Client wanted all the prior year transactions to be reconciled to ensure accuracy and also undertake reconciliation on an ongoing basis in a consistent, reliable and cost efficient manner

Case Study: Process redesign


TheChallenge
The Clients bill collectors normally collected payments from customers (cash /check) and were issuing manual receipts. When the receipts were accounted, these were applied against invoices on FIFO basis leading to problems in reconciliation of customer accounts. This often lead to arguments between the clients sales, collection and the accounting team. There also existed a possibility of pilferage / loss of money collected in cash / check

ClientRequirement
The Client wanted to establish a proper flow of information between collectors, accountant and the sales team. They were focused on accounting the receipts properly and ensuring a proper system of follow up on uncollected money. They also wanted to ensure that the manual receipts were not misused and the money collected flows to the company coffers without loss of time and information. The Client is on a Tier 1 ERP platform

Treeline worked closely with the clients accounting, operations and IT team and came out with a process redesign within the ERP, meeting the clients requirements: Manual Receipt Book Issue was automated Receipts data entry will emanate from collectors and flow through to the accounting. This will ensure that the invoice application is based on customer inputs The modified process enabled everyone to identify the status of receipt at any point in time and also provided an acknowledgement of receipt by the accounting through the system
