Overall Scenario
You work as a consultant for an IT company that specialises in maintaining
technology systems.
For this scenario, a client, Wrexham Employment, is a small company with
employees who use technology systems. The client is an employment
agency, placing potential employees into suitable job roles. They have two
banks of customers, prospective employers and their possible employees.
Their role is to match candidates to vacancies. They need to maintain client
data, have good communication systems and provide both sets of
customers with relevant information (both electronic and hard copy).

The client provided a brief for some work; you


developed an action plan to fulfil this brief and used
your practical skills and knowledge to complete the
work. Now this assignment asks you to reflect on what
the original requirements where, how the
requirements changed and what the consequences of
those changes are for the clients IT system.

Create a feedback questionnaire to present to the client about the
modified technology system. When preparing the feedback form include
details of how any constraints have affected the modified system. An
interview could be an ideal way of discussing the modified technology
system and recording the feedback but you must know what you will ask
in the interview and, therefore, need to have prepared the questionnaire
prior to the interview. Alternatively pass this form to one of your colleagues
to complete as the client.
This will require you to base a questionnaire informed by the original client
requirements. Just as an important reminder, the client didnt ask for his
fans cleaned, he asked for the his computer to stop randomly shutting
down. Think about it in those terms when asking the questions. Just using
this as an example.
As a good rule of thumb, one open question, one closed question for each
issue.

1. The CEOs machine had developed a fault and would randomly shut down, which
often left work unsaved.
2. Prior to this the optical drive had developed a fault and it was not possible to read
any data from its optical drive.
3. The CEO is unhappy with the time it takes for his machine to boot-up, open
applications and complete jobs. He would like to improve this performance.
4. They want to be able to scan hand-written documents into our computer
database.
5. They want to expand geographically and therefore need to upgrade our ability to
communicate to allow use of the internet for communications via e-mail and the
establishment of a web-site.
6. They want to be able to copy data from one optical disc to another to allow data
to be transferred to clients without excess paperwork.

Overall the client seemed pleased with the work done, although he did make some comments
on how it could be improved. For example, the computer speed isn't as fast as he wanted and
the disk write speed is slow, also a scanner is missed but overall the maintenance was well
done.

Task 3 (Outcome D4)


Use the review (from Task 2) as the basis of a short report to your manager
to evaluate your initial plans against the modified technology system. You
should justify any changes that were made and explain the rationale for
those changes. You should also give recommendations for at least three
improvements but do not need to implement any enhancements.

Some things were ok, but maybe could have been better, if you
need to, re read assignment 2, and see what you suggested and
what we actually didnt do.
Finally some things didnt happen at all, obviously it isnt your
company's fault that they didnt happen but they still need mentioning.
I am evaluating my initial plans against the plans that were carried out for
example, originally a scanner was asked to be installed so they could scan
handwritten documents into their database but i was not able to install a scanner
for the company as the budget was cut. they also wanted a webcam to expand
geographically and needed to upgrade, i was able to install the webcam and its
software but there were problems reported by the client that there was lag, to
solve this problem, maintenance was needed such as lowering the graphics
acceleration and lowering the cameras resolution, after the changes were made,
the lag was gone. In the original brief, a router was asked to be installed as
ethernet cabling was installed by a 3rd party so i was asked to complement their
work by installing a router, unfortunately this did not happen because of funds.
Also in the brief they wanted to be able to copy data from optical disks,
So i planned to install a new disk drive so installed a new disk drive, i also
optimized the drive with a disk cleaner, this meant the laser was clean and read
disks correctly. To keep up with the new brief, the client said the computer was
experiencing random shut down so to stop this from happening i cleaned the
fans and the surrounding area, we have since asked the client if the random shut
downs have stopped and he said yes. Also the client said he needed to run more
than one program at a time and that the pc boot up time was slow so to combat
that problem i installed a new stick of RAM, again i asked the client if this has
improved the problems of slow boot up time and being able to run more than one
program at a time, he said that its improved being able to run more than one

program but the boot up time could still be improved, to improve this, more RAM
would be needed. Also to improve the speed of the PC, hard drive optimisation
was needed, i had to uninstall unused programs, used the cleanup utility included
by windows, defragged the hard drive and used a anti-virus scan to clean any
unwanted virus, this now has made the speed of the PC improve. The client also
asked for more space to save his data, so to solve this problem i installed a new
hard drive. At first it didn't work but after looking at the connections and
correcting the cables the hard drive now works fine. To improve this system, i
think adding extra RAM to the PC would help as it would improve boot up time,
wanted by the client and would help with using more than one program at a time,
to also improve the PC, i would install a new fan in case of the maintenance not
being enough for the pc to stop having random shut downs, this would help the
PC cool down easier and quicker and means it wouldnt overheat, which would
stop the random shut downs. Another improvement i would make is that i would
install a new processor to cope with loads of programs being open at once and it
would help the computers speed as it doesn't have to take as long to process the
information needed.
