COLLECTING
Collecting is an information input process and allows data to be obtained from the real
world and entered into a computer system.
In my personal information system, different types of data were collected using different
methods. In majority of the cases, hardware was used to collect the data.
Text and numerical data was collected to input information into my Gantt chart.
Similarly, text and numerical data was collected to put together my rsum and when
putting the personal information system together, the text descriptions on each page were
collected using a keyboard.
My previous assignments and study notes were also collected from my hard drive.

ORGANSING
Organising is the process by which data is structured into a form appropriate for the use of
other information processes such as the format in which data will be represented.
When putting together the Gantt chart, all the data collected was organised into a more
suitable format in Microsoft Excel. Excel was used as opposed to Microsoft Word as it
allowed the collected data to be analysed far more easily.
To create documents such as my rsum and my study notes, text data was organised
into .docx files using Microsoft Word.
When putting together the personal information system, the files were organised into a
logical order which would allow navigation through the information system by a user to be
easy and flow from one file to another.

ANALYSING
Analysing is the information process that transforms data into information.

This process was necessary to produce the information that is seen on the website.
The creation of a Gantt chart using Microsoft Excel allowed for analysis of the time taken for
the different tasks involved in the making of this personal information system. It was clear
that the designing stage of system development took the most amount of time.

To reduce the risk of data being incorrectly analysed, a computer software program
(Microsoft Excel) was used to perform calculations and create the Gantt chart.

STORING AND RETRIEVING
Storing and retrieving is the process in which data can be stored and then retrieved for later
use. Storing acts as a mean for temporarily or permanently backing-up data.
In my information system I mainly used a USB stick to store and retrieve any relevant
documents needed for my information system. Some of the documents included study notes,
projects and record of achievements. Each file included in the system was stored separately
into my IPT folder on my USB and also some files were stored on the school computer. When
the system required editing, it was retrieved from the USB or school computer and later
stored again as a newer version of the file. As the system has plenty of folders and files, it
was harder and took longer to store and retrieve files.

PROCESSING
Processing is the method by which data is manipulated to produce a new result.
All the data included in this system has been processed in one way or another. The word
processing software Microsoft Word was used to create my rsum file as well as this
document.

TRANSMITTING AND RETRIEVING
Transmitting and receiving is the process which allows data to be sent and retrieved within
and beyond information systems.
Whilst putting together my information system, files such as the study notes, projects and
my rsum were transferred from my home PC onto my USB for use on the school computer
and also sometimes by email, and vice versa. The files were received by the school computer
when I accessed my emails and downloaded the file or opened it from my USB. The internet
was required to allow accessing the emails possible.

Fast internet speeds allow data to be transmitted and received very quickly. This
makes working from home and from school possible.

DISPLAYING
Displaying is the process by which information is output from a system for displaying.
The information included in this personal information system is displayed through a
computer monitor. The website itself is displayed using the program Weebly in a very user-
friendly format and with easy navigation tools. Users with very limited experience with the
program will be able to navigate through the portfolio and view its contents. A mouse is
required to navigate through the system.
Similarly, a Gantt chart was created to represent the time duration of each different task
carried out in the creation of the personal information system.
