Business Letter, Memos, and Short Report Business Letter Business letter is one from which receiver will

provide awaited reactions. A business letter conveys three types of news: bad, good, or persuasive. Good news letter is one that interest readers such as inquiry, request, acknowledgement, or introduction. Meanwhile, bad news letter is one that irritates readers such as refusal for orders, credit, or adjustment. Persuasive letter is one that convinces reader to take actions such as sale letter or collection letter. A good letter contain seven essential parts such as senders address, date of sending, receivers address, greeting, content, complimentary close, and signature. Whereas other parts such as subject and attention line, reference, enclosure, etc are optional. Writer has two options to arrange the information on page. The first one is full block layout in which all parts, but subject line could be centered, is blocked to the left margin. Business letter applies the plain English writing style whose characteristic is clear and concise. This style uses you approach that attempts to speak personally with the readers. To write an effective persuasive letter, writer must define which appeal dominates the letters. For instance, the letter can trigger feelings related to sense, intelligence, or status and respect. AIDA - attention, interest, desire, and action - indicates steps to write a persuasive letter. A persuasive letter attempts to catch attention of their target group. Throughout the letter, the readers feel enthusiastic and willing to take recommended actions. Memos Memo is an internal written communication that used to explain, announce, or confirm information. They are similar to business letter, but shorter and simpler. Compared with business letter, memo is much more economical due to approaching a large amount of receiver. However, it cannot take immediate response. To write an effective memo, ones have to clarify its purposes: introduction, request, announcement, transmit, authorization, or confirmation. Then, they write it simple as much as

possible based on selected information. Moreover, a suitable tone is essential to stimulate receiver read through it. Short Report A report is an objective writing on specific subject. If ones want to write a report, the first question they should ask themselves is what is it for. A report with clear purpose is readable and understandable. Then, they consider the knowledge and background of their target audience to determine an appropriate language and writing style. Afterwards, they indentify, collect, analyze, and organize information. Depending on the purpose of report, information could be order directly, indirectly, or routinely. Moreover, the report can be formatted in forms of a formal report, a letter, or a memo. There are four types of short report: justification, progress, periodic, and incident. Justification report seeks permission for suggestions; therefore, it present ideas with supporting evidences in indirect orders to show that suggestions are suitable. Progress report indicates how far they have gone with the project, schedule, and work. Periodic report is written regularly while incident is written non-routinely.
