Description: The Executive is responsible for all administrative duties for senior executives. Makes Administrative decisions, handles correspondence, maintains files, makes appointments and serves as a Liaison with the public as required. Handles details of a confidential and critical nature. Conducts Her/himself with the highest degree of dignity, professionalism, and interpersonal effectiveness while

exercising sound judgment. May have some project administration responsibilities.

Organizational Structure: Reports to the Human Resources Manager

Specific Responsibilities: Provide day to day administrative and project support to the CEO, CBO and CFO and manage special projects as assigned: Interact with senior executives, legal counsel, customers and vendors, potential consultants and corporate partners with a high degree of professionalism Make high-level contacts of a sensitive nature inside and outside the company Arrange complex meetings, including board meeting packages, and handle all other meeting material preparation and logistics Process expense reports and assist with invoices for meetings and events in a timely fashion Efficiently manage large copy jobs and scanning of documents for due diligence projects Contribute new ideas that help efficiency/integration/revolution of the companys efforts drive

Prepare presentation materials, cover/introductory letters, contracts, and other business documents Timely update contracts databases and file documents

Effectively support and back up other administrative assistants, especially for high priority meetings, deadlines and deliverables. Gather all information to complete agreement templates Anticipate a variety of needs and problems and proactively suggest approaches and solutions Demonstrate a sense of urgency, initiative, responsiveness, and attention to detail Routinely handle internal and external inquiries by screening calls, answering questions, and redirecting to appropriate personnel. Coordinate domestic and international travel arrangements for company executives as well as advisors, consultants and other team members as necessary. Manage executives calendars, conference registration and arrangements. Create and maintain Annual Conference Calendar Special projects and other duties as assigned

Requirements: BBA or BA/BSc degree is preferred with a minimum of (8) eight years executive level support experience preferably in the field of biotechnology and/or pharmaceutical research and development Recent experience with a smaller entrepreneurial environment is a definite asset. Excellent problem solving skills, analytical thinking, and visionary skills necessary to grow a company are of major importance. Excellent command of English Grammar and business writing Experience with Legal correspondence and filings 2 of 2
