Executive Leadership:

Draft process for notifying the Board, MT and LT about the SitRep
One message for MT, one message for Board
Send email to Board when information has been collected and we know
how POL will be supporting
Share details about immediate roles for them, their companies or their
teams
Copy VP, Disaster Services
Direct Board and MT about who to follow-up with if there are questions
(probably not Colleen or Cameron if they are deploying)
Should have a template at least outlining the types of key information
to be included
Draft email to the Board
Dear Points of Light Board,
As you know, Hurricane Cameron has devastated many parts of the
Southeast, from New Orleans up to Raleigh. Points of Lights Disaster
Services team has been monitoring the storm and the impact and
planning our response activities, and we wanted to update you on what
has happened so far and how you or your companies can engage.
Current status of POL activities:
- Participating in national VOAD calls and has been in touch with CNCS
and the state commission in Louisiana, Georgia and North Carolina
- Outreach and ongoing communication with the three HandsOn
Network Affiliates in the affected region: HandsOn Jazz (New Orleans),
United Way of Hotlanta (Atlanta) and - Activate Good Sweet Tea
(Raleigh)
- Based on needs expressed by the Affiliates, have deployed resources
to support their local response, including: POL staff travel, connections
to local VOADs, support and deployment from the disaster crisis team
of Affiliate experts and ordering critical supplies such as personal
protective equipment
- Leveraging All for Good to post volunteer needs on behalf of Affiliates
in the region and direct volunteer desire to respond appropriately
- Posting and regular updating of a unified external message via all POL
and HON platforms so that volunteers do not self-deploy to the region
If your company may be able provide critical funding or in-kind
resources for these essential supplies and travel costs, please
reach out to Sandy Shaw at sshaw@pointsoflight.org for more
information.
Please send any questions to me and I will connect you with the

appropriate member of our team.

Best,
Amy
Draft email to the MT
Would pull many of these same details but would include specific
information about where support is needed from MT members and
their teams so all work can move forward (ie. giving Monique a headsup that Ops will be needed to order supplies, etc.).

Development:
Step 1: Participate in core disaster committee calls to understand
scope and needs.
Step 2: Understand unified external message
Step 3: Detailed list of whats needed = two kinds of asks:
1. Cash2. In-kindStep 4: Refer to disaster tracker list for corporations and foundations to
develop specific pipeline based on offerings and regional location
Step 5: Reach out to funders
Note:
Currently, there is allocation in disaster budget for deployment. If those
resources are exhausted, go to Delores Morton for additional funding
and she will reach out to Finance for expedited support
Development has no authority over operations and/or finance- all will
have to go through Delores.

Digital Role:
We receive the following from disaster:
1 - Disaster Page Name
2- Disaster Page Image
3- Disaster Page Description
4- Disaster Page Epicenter
5- Disaster Page Radius
This gets posted to AFG.org (http://www.allforgood.org/disasters)
An announcement is sent to HandsOn Connect Customers with
directions on what VO Name or Event Name words need to be
contained or to use the program area (local) or impact area (local) to
mark their projects for that disaster.

Phone script for Hotlanta:

Hello Colleen, this is Katie Stearns from HandsOn Network. First let me
thank you and your staff for the swift and coordinated response efforts
around Hurricane Cameron. We understand that that you have been at
the helm of receiving and coordinating spontaneous unaffiliated
volunteers for the metro area. We know your solid history managing
volunteers and volunteer projects, so you are certainly prepared for
this recent challenge.
I believe that you have spoken to someone from our disaster team
offering assistance to you during this time. As you may know, our
disaster team has extensive experience assisting Affiliates immediately
following disasters. Whether were able to send people, donations or
communications support, please know that we have your best interest
in mind and only wish to be a resource to you. Were aware of your
past experience working with POL after a local disaster and I would
love to hear more about your past experiences. Id also like to see if
theres any way we can help with your immediate needs and tap into
some of our national partnerships and relationships to help with what
youre doing locally.
(Then you let them talk)
(Make sure you leave the call with action items and make sure that
whoevers in charge does their due diligence and keeps Katie in the
loop)
