7. Functional Attributes a. Manpower Requirement Planning


Farvision ERP enables capture of information of manpower requirement by division, grade. (The Levels division, grade etc. can be user defined). For each division and combination, position required can be accepted and system keeps track of positions filled against each division, grade when the employee is created, transferred etc.

b. Position Management
Farvision ERP enables capture of details of each position required in the company. The information likes job title, job grade, division, department, section, sub-section, job description etc. can be captured.

c. Advertisement
Farvision ERP enables capture of advertisement details like date of advertisement , country advertised in , media in which advertised , qualification required , details of contact person , cost of advertisement etc. System maintains records of budget for advertisement and actual against the budget.

d. CV Details
On the basis of advertisement, Farvision ERP would enable capturing CV details from various candidates. The information like full name of candidate, short name, address, sex, martial status, job applied for etc. can be captured. System enables user defined formats for CV i.e. user can have facility to capture experience of candidate, training attended by candidate, languages known by candidate etc. For each of these, user can define the contents like, previous company name, address, duration of work etc.

e. Interview
Farvision ERP enables tracking of multiple stages of interview i.e. calling a candidate for an interview, sending rejection/selection/hold letter. The format for each of this letter can be user-defined.

f. Recruitment Offer
On the basis of CV Details and selection in interview, system enables capturing information for recruitment offer and sending recruitment offer letter to candidate.

g. Confirmation of Appointment
On the basis of recruitment offer, a candidate then would confirm his appointment with the company. Farvision ERP enables capture of information like contract sign date, date to start work etc. Employee code is assigned to the candidate at this point in time and an employee is created with all the information captured in recruitment offer.

h. Creation of Employee
Creation of new employees can be on the basis of confirmation of appointment or can be direct.(without recruitment process in case of existing employees). Farvision ERP enables capture of information like employees name, short name, long name, position, personal grade, Job Title, division, department, section, sub-section, location, cost centre, nationality, religion, date of joining, probation period, contract type, contract validity period etc.

i. Employees Personnel Information


Farvision ERP enables to capture of employees personnel information like employees next of kin, address of next of kin, present & permanent address, telephone, fax, pager, and mobile details. Information likes experience, training details, etc. Can also be captured if not already entered in CV, Recruitment.

j. Employees Document Details


Farvision ERP enables capture of details of employees documents viz, Passport, Driving license, Visa card etc. Information like issue date, expiry date, place of issue, can be captured. System enables printing of expiry report based on above information.

k. Employees Family Details


Farvision ERP enables capture of details of employees family members. details like name, relationship with employee, dependent Y/N?, birth date etc. Can be captured. Document details of family members also can be captured.

l. Confirmation after Probation


Farvision ERP enables capturing of employees confirmation details for the employees who are on probation. System intimates report for the list of employees to be confirmed during a month. Information like date of confirmation, appointment allowance applicability can be captured.

m. Promotions
Farvision ERP enables capturing promotion details of an employee. The personal grade of an employee would change when promoted. Also, the salary would be revised, employee would be transferred to new position, contract type also would change.

n. Transfers
Farvision ERP enables transfer of an employee to new position or new division or new department or new location or new cost centre or to new company within group of companies. Employee when transferred, his/her contract would change. System enables processing of end of service benefits when transferred to the new company of a group.

o. Change in Contract Type


Farvision ERP enables capturing of information of new contract details of an employee when existing terms in contracts are changed. Information like new contract type , validity period, renewable etc. Can be captured.

p. Leave Planning / Vacation Schedule


Farvision ERP enables capturing of information of leave planning for each employee for the year. Information like type of leave, start date, end date etc. can be captured.

q. Leave Application & Leave Balance Tracking


Farvision ERP enables tracking of various type of leaves viz Annual Leave, Sick Leave, Maternity Leave, Casual Leave, Emergency Leave, Compensatory Leave etc. System enables facility for individual employee to apply for his/her leave , which can be further , processed for leave salary payment (in case of annual leave, maternity leave) based on approval by management. System automatically tracks leave balance when employee proceeds for leave and gives warnings subsequently when applied for leave next time if there is no leave balance.

r. Leave Resumption
Farvision ERP enables capturing of prior or later resumption of duties. Leave balance & Leave payments are automatically adjusted depending on excess/less days.

s. Leave Cancellation
Farvision ERP enables cancellation of already approved leave. Leave balance & Leave payments are automatically adjusted.

t. Loan / Advance Tracking (Application , Suspension, Re-Payment)


Farvision ERP enables capturing of loan/advance application, payment to employee, monthly loans deduction installments amount and subsequently loan/advance re-payment.

u. Cost Centre Wise Budgets

Overview of Creation of Employee Master Overview of Salary Processing 1. Introduction
Farvision ERP calculates payroll for daily paid employee (labor) as well as monthly paid (management) employees and caters to overtime pay calculations as per the local labor laws. The system also caters to various leave categories and tracks employee leave depending on his category and also caters to the requirements of leave pay passage. Farvision ERP provides for automatic generation of journal vouchers for finance department. Farvision ERP gives you the flexibility to select employees for payroll processing for the month and provides for exception reports. The benefit is, if an employee leaves the company / is terminated. In the middle of the month, you have the option of processing only his payroll for final settlement, Instead of waiting till the end of the month to process his settlement with the normal payroll run. Farvision ERP provides the option to print pay-slips for employees as well as bank transfer letters. Farvision ERP also keeps track of employees personnel details such as Passport, dependents passports, visas, leave facilities, salary benefits, allowance, attendance details, overtime etc. The Payroll Module provides complete and flexible methods of managing your payroll calculations. As with other modules, this module is integrated with the Farvision ERP General Ledger and Budgeting module and offers majors advantages in improving payroll calculations.

a. Definition Of Applicable Earnings / Deductions


Systems enables defining earnings/deductions at grade, job title etc. level which can further be referenced at employee. The level (i.e. Grade, Job Title etc.) can be user-defined. The earnings/deductions heads, currency in which amount to be paid, foreign currency amount, local currency amount can be specified.

b. Salary Change Due to Promotions/Transfers/Contract Type Change


When an employee is promoted or transferred or when contract type of employee changes, his/her salary would also change. System enables capturing of salary revision information while capturing information about promotions, transfers or contract type change.

c. Salary Revision
System enables capturing revision which would not be as a result of promotions, transfers etc. But which could be based on management decision to change the salary.

d. Attendance
System enables capturing attendance information for all the employees. The payments for all variable earnings/deduction are done as per the number of days the employee is present. Payments for all fixed earnings/deductions are done for the complete payroll period in spite of any number of days of absenteeism. System also facilitates generating attendance records automatically for monthly paid employees where only the required details can be changed.

e. Overtime
System enables capturing of overtime information for the employees. System facilitates overtime payment in the current processing period or in the next processing period based on company policy for overtime payment. System facilitates user-defined overtime rates specifying minimum hours criteria & maximum hours in a month ceiling.

f. Leave Salary Payment


System enables payment of leave salary based on leave period approved by management. System also caters to adjustment of leave salary in case of leave cancellation or prior/later resumption then the date of expectation of resumption.

g. Non Monthly /Adhoc /In-kind Payments


System enables capturing of information for payments done for quarter, half year or for annual for any user defined period. (E.g. Housing allowance can be paid to employee for year or for six months etc.)

h. Adhoc
System enables capturing of information for payments done adhoc which are not part of payroll but can be as a result of reimbursement of petty cash voucher etc.

i. In-Kind Payments
System enables capturing information for payments done in a form of In-Kind. These payments are not part of payroll but are captured in the system for information purpose.

j. End of Service Benefits


System enables calculation of end of service benefit for the employee based on his joining date and end of service date. End of service can be as a result of termination, resignation, death, retirement etc.
