Internship Guidelines
An internship is an opportunity for a student to gain practical experience in a real world setting under the guidance of a knowledgeable, experienced, and successful supervisor. The internship can be established in any setting in which information is gathered, stored, managed, retrieved, and disseminated. Normally, the internship is completed by the student for the purpose of earning academic credit only. Internship is one of the on-the-job training methods before employment to acquire and impart practical skills and knowledge to the students. Student internships provide opportunities for students to gain experience in their field, determine if they have an interest in a particular career, create a network of contacts and gain university credit. Some interns find permanent, paid employment with the companies in which they interned. Their value to the company may be increased by the fact that they need little to no training. Objectives of Internship The main objectives of an internship include: To provide a platform where students can gain practical exposure of a corporate environment and systems. To provide hands-on-experience to students and provide exposure to practical aspects in various functional areas; To manage expectations and groom students for the responsibilities and challenges of the corporate world, and To provide a recruitment pipeline to prospective employers, if they find the interns performance during the internship to their satisfaction.

Time Frames The students are required to undergo an internship programme in Industrial Organizations in the VI Trimester MBA for a period of 10 weeks. They have to comply with the following guidelines and familiarize themselves with the following aspects. Normally, the internship is for a duration of one trimester, approximately 10 weeks and is held in the 6th Trimester (ie. January through March) of an MBA/MHRM program. In the new academic calendar starting July 2013, the internship is planned during the summer break, which falls in between the 3rd and 4th trimester (April to June) in an MBA/MHRM program.

The internship is a full-time position and should not exceed 48 hours per week following the typical six-day week pattern. Actual schedules are dependent on the organizational hours of work and by mutual agreement between the supervisor and intern. Normally, a graduate student completes no more than two internships during his or her graduate study at GITAM Institute of Management. However starting with 2013 academic year this has been reduced to one-internship during the graduate program. The internship is mandatory and is required in order to complete the requirements for the master's degree from GIM. Normally, an internship placement should be for three credits during summer and will be awarded in the 4th trimester, on successful completion of the project report and viva voce. For those students who have already obtained a job placement, they are encouraged to have the internship completed in the same organization, provided the organization is willing to offer internship. This we have noticed to be beneficial to the organization, student and the institute. Normally, an organization does not employ the same intern for more than one semester. This allows a greater number of students to gain the experience and does not commit the organization to long-range employment obligations. Organizations are however encouraged to provide internships on an ongoing basis.

Internship Allocation Process An Internship Committee is formed 3-months prior to the start of internship, with the placements team as members of this committee. The key responsibilities of the committee are to identify organizations that are willing to offer internships for our students and place the appropriate students in the right organizations. These organizations are contracted to assess their requirements and introduce the internship program. Based on the requirement students are placed with an aim to ensure the internship is inline with their specialization and based on the location strategy, as students are discouraged from doing internship in their home locations. Every student is assigned a faculty guide to help them through the internship. Students are required to contact their faculty guide and attend an orientation program, before they proceed on the internship.

General Guidelines 1. Students are the brand ambassadors of the institute and shall always promote and behave in a manner that will improve the brand image of the institute.

During the internship students are placed under the supervision of a manager/ supervisor in the organization who will act as his/her corporate guide and will provide guidance on the internship/project. 3. Students are required to abide by the rules and regulations of the organization where he/she is undergoing internship. 4. Student should collect their internship order from the Institution before reporting to the concerned organization for internship. 5. Students are instructed to report to the concerned supervisor of the organization on the first day to receive further instructions. 6. Before reporting for internship students should learn about the organization, by referring to their website, which would make them better prepared and will look professional. 7. Students are expected to maintain the decorum while interacting with the people in the organization. 8. First impressions are the best impression. While students step into the professional world, it is important that they behave professionally by being punctual, dressing and interacting professionally. 9. All these will add up to obtaining a successful completion certificate from the organization, which is mandatory to certify the internship. 10. Students are strongly advised from taking any leave during the internship. In case a student has to take leave of absence, he/she will have to take permission from the organization and the Programme Coordinator before they proceed on leave. Students may avail a maximum of two days leave during their internship. 11. Plagiarism of any kind is strongly reprimanded. Students should not copy or use information in any way that will project false and jeopardize the relationship with the company. 12. Students are required to maintain strict confidentiality regarding any information they come across in the organization in the course of their internship. 13. Any publication, using internal information of the organization is permitted only after receiving necessary clearance from the concerned supervisor. 14. Students should submit weekly progress report, via. E-mail to their respective project faculty guides (GIM, GITAM University). Copies of which should be provided as proof during the submission of final report. 15. Faculty will make surprise calls and visits at respective organizations to assess progress and address any concerns of students and the supervisor. 16. Once an organization is assigned to a student, they cannot be changed or transferred without prior written permission of the Program Coordinator from GIM, GITAM University. 17. All students have to prepare and submit an Internship report after the internship period is over which should consist of two parts: PROJECT GUIDELINES: 1. The project that a student intends to work on should be carefully selected in consultation with the executive and the faculty guide. 2. Once finalized a formal proposal should be put forth to the faculty guide, within the first three weeks.

3. Collate relevant data with the cooperation of the concerned department in the organisation. 4. Students should maintain a diary of their daily activities at work which should be signed by the concerned officer at the end of the day and the same should be submitted to the department. 5. Students should focus on learning the nuances of the business and aim to capture the essence of the work in their reports, with the necessary clearance from the supervisors. 6. Students should volunteer and actively participate in the regular activities of the organization. 7. A rough project report draft along with the supporting material/questionnaire should be submitted by the students within 5 weeks of completion of field work to their faculty guide. 8. If required by the concerned department of the organization, a draft report may be prepared and submitted to the organisation. 9. Based on the feedback received from the faculty guide and the supervisor, the final report has to be prepared and submitted for clearance. 10. The final report should be printed and submitted to the college with the signature of the respective guides within one weeks after the completion of the project. Those who do not submit their reports within the above mentioned time frame will not be allowed for the project viva-voce. 11. The attached project report template is meant for guidance and is not prescriptive. Students should aim to ensure their report captures the essence of the project and is unique in every respect. PART A ORGANISATION ORIENTATION Students should familiarize with the following aspects, while preparing their report. a) ORGANISATION PROFILE Company: Incorporation, Objectives, Nature of Activity and Financial Structure - Initial & Present. Organization: Departmentalization of Functions, viz., Production, Finance, Marketing, Materials, R&D, Personnel, etc., and Organization Chart. Manpower Particulars: Total number of Employees-Category wise; Managerial/Supervisory/Workers; Skilled/Unskilled; Permanent/Temporary /Casual/Badili/Contract, etc. b) HUMAN RESOURCES MANGEMENT: Human Resource Management policy of the company. Human Resource Management department structure and its functions.

PART B RESEARCH PROJECT

A project is a scientific and systematic study of real issue or a problem with the intention of resolving with application of management concepts and skills. The study can deal with a small or big issue in a division or an organization, the problem can be from any discipline of management. The essential requirement of a project is that it should entail scientific collection, analysis and interpretation of data leading to valid conclusions.

Project Considerations: Defining the project will be easier if you use the following acid test. A project should ideally meet these criteria. Will the implementation of the project bring about an improvement in the present status of an activity and can this improvement be quantified. Quantification may be monetary or better utilization of time and manpower, better sales performance, higher production etc. Was a similar project done in the past? If so how different is this. Is the project idea applicable in other similar situations? In other words, development of the idea of thesis, proving or disproving of a hypothesis. The methodology, the framework for analysis should be such that it can be applied to other problems of similar nature. While it would have a distinction of its own in its application to the specific situation, the project would not be so exclusive that its principles have no other applications. Does it have an underlying management principle, framework or model based on which the data is collected, analyzed and argument developed?
