Partner Quotes is a self-service quoting solution and Customer Price Sheet generation tool for Enterprise Agreements and
Enterprise Subscription Agreements.
CREATING QUOTES
Quotes are created by
clicking on the Create Quote
tile on the home page, and
then working through the six
steps shown below to create
a quote.

The SET UP QUOTE step involves entering the


quote name, the quote description, choosing
the quote type, and selecting relevant current
agreements if applicable. Fill in the required
fields, taking note of the following:
Choose the QUOTE TYPE from the dropdown list: New, Renewal, Supplemental or
Supplemental True Up
Choose the ENROLLMENT TYPE from the
drop-down list: Enterprise, or Server and
Cloud Enrollment
Select the required CUSTOMER
ORGANIZATION by clicking on the Select
a customer button and then supplying at
least 3 numbers in the CUSTOMER PCN
or supplying the CUSTOMER
ORGANIZATION NAME,
COUNTRY/REGION and CITY

Build the Quote Team to include any people


in the partner organization who need to
work on the quote. This is how a quote is
shared with another member of the partner
organization

The CONFIGURE PRICE SETTINGS step is


where nearly all of the non-product-related
configuration of a quote will happen. The
organization type for whom the quote is being
generated, the effective start date, and the
channel model are just some of the settings
chosen during this step of the quote creation
process. Fill in the required fields, taking note
of the following:
Choose the PROGRAM from the dropdown list: Enterprise 6 (for perpetual
Enterprise Enrollment) or Enterprise
Subscription (for a subscription Enterprise
Enrollment)
Choose the LICENSE AGREEMENT TYPE
from the drop-down list: Corporate,
Government, or Local Government
Choose the CHANNEL MODEL from the
drop-down list: Direct to Reseller (for an
Indirect EA) or Direct to End User (for a
Direct EA)
Choose the PRICE LIST MONTH which can
be the current month, a month from the
previous 3 months, or the next month
Set the profile information which is a big
picture view for the entire quote. You can
include multiple profiles if you wish. You
allocate licensing numbers by product and
region in the Configure Products step
When filling in the number of
Qualified Users and Devices, note
that the price levels are not
calculated until the Configure
Products step when the Enterprise
Products quantities are entered
Quotes with a License Agreement
Type of Government may have
customized price levels, and the
price levels may be locked. When
the License Agreement Type is set
to Government, the Price Levels
section of the page becomes
editable

The SELECT PRODUCTS step is where the


products that will be part of the quote are
selected. Choose the relevant PRODUCT LIST for
the particular products that you want to add
for example, the Enterprise Products, and then
select the required products.
License types you will see include:
LSA - License with SA
USA Upgrade License with SA
SFA SA only
STA SA Step Up
MSU Monthly Subscription Unit

The CONFIGURE PRODUCTS step is where you


apply discounts and set the duration, quantity,
and usage country for all of the products
selected for the quote.
Discounts may be Standard or Yearly
Depending on the number of licenses
configured for a product, the product may
qualify for a better price than initially
established in the Configure Price Settings
step. When this happens, Partner Quotes will
notify you that product swapping has
occurred. When product swapping occurs, it
is important to use the Refresh option at the
top right of the screen to refresh the Price
Levels

The CREDITS step is where you apply SA credits


for customers based on current licenses and
contracts. Partner Quotes will apply credits to all
of the line items that are eligible and have
qualifying products currently in place.
Note that in order to configure SA credits for
a customer, you must have the agreement
number for the contract currently in place.

THE MY QUOTES VIEW

FINALISING QUOTES

The My Quotes section of Partner Quotes provides a single, convenient


location from which to manage all of your quotes. Checking the status,
viewing the comments and quote history, archiving old quotes that will
not be converted to orders or are no longer required, and resuming an
in-progress quote are all possible from the My Quotes view of Partner
Quotes.
You can search, sort and filter your quotes in this view
To remove a quote from the My Quotes view, select the quote
and choose the Archive Quote option
Use the Create a Copy option to take an existing scenario and
duplicate it; this is very useful when you want to model several
different scenarios for a customer
If you have been assigned a quote from Microsoft, you can use
the My Quotes view to view the quote and accept or reject it
You will also see when a quote has been approved by Microsoft
in the Approval Status column of the My Quotes view

The final process step for a quote is the FINISH QUOTE


process step. During the Finish Quote process step, the
system checks for errors, enabling you to generate your
quote documents.
Dealing with Errors
If errors are found, an error message will appear on the
Finish Quote page explaining the nature of the error. If
the error concerns incorrect information being entered
(product licenses below the minimums, for example)
you can return to the quote, correct the error and
generate your quote documents.
If the error has been generated because intervention
from Microsoft is needed (a request for a discount, for
example) then you should send this quote to your LSS
to continue working with towards approval (see flow
chart in the Working with Microsoft section below).

USER MANAGEMENT
As a User Administrator, you can use the Partner Quotes to:
Add new users
Manage the access levels
Edit or revoke access to existing users
Quote Documents

WORKING WITH MICROSOFT


If no customization, discounts, or error resolution is required, the quote should be
submitted as Final when the customer negotiations are completed and the quote is ready
for approval by Microsoft. Note that non-standard quotes, such as those with multiple
profiles or a quote with discounts, will need approval from Microsoft before a quote can
be generated.

You may choose PDF or Excel


formats for the quote
documents, and you can share
a preliminary CPS and PSF for a
standard quote with the
customer without needing
Microsoft intervention.

To submit a final quote:


Set the QUOTE STATE to Final
Provide the OPPORTUNITY ID (from
PSX)
Click the Generate button to send
the quote to Microsoft
When your quote is received by
Microsoft, you will receive an email
which you must forward to your LSS
to initiate the approval process.
Once approved, you may proceed
with the customer signature and
submission process
If you have submitted a quote to
Microsoft, but then realize that you need
to make some amendments to it, this is
only possible if the quote has not been
approved. Use the Reverse Finalize
option to do this.
You will see that a quote has been
approved in the Approval Status column
of the My Quotes view.
