microsoft word. From here
I can use a technique called mail merge which can automatically convert all the information need for
the letter for example name date and address. Ultimately this personalises the letters.
Resources Needed:
I will be using Microsoft access in order to create each of the queries and I will be using Microsoft
office to create each of the letters. I will also need a PC and a printing system to print out the letters.
Time Needed:
I may need 1-2 hours because i will need to create the query and to create copies of the letter.

Task: Generate lists to use both before and during the visit:
1. Firstly of students with access issues
I will have to use Microsoft access in order to create a query. A query allows me to easily create a
way to show all the students who have access issues. To do this I will have to set criteria for the
people who have access issues and those who dont. This helps to easily differentiate the students
and sort them out. Then it may be advisable to convert it to a report form. This will allow me to
create a printable copy and it is a form of hard copy information. This will mean that the school will
have extra information needed to organise the perfect trip for the students.
2. Then of students with a specific medical condition (each medical condition must be on a
separate list).
I will have to use Microsoft access in order to create a query. A query allows me to easily create a
way to show all the students who have special medical needs. To do this i will have to set criteria for
the people who have medical conditions separately for example people with hay fever or people
with asthma ETC. This helps to easily differentiate the students and sort them out. Then it may be
advisable to convert it to a report form. This will allow me to create a printable copy and it is a form
of hard copy information. Overall this will allow me to help suit the trip for the students with those
medical conditions.

I estimate that the time needed is about an hour to do all the queries.

Virus
What is the risk?
The problem that you could encounter is a virus. A virus is a piece of computer code that can be
reproduced by copying themselves to other files. They can cause damage to stored data or stop
programs running properly. Also as data can be lost the trip may have to be cancelled as a result.
How can I prevent the risk?
I can prevent this from happening by installing an anti-virus system and keep it updated. For
example Kaspersky or Norton. This will help you to be updated for any virus that could happen. Also
another way which will be useful is to create a back-up on a USB or on a cloud based website so you
are able to access it anywhere.
What problems have I encountered?
I have not encountered any problems as I have taken these precautionary measures that I have
mentioned above.
If the risk occurs, what can I do?
You can first go through some scans to check whether there are any viruses. If there was a virus and
any of your data is lost use the back-up data that you have kept. If you did install any anti-virus
systems it should be able to remove the virus for you.

Hacking
What is the risk?
Hacking is the problem when someone is accessing you computer system they are not authorised to
use. Also hacking is also thought to be a criminal offence. This can mean that others can easily steal
any data or modify it any way. Also they are able to delete any files that can be relevant to you. This
will mean that if any modifications happen like the price of the trip, the price may increase and
therefore may increase the chance of cancelation of the trip.
How can I prevent the risk?
A firewall can be used to prevent hacking. A firewall is a soft ware that limits the data that can be
sent to or from a computer, preventing hacking. This is very useful as it minimises the chances of
hacking. Also creating a back-up storage or file will be useful when the risk occurs.
What problems have I encountered?
I have not encountered any problems as I have taken these precautionary measures that I have
mentioned above.
If the risk occurs, what can I do?
If this occurs the best thing to do is to copy across all your back up data and continue from there.

Inaccurate Data
What is the risk?
Inaccurate data is when you are receiving or collecting data but you collect the incorrect
information. For example getting the pricing wrong for the travel fare. This will mean that the pricing
of the trip will increase so therefore you will have to tell the parents again. This will lead to more
confusion and also increases the chance of cancelations.
How can I prevent the risk?
I can prevent this by contacting the company by telephone and confirming the information that you
have. Also again create a back-up file.
What problems have I encountered?
I have not encountered any problems as I have taken these precautionary measures that I have
mentioned above.
If the risk occurs, what can I do?
If it occurs you can first contact all the companies that you are using and confirm things like timing
and pricing. This is very useful as you are always getting the most accurate information.

Lost Data
What is the risk?
Lost data can happen at any time. This is when you lose valuable information and resources. This can
happen anytime and is very common.
How can I prevent the risk?
You can prevent this by again creating a back-up file and by constantly saving you file to prevent
loosing it. Also by saving it on a USB or creating a could based file will make it easier to access it
anywhere.
What problems have I encountered?
I have not encountered any problems as I have taken these precautionary measures that I have
mentioned above. I have saved all mu work on a USB stick so I wont lose it. Also I have saved it on
my schools network facilities.
If the risk occurs, what can I do?
If this happens always first remember that you should have a back-up. Always remember to save
your work and them you should have it save in your folder.

I achieved this by using a specific program called excel to create a spread sheet and calculate the
costs for each variable including travel and accommodation. I also had to search up each of the
categories and find out the prices. I used the internet to search for it. I then calculated each of the
aspects in the 3 different ways. One for those looking for the best economical advantage also the
most expensive and also in between. With this information I was able to calculate each of the costs
by using simple formulas. This allowed me to work out 3 costs for each student. I used various
formulas to help me calculate the costs such as the sum of the trip for example =SUM(D5:D16)
worked out the total cost of everything and was useful as I was able to do it very quickly. This is why
I was able to finish by the due date as I did not encounter any problems. The decision that I made to
create three different models was beneficial as I was able to calculate a budget on the trip and 3
different tyoes of classes. The only problem was to choose the most suitable type of trip but I was
able to choose the average trip as it would suit all the students quality wise and fare wise.

I achieve this by creating a data form to allow the parents to enter details of themselves and the
student. I did this by going on Microsoft office and using a table to create a simple fill out form for
the parents to include all the information that I needed for my database and for the trip. This form
was at the end of the initial letter explaining the trip. It was useful as parents are able to look out for
the form and fill the form out. The reason why I chose a paper based data collection form as it was
the most traditional way and was the easiest way to collect all the data. The only issues were to
collect all the information on time and properly distribute it. This all together took 4 extra days in
processing all the information but to process it did not take much time at all.

I created the initial letter by using a normal word document. I had to include the basic information
such as the date and time of the trip. I also mentioned the place of the trip and any travel
requirements. I also included the time of arrival and any other requirements. I also used a letter
head which allowed the letter look very professional and very trustworthy. I also created a bullet
pointed itinerary of the day to further enhance the information on the paragraph above about the
trip. This was also good as I was enabled to go in depth about the trip also I explained to them the
pricing and was very effective and I also explained how the pricing was calculated. I used the school
letter head to allow me to show authenticity and It allowed parents to keep faith in the letter and
made it look much professional. I also used mail merge to easily take all the names and addresses of
those who have not paid form the database to the letter. I did not encounter any problems as I was
able to complete this task on time.

I did this by creating a database including all information for each student to allow me to add or take
away information. Also it allows me to record payments from each student. This also gives me the
access to their information including contact numbers and address to use if they cannot pay before
the deadline date. I can send out letter to those who have not paid by creating a report or query to
collect all the students who have not paid for their trip. This can allow me to use mail merge to
merge all the addresses and names together easily and send out the letters. The only issue was that
most of the students were not able to pay by the deadline date and had to contact parents to find
out whether their son will be able to go on the trip. Also for those who havent I had to remove them
of the database. This overall needed extra couple of days.

I achieved this by creating reports of each of the problems including access issues or dietary
requirements. This report produces a presentable version of lists that will be used. It makes it very
clear of each of the students requirements. This was all done on Microsoft access where I could
create the report and lists form the database with all the information about the different
requirements and other informations that is important. Overall there were no problems as I was
easily able to create the printable lists quickly and was able to complete by the deadline date.

2d Modelling withData

This folder has been given appropriate names as it only contains the 2d modelling with data documents. This
contains all the documents that are related to modelling. I have used a word processing programme as it was
the most suitable type to use. This is because I was only typing words without adding images. I was able to
easily structure my work on Microsoft word. I have also used a database to model the costs of the trip easily
by using suitable formulas. I have create one version of each of the documents as I was able to keep all my
information for the cost in one document and also I was able to record what I have done altogether in one day.

I will need to provide more information including location, time and date of the trip. This is essential to inform
them where their son will be going and letting them know when they will be going on the trip. Also most
importantly I have to specify the cost of the trip and the breakdown of the cost of the trip. Also to include the
deadline date for the payment is also essential so parents will know by what date to pay for the trip. Also I can
information whether for parents to pay a small deposit at the start which will mean that I will have 2 deadline

Paper Form
Advantages are that it is very easy to create. This is because you are just typing down each of the questions
that you require answers, you are able to easily print it and create copies. And other advantage is that you can
also keep a hard copy of the information which can be referred to if there are any mistakes
Disadvantages are that it can be easily lost by students. There is a sense of lack of communication between the
parents as the letter may not be received by the parent or guardian. Also it is very costly as paper can be used
up and ink can be wasted very easily and can be a huge waste of time. Also it is very time consuming for the
creator and the person who fills it out. Also the letter may not be received by the teacher on time.
E-mail Form
The advantages of e-mail forms include the certainty of that the form is sent to the parent or guardian. Also
that it is very easy to create and send to each of the parents and very time efficient. It can be saved as a hard
copy and can be sent directly to the receiver without any hassle. Also it gives the sense of good
communication between parent and teacher. It is also less time consuming and the form can be filled out very
easily. Finally it can be replied easily and quickly. It can also be validated and can make all the information as
accurate as It can be.
Disadvantages are that not each parent or guardian may not have an e-mail address this is a problem as them
attached form may not be sent it that person. Also it is cloud bases and not everyone has access to the
internet. Also the parent or guardian may not view the e-mail as them might mistake it as junk mail or may not
regularly use their email as a form of communication. Finally it can be sent to the wrong people it e-mail
address if each email address is not collected properly.
Online Form
The advantage of an online form is that it can be easily retrieved by the receiver on the school website. This
means that all the responsibility goes to the parent to go on the website to fill out the form. Also another
advantage is that it can be easily filled out with tick boxes and drop down lists. Also it can be validated and can
again make all the information as accurate as it can be. Finally it can include many required field warning
message. This is very useful as it can make the form filler aware of any missing fields.
Disadvantages may include the lack of internet access. This will make it impossible to fill out. Also the lack of
trust of a website may affect the people filling out the information as the data may not be received by the
host. Also the website may be blocked from the internet with again will make it impossible to fill out.
Decision
The decision that I have made is to choose the paper based form as it is the easiest to make and the school has
been using this method the longest. Also by weighing up both pros and cons of each of the different types of
form, it is visible that the paper based form is the best.

Review of Form
Overall my initial letter was set out in a very clear and sophisticated way. This is very good as parents
can easily understand what the letter is about and can easily and can fill it. It describes the whole
itinerary of the trip and explains where the student will go and leave from. It answers all the
necessary questions that are asked for the trip. The letter that was given out was a great success as
all of them were delivered to the parents and I got the number of responses that I was expecting. I
only had to resend one letter to a student as he had lost his letter. To improve this I could have
posted each of the letters instead of handing them out to the students to give to the parents as it
may not be safely handed to the parents. This is also a risk as it may end up in the wrong address.
Also I could have used the other types of form but this was the most efficient way of receiving the
information. Overall the form was filled out well by each of the families. I have had some students
who have paid a small deposit and others who have paid the full amount for the trip. It was very
useful to provide space for the family to state how much they want to pay and letting them have
free choice of how much they want to pay. The overall layout of the form is very self-explanatory
and that is what made it very easy for parents and carers to fill out.

A simple query is a query that searches using just one parameter. Queries just allow you to create
tables that only present the information that you want to present. This was beneficial as it easily
sorted out all the information an d put it into sections such as for those who have not paid for the

Mail merge is a technique that enables me write just one letter which they then use as a template.
Then I can take data such as names and addresses from databases and merge it into the template
letter. This was beneficial as I was able to create multiple letter in just a few seconds by using this

A report is a document (paper or electronic) that presents data in an easy-to-read, professional


format. Reports can be created within database applications such as Access. In this case the results
of database queries are presented in an attractive format, with headings, fonts and colours designed
to enhance understanding of the data. It is beneficial as it make the selected information much easy
to read make the information look very professional and presentable.
Creating report for teachers
Now I have to create many printed versions

order to create reports for teachers, we
must first go on Create, then click on
Report Wizard. This will then make a box

How many students are going?
I will be taking between 10-20 students. This is because I will be only using 1 teaching assistant with
me on the trip. Also it will be more suitable to take a few numbers of students as it will be it will be
too hectic and less mayhem. Also it will cost less money. It will cut the cost of the supply teacher and
it will be easier to manage the number of students if the numbers of students are kept down.
Where are the students going?
I will be choosing a trip that is local but very historical. I will be taking the students to the Olympic
park. Also it will be very educational and it will be very active. It will also be very good and very
educational. Activities can include badminton, cycling in the velodrome and just the general tour
around the park itself. Also it can be very useful for physical education.

What the transport costs will be?


The transport is very important as it will take the students from the school to the actual place. I will
look for the cheapest ticket prices and the quickest way there. I will have to look for whether there
are any discounts or whether it will be affordable for everyone. Also as underground can be used
there could be discounted prices if oyster cards are used.

What are the entrance costs?


The entrance costs are also needed but for this trip it will be free as its a park. But if activities are
done within the Olympic park therefore there may be a cost to this as these facilities are not for free.
This is very beneficial as this will bring the overall prices down and it will benefit all.

sandwich a crisp and a snack which should be enough for the children to last for the whole day. It

This show how much a budget trip would cost. This is the cheapest out of the three. I will be decreasing the
price of lunch to a very basic package and will be going for no prizes for each of the students after all the
competitions. This will lead it to become a very cheap and non-worthy trip. The price of travel will stay the
same as this is a fixed price by train and there is no other way to get there.
Prediction of results
My prediction is that the over price and cost for each of the students will be very cheap and the total cost will
be very cheap. I will predict it to be around or below 20 per student.

by increasing the lunch price which means that each of the students will have more for lunch and also have

Prediction of results
I will expect I to be a little more expensive than the other budget trip and should cost around 25.

Actual Results
The actual results show that it was around 25 and show that it was more expensive than the budget trip. I
have changed the price of food and therefore increases the quality for example Marks and Spensers food. Also
I have included prizes for the students.

This model shows the most expensive side of the trip. Here I have given them a full three course meal at a
restaurant and it is very expensive costing around 15. Also I have increased the quality of the prizes that will
be given to each of the students on the trip. The price of travel will stay the same as this is a fixed price by train
and there is no other way to get there.
Prediction of results
I will expect it to be very expensive as I will increase the quality of the trip. Around 35-40.

Actual Results
The actual results show that it is a little above 40 as I have increased the lunch quality by a lot and the quality
of the prizes for the students. Food would be in a local restaurant booking such as pizza express or others. Also
the quality of the prizes will increase.

Final Decision (based on the 3 models)


I will chose the average trip based on my models as it is priced friendly and will be affordable. Also the quality
is very satisfactory and is good enough for the amount of people that are going on the trip. The number of
students have been limited to 15 as it is the most affordable and gives a lot of value for what we have picked
for the 15 students who will be going on the trip. Also more parents may be willing to send their children on
the trip as the trip is not very basic but not too expensive and will be price friendly for every one.

Creating Database
I will be using Microsoft access as it is a
suitable program to create a database. It
is a type of database management
system.
I have created a new file and saved as trip
database as it is an appropriate name to
choose. I have also saved it inside a folder
where I can manage this file. It was
important to choose an appropriate
name as the name of the file had to be
linked to what I was doing or what the
document was meant to be.

Creating parent table


I have created a new table and named it
parent table as it will store the data for
the parents. This name was chosen as all
the parents details will be placed here.

I have now created all the field names


and have limited the field sizes to make it
suitable size for each of the characters to
fit in. AutoNumber is a type of data used
in Microsoft Access tables to generate an
automatically incremented numeric
counter. It may be used to create an
identity column which uniquely identifies
each record in a table.

Now to create the student table I had to
create another separate table. I did this
by going on the create tab and clicking on

Therefore the name that I have chosen
best suits what the table consists of.
Here you can see that I have created

appropriate data type and the correct
sized cell. This Boolean was used for the
field TRIP PAID FOR because there can
only be one answer to the field, whether
you paid for the trip or not. The AMOUNT
PIAD field uses a the data type of
currency as I will be using pound sterling
as the monetary value.

Creating Relationships
A relationship is basically making a link
between different tables and documents
together. To create this I had to go on the
database Tools tab and click on relationship.

Here I had to click on the two tables I will


want to add to link up together. This will be
the parent table and the student table.

Now that I have added both tables: on the


right hand corner, there is a tab named Edit
Relationship. Once selected, a window will
appear. Click onto create new... Another
window will open and this is where u will
input the parent table on the left side and
student table on the right and under both
choose Parent ID. Click onto create. It would
come back to the first window shown as the
print screen. At the bottom of the table tick
Enforce Referential Integrity. Referential
Integrity is a database concept that ensures
that relationships between tables remain
consistent.
Here you can see that I have got the two
tables shown here and I have joined them up
by creating a link between the two parent ID
fields together. This is because it will show
the same information and should be
connected together.

Creating Queries
Here I clicked on query design to help me
create the query that I want to make. Queries
help to select information from tables and
queries for specific purpose. This was useful as
I was able to group all the data together.
Here a widow should pop up showing what
tables you want to select and what tables for
the query to refer to. Here I clicked both
student table and parent table.

Here you can see that I have selected both and


a line is linking in both tables. This allows the
two tables to relate and link with each other.

surname, form class, and the main medical
condition. Here I also entered criteria to make
the computer aware what I want to search for.

Here I have placed a query on whether if all of my students have paid for the trip. Here I entered each of the
field needed and have entered the specific criteria on the field trip paid for. Obviously the ones that say yeas
should appear on the query after you click on run. This information was important as I was able to calculate
how many students have paid for the trip and separates those who have paid and those who have not.

Here I have created a query for the people who have not paid for their trip. This query was made by making the e
criteria NO and at the end a field for the amount due and wrote that it had to be at least 25.67. This was the total
cost of the trip per student. This was important as I was able to calculate those who have not paid for and
separate those who have not to those who have.

Creating report for teachers


Now I have to create many printed versions
of the queries. This is called the report. In
order to create reports for teachers, we
must first go on Create, then click on
Report Wizard. This will then make a box
appear in which the first stage is to click on
Query: Query Access Issues, then press
the button in which has a double arrow. I
was important to keep a paper copy as it
would be useful to copy to use on the trip.
Also as it would difficult to keep and
electronic device with us and it is easy to
keep and more traditional.

Then the next stage of the process will


appear in which will ask if you would want
to add any grouping level. You then just
continue clicking on the Next icon. This
will enable us to group all the data together.

Here, you are able to choose which sort


order you want for your records. As shown
on the record, Student First name has
been chosen because it is best suitable for
the table is that goes first.

I have chosen to use a very simple spreadsheet in order to create this model to work out the total
cost for each of the students. To get all the prices I used the internet to research and collected the
prices for a) transport b) entrance fee c) lunch costs d) cost of supply teacher e) other additional
costs. This enabled me to get a wide range of prices to give options to whether to have a very
luxurious trip but expensive or a very budget and cheap trip. I took all theses aspects together and
got a good average based trip. The price of each student will be on average price so it is affordable
and is very cheap. To get the total price for each aspect I had to multiply the price of each item by
the number of students that are in the trip. This will also allow as many students to come to the trip.
To work all this out I added up all the total prices for each the aspects to the trip and had to work
out the total price for each to the students. I did this by using the total of the trip which is 385.00
divided by the number of students which is 15 and that is what have me the prices fro each of the
students which was 25.67.

The decision that I have made is to choose the paper based form as it is the easiest to make
and the school has been using this method the longest. Also by weighing up both pros and cons of
each of the different types of form, it is visible that the paper based form is the best. I had to make
the decision between and email form, online form and paper based form. The decision that I have

I have created a data entry form. This form will allow us to make it easier to check up on each of the
students and shows all the parents details with it. I have been created in a way that make it look
very professional and sophisticated yet easy to interpret. It was very beneficial to make one as it
collects all the information together and puts it all in one form. This make it easy to access it and to
interpret this. This only took me a few minutes to make and this is how it looks (above). It gives
information such as where they live to their doctors name and number. It also shows it they have
paid for the trip of not. Overall this is a collection of all the information that I have collected for each
of the students.

Now to see whether each of the students have paid for the trip or not I have created a report to
check whether if any students have paid or not. The reason to run a report as it easily identifies any
students who have missed the deadline date and how much they have left to pay and the students
who have paid for the trip. Again it looks very sophisticated and professional yet it is very easy to
read off and understand. The main intention fort his is to keep and eye out on the students who
have not paid for the trip and produce a letter explaining to them to give the rest of the money or
they risk of their son not going on the trip.

After working out the number of students who are missing their trip money, I had to now create a
letter to explain to the parents why they have missed the deadline and create a new deadline for the
money to be paid in. again it includes the basic information of the trip but I have include a paragraph
at the top to explain to them that a new deadline date has been create to give in the rest of the
money. Of course if they dont give in the money before this day they risk their child not going on he
trip and also risk of no refund of the deposit that they have paid. I have used mail merge to merge all
the people who have not paid for the trip and merge it on to the letter. This allow me to combine all
the information including the address and the name of the parent so all the letter can be sent easily.

Model the cost to the students who are going on the visit.
Why was this important?
I had to create a model to show the costs of the trip. This was important because it allowed us to predict the
total costs for each student for the trip and enabling us to produce the best trip at the lowest prices.
How did you achieve this?
I achieved this by using a specific program called excel to create a spread sheet and calculate the costs for each
variable including travel and accommodation. I also had to search up each of the categories and find out the
prices. I used the internet to search for it. I then calculated each of the aspects in the 3 different ways. One for
those looking for the best economical advantage also the most expensive and also in between. With this
information I was able to calculate each of the costs by using simple formulas. This allowed me to work out 3
costs for each student.
How effective was your solution?
My solution was very effective as I was able to choose a trip that is very price friendly to each of the students. I
chose a trip that was cheap but not very cheap and includes the basic necessities. The spread sheet allowed
me to tabulate and calculate all the costs for the trip and this help me to calculate 3 different costs.

Why was this important?
I had to gather information for each of the students so I could plan a trip that is suitable for all students and
collect information for each of the students. Also it is useful as I can keep a record of each of the students
address or contact numbers if I need to contact them.
How did you achieve this?
I achieve this by creating a data form to allow the parents to enter details of themselves and the student. I did
this by going on Microsoft office and using a table to create a simple fill out form for the parents to include all
the information that I needed for my database and for the trip. This form was at the end of the initial letter
explaining the trip. It was useful as parents are able to look out for the form and fill the form out.
How effective was your solution?
This was overall effective as the form is very self-explanatory and easy to fill out. Also the presentation of the
form is very clear. I was also able to get a very good response from parents and was able to gather all the
information effectively and efficiently.

Why was this important?
I had to contact the parent and inform them about the trip. This was very essential as I had to give information
about the trip. Also it enabled me to inform them in a way that will not confuse any parents in any way. Also it
was a way to explain the main aspects of the trip and if there were any queries to the trip the parents could
consult to me.
How did you achieve this?
I created the initial letter by using a normal word document. I had to include the basic information such as the
date and time of the trip. I also mentioned the place of the trip and any travel requirements. I also included
the time of arrival and any other requirements. I also used a letter head which allowed the letter look very
professional and very trustworthy. I also created a bullet pointed itinerary of the day to further enhance the
information on the paragraph above about the trip. This was also good as I was enabled to go in depth about
the trip also I explained to them the pricing and was very effective and I also explained how the pricing was
calculated.
How effective was your solution?
My solution that I used was very effective as I was able to gain a very good response to it and also I was able to
explain to each of the parents each aspect of the trip in depth and the pricing in depth. I was also able to

It is important to have lists before and after the trip. This is because you have the record of any problems that
a student may have. We need it before the trip so we can make the trip very suited to each of the students.
Also we need it on the trip so the teachers can stay aware of each of the problems that they may face.
How did you achieve this?
I achieved this by creating reports of each of the problems including access issues or dietary requirements. This
report produces a presentable version of lists that will be used. It makes it very clear of each of the students
requirements. This was all done on Microsoft access where I could create the report and lists form the
database with all the information about the different requirements and other informations that is important.
How effective was your solution?
This was effective as I was able to create it in a few seconds really and was able to use it on my trip before and
will use it during the visit. The main purpose was to keep the trip suited to each of the students.

I would like to keep my work as it is as I have fulfilled this requirement as I have shows each of the three
different scenarios. Also I have created a model that looks professional and presentable. I have also showed
what types of formulas that I have used and by doing this I was able to explain each of the steps that I took to
create the model. Also what I have seen, I dont need to change what I have.

Collaborative work is when more than one person is working in a group with one common goal. This will be
essential as it is very time saving and sometimes improves quality of work. In this case it would be essential to

This student can improve on his letter itself. He could have expanded on each of the aspects of the trip and
given a full itinerary of the trip. Also this person could have used different forms such as email forms, or web
forms. This person also could have collected more information such as any medical conditions to the child or
any other information. Overall this person can improve on a lot of things to make it easier for this person to
gather all the information needed.
Would you change your own work based on what youve seen?
In some ways I can improve my work as I have just used only paper based forms. I could have used web forms
or email forms to try to get as many responses as possible. This is because many parents may not receive the
letter from their child. Other than that I have included any necessary information that will be needed for the
trip.

Collaborative work is when more than one person is working in a group with one common goal. This will be
essential as it is very time saving and sometimes improves quality of work. In this case it would be essential to

person has created a letter for the students who have not paid for the trip. This letter again highlights the key
aspects of the trip and it keeps the school in contact with the parents.
What elements can they improve on?
This person can improve on this by correcting his grammatical errors on the letter and also by further
explaining the trip and by adding an itinerary of the trip to go through each aspects of the trip. This person can
also improve on the structure of his letter. Overall this student has completed this task very well and has
completed all the basics to keep in contact with all the parents.
Would you change your own work based on what youve seen?
I would not change much as I have completed this task the best that I can. I can only improve it by correcting
any grammatical errors. Overall from what I have seen I do not need to improve it. I could have chosen much
better forms of communication including telephone or web based communications to parents but letter was
the best and most traditional way to communicate to parents.

essential as it is very time saving and sometimes improves quality of work. In this case it would be essential to
use collaborative working as one person may be creating the letter and again the other may be posting out the

They could improve on the design of the query. The students also could have added more information about
each of the student including the address and contact details so it would make it easier to contact them and

those who have not.
Would you change your own work based on what youve seen?
I wouldnt change much of mine as I have done what this person has done and used mail merge to efficiently
transfer all the data form database to the letter. This was used so I can be efficient in getting the letters
printed and sent out.

This student can improve on his decision on colour schemes as it is not as eye catchy. Also the font size could
have been improved. Overall again this student has done everything well and has completed this task.
Would you change your own work based on what youve seen?
I would not change what I have seen because I have done exactly what this task requires me to do. The only
thing that I could have changed is probably the colour scheme. I have explained why it will be needed and also
explained how it will be used.
