GENRAYS HRIS PROJECT TEAM ORGANIZATIONAL CHART

Project Sponsor The project sponsor (PS) is from upper management and demonstrates great interest in the outcome of the project. The project sponsor is responsible for securing spending authority and other resources needed for the project. The project sponsor has a highly vocal and visible role in the project, legitimizes the projects goals and objectives, staysup-to-date of key project activities, and is an important decision-maker for the project. The project sponsors role also includes participation or leading project initiation and the development of the project charter. He or she will also have a high level role in the projects planning stage and the development of the project initiation plan. The project manager receives tremendous support from the project sponsor; the sponsor assists with major issues, policy conflicts and removes obstacles. The PS has an active role in planning the project scope, confirms scope changes, approves major deliverables, and signs-off on approvals to proceed to each succeeding project stage. Due to the scale of the HRIS project, the project sponsor will chair the advisory committee and has the power to delegate responsibilities within or outside the project team. Project Manager The project manager (PM) is responsible for making sure that the project team plans and completes the project. The PM will collaborate with the team to develop the project plan and oversee the teams performance of various project tasks. The project manager also has the responsibility of securing acceptance and endorsement of deliverables from the project sponsor and the organizations various stakeholders. The project manager also handles communication; this includes status reports, risk management and escalation of matters that cannot be resolved by the team. The project manager also has the task of making sure that the project is delivered within budget, on schedule and within scope. The project manager is an individual who was initially involved with the project and has been moved into the project management role. This person brings excellent knowledge of the organizations mission, processes, and needs and with a management background, he has a powerful set of skills that will benefit the project. Advisory committee The advisory committee assists the project manager with the planning and implementation process. The advisory committee is made up of the project manager, the senior-management member (CEO) who is the project sponsor, and several other lead employees from the involved areas in the project. Also on the advisory committee are HR functional experts, who will use their expertise about what HR data will be needed, how process maps are to be interpreted and what data/information is crucial to the decision making process, to ensure the projects success.

The advisory committee has three main purposes. First, the group works under the direction of the project manager to determine the project scope, which will be arranged through the development of a project charter. The second role of the advisory committee is to build a change management plan. The third critical role of the advisory committee is to provide assistance to the project manager especially with regards to decision-making. Once a set of initial planning decisions is finalized, the advisory committee will work with the project manager to develop the project charter. Research Team This team will be instrumental in finding different HRIS vendors. They will be tasked with identifying the appropriate software package based on clearly defined specifications from the project sponsor and project manager. They will also be responsible for finding information from past projects that can assist the project team in carrying out the successful planning and implementation of a new HRIS system. Important information from similar past projects within or outside of the company should also include potential risks, pitfalls, cost effective measures and a general sense of what the project team should or should not do. The research team is extremely important since they are a prime source of information for the project. The information that they can provide is valuable and has the potential guide the project team towards successfully completing the project with more ease. Development and implementation The design and development team will be instrumental in the setup and implementation of HRIS system. The development and implementation team will work with the project manager to complete the actual software implementation. This team has a good configuration of both functional and technical personnel. The functional team member is from the HR department and has technical proficiency and is a noted technology power user. The technical personnel are skilled and knowledgeable in the development and installation of software packages and will work with the HR specialist in regards to the interpretation of HR processes and terminology. The development and implementation team reports to the project manager. This team will also work closely with a vendor representative on a regular basis. This will ensure that they are making maximum use of the softwares features and also be a source of knowledge and troubleshooting to ensure a smooth HRIS system implementation.

Testing The testing team will carry out several different tests on the new HRIS before it can be made available to everyone. The team will conduct tests such as server stress tests, software functionality tests, black box testing and integration testing. Since this testing can be an exhaustive process, members from other teams, especially the HR specialists will take part in the testing process in an effort to cover as many angles as possible. These team members will be given the necessary access to the system. The discoveries that are compiled by the testing team will be forwarded to the project manager who will work with the development and implementation team to fix any bugs or change features within the system. Training Although the new HRIS will be quite user friendly, it still has to be managed information has to be entered, removed and/or changed. Members of the HR department will need to be trained on these various tasks, so that the HRIS can be utilized to its full potential. Management will also need training since they will also be utilizing the system for upper level tasks such as generating reports. The training team will collaborate with the development and implementation team to set up training sessions and related training documents to facilitate this endeavor. Documentation This team will gather and store important information from the project.They will document working notes such as milestones, tasks, issues and ideas that come up while the project is ongoing. They will also help manage documents such as the project plan, organization structure, schedules and technical documents. The documentation team will also manage information gathered during the development, implementation and testing phases this will include known bugs, fixes and system specifications. This team will also have access to training materials developed by the training team. The documentation team will be responsible for compiling and archiving important information after the HRIS has been successfully installed and all reports are submitted.

Team member recommendations Advisory committee Cameron (Accounting) Cameron is a prime candidate for a position on the advisory committee for the HRIS project. Cameron previously was the team lead to define and implement the finance and accounting portions of the centralized system for finance, purchasing, logistics, and accounting at GenRays. He was also in charge of payroll at prior position. This type of experience will make him a valuable addition to the advisory committee; helping to define and implement a prior centralized system has provided Cameron with a great deal of knowledge that will be beneficial to the implementation of the new HRIS system. Cameron can use his expertise to identify important issues and his team leadership experience from a successful project can help steer the HRIS project team in the right direction. Research Jayden, Research With 20 years worth of experience working at GenRays and being a senior in the research department, the research team is an ideal location for Jayden. In the past, Jayden created a series of e-forms for the research team to enter information for the research projects for recording in the database system. This level of expertise and creativity will make him a valuable member of the research team; the ability to effectively research and document much needed information can help the project tremendously. Development and Implementation - Ashton, Design & Technical Support Ashton has always been helpful to those in the office by providing technical support and has a master's degree in engineering and computer science. He also has 20 years of work experience at GenRays. With so much technical expertise, qualifications, and familiarity with the GenRays business culture, Ashton can be a versatile and effective member of the development and implementation team. By applying his skills and collaborating with other team members, he can help tremendously in the design and installation of the HRIS and can impart valuable knowledge to other teams. Testing Rylee, Plant Manager, Site 1 Rylee oversees more than 100 employees at Site 1 and has more than 10 direct reports for performance assessment and was also part of the team to define and implement the centralized system for finance, purchasing, logistics, and accounting at GenRays. With a large employee base, Rylee is a prime candidate to be part of the testing team. By utilizing the new HRIS at his plant with a proper amount of users, the testing team can test the functionality, effectiveness and limits of the new system. His recent experience in the implementation of a centralized system will provide the team with valuable insight and knowledge. Rylees 24 years

of work at GenRays means that he has an understanding of the workings of the company and has experience with HR systems. Training Alex, Human Resources, HQ Alex currently manages the GenRays training record and tries to record certifications the employees have gotten on their own and was also part of the team that defined and implemented the centralized system for finance, purchasing, logistics, and accounting. With experience in training, Alex would be good fit for this project area. Also, with prior experience in another GenRays integrated system, he has experience in the area of using new systems and would be instrumental in passing on knowledge on how the new HRIS system and its functions. Documentation Chase, Stores and Materials Chase is great at documenting and recording information. He currently manages the inventories of the materials in a database system and also was part of team to define and implement the centralized system for finance, purchasing, logistics, and accounting. Chases successful management of inventory through database records will help him in an important role of managing information gathered during the planning, development, implementation and testing phases of the HRIS. Chases 14 years of work experience also show his level of seniority and potential wealth of knowledge.
