Chapter 1: Introduction

My industrial training lasts for 3 months which is from 27 th May 2013 to 25th August
2013. I applied to Ixora Hotel Sdn Bhd in Prai, Penang for my internship. Throughout my
training, I had been assigned in Sales Department and Management Department.

1.1 Goals of Industrial training


One of the main goals of industrial training is help us to put the knowledge we
obtained in classes and apply it to the real life problem. What we learned in class is all the
theory based and not much practical could be done to apply. Thus, industrial training served
as a great opportunity for us to practice what we learned in the job scope.
Besides, industrial training helps us to obtain additional practical skills and working
experience with expertise in the industry. The industry experts picked up much of valuable
knowledge and specific skills after years of experience. There are some specific skills that we
could not learn from the book itself. Thus, industrial training provides us a platform to
acquire and absorb those additional skills and experience that will be a key to our future.
On the other hand, industrial training served as a good opportunity for us to improve
our interpersonal skills as well as building our teamwork ability and progress a great two way
communication while we working with those professionals in the industry. Throughout our
internship we have to work as a team with those professionals with their guide and
supervised, so communication playing a main role to complete our task. Two way
communications ongoing well is a factor and key of work efficiency.
Besides interpersonal skills, industrial training helps us adapt in a new environment as
well, it enable us learn and explore on our chosen industry and its related environment so we
can treat the industrial training as an eye opener to observe the job scope in our chosen
industry. We are able to experience in advance in chosen industry so that we could decide on

our career goals, a great opportunity for us to decide on whether the chosen industry is
suitable profession or specialization in our future.

Chapter 2: Organization

2.1 Background of Organization


Ixora Hotel is the four star hotel which located along the JalanBaru, Perai in state of
Penang and next to the largest shopping complex in SeberangPerai which names Megamall
Pinang. It is an independent hotel which manages by two director Mr Ng Sze Li and Ms Ng
See Yng. The managing director is Dato Ng Swee Chin who had involved in textile, clothing,
carpeting, manufacturing, machinery and automation. Ixora Hotel is officially opening by YB
Tuan Lim Guan Eng, the Penang Chief Minister in 14 December 2011.
Dato Ng Swee Chins son, Mr Ng Sze Li who learnt in the hotel management wished
to take part in hotel business after his graduation. The building has been build before they
want to start this business. They try to redecorate the building and apply the license for this
business.
Ixora Hotel is an 11 story building which consists 326 rooms. The level 1 is used for
any functions like wedding, meeting, workshop, seminars and so on. In level 1, it has 5
meeting rooms and press room for any function which can satisfy the guest request due to the
number of participants. It also has a grand ball room which is the largest function room in
mainland Penang.
It located in a very strategy place which is beside the Jalan Baru. The distance from
Ixora Hotel to Penang Airport Bayan Lepas is 25.3 km which means that around 20 minutes
drives to airport. Beside Ixora Hotel has a shopping mall names Megamall Pinang which easy

to access by the Ixoras guests. Guests can have their leisure time after work or meeting. On
the other hand, Megamall Bus Terminal Station is near to Ixora Hotel, travelers could have
their public transport to go to the place they want to visit. It also proximity to the industrial
estates where can attract more business travelers to stay while outstation. As a guest who
brings their vehicle, they just need to use 3 hours and 30 minutes to reach their destination
without traffic jam via North South Highway.

2.1.2 Organization Logo


The name for Ixora Hotel comes from a kind of flower. It consists of tropical
evergreen trees and shrubs and holds around 500 species. It is commonly known as West
Indian Jasmine. The segments they focus are business and government. Ixora Hotel is a
family business hotel with trendy concept while it is a new leading business class hotel in
mainland Penang.
As a reference in appendix, the logo also used the Ixora for logo design. The colors
are using yellow and black. Yellow is a representation of brightness and purity. Yellow is
usually used for showcasing creativeness and intellect. In business, yellow is a color of

happiness, warmth and awareness. The font color is using black color. Black means power,
formality, classy, protection, sophistication, wealth, elegance and fear.

2.2 Mission & Vision

To have dedicated staff to be the leading hotel in the mainland Penang.

2.2.3 Objective

To achieve credible, responsible business practices including socio-cultural,


economic, wellbeing and nature.

To acknowledge local and regional differences in sustainability practices in order to


improve the efficiency and wellbeing of the hotels, staff, guests, local people and
nature.

Further reinforcing our position in the market place as a recognized and trusted Hotel
Management Company

To ensure a safe, secure and healthy environment and promote active and wellness

modern frequent business and leisure traveler.

2.3 Organization Structure


Ixora Hotel is an independent hotel which running out by Mr Ng Sze Li and Ms Ng
See Yng. This is a family business which the managing director is Dato Ng Swee Chin.
Ixora Hotel dont have the General Manager. All operation departments are in charge
by the Hotel Operation Manager, Mr Moses Poon. Mr Moses will assist by 6 head of
department such as Front Office ManagerMr Kenji Wong, Food and Beverage Manager
Mr Cheng Koy Boon, Executive ChefMrBehAikAun, Assistant Chief SecurityEn Zubir,
Maintenance ExecutiveEn Rosli, and Executive HousekeepingMs Anne.
On the other hand, the management level is divided into 4 department which is handle
by other Head of Department such as Human Resource ManagerMr David Cheng Ting
Kai, Assist Director Sales And Marketing ManagerMrFaishal and Assist Finance Manager
MrSunnyd Chai Chua Ghee.

2.3 Room Accommodation


The main product for Ixora Hotel is the room. It is an 11 storey building which has
326 rooms in the building. As a four star hotel, the decorate inside the rooms are up to date
and lighting been used is softly to ensure that the guest is comfortable with the environment.

The room can be divided to budget room, superior room, deluxe room, executive room,
superior suite, VIP suite, 2 Bedroom and 4 Bedroom. For the budget room, it has types of
room which is single bed and double bed. The hotel will be more focus on up sell the superior
room and deluxe room compare with budget room. Furthermore, the superior room and
deluxe room can also be divided to single king size bed, double single bed and combination
of a single plus king size bed or three single beds for the family package due to the guest
request. All room will be including free WiFi internet, free cable internet, satellite TV, safety
deposit box, bar refrigerator and STD/IDD phone. Generously spaced 1-bedroom, 2-bedroom
or 4-bedroom Suite is ideal for families where vacation and business trips can be
conveniently combined if necessary.

2.4 Gymnasium
The recreation for Ixora Hotel is gymnasium. This facility is situated in level 2 and near to
the lift 1 and lift 2. This recreation is prepared for the In house guest who loves to exercise
every day. There will prepare the towel and mineral water for the guest. The towel will be
change every day after used.

2.5 Food and Beverage


The second product being focus in Ixora Hotel is Food and Beverage. In Ixora Hotel, the four
products for food and beverage are conference and event, bar and lounge, room service and
The Straits Caf.

i.

Banquet
Banquet service is under the conference and event which may help the hotel to
earn more profit besides the lodging. Any event which is rental the meeting room
usually will include banquet service like 2 tea break plus 1 lunch for full day
seminar and so on. They will also provide the service for wedding function,
birthday celebration, private gathering and so on. Table will be setting due to the
request like round table or for seminar session could be theatre style, class room
style, U-shape and so on.

ii.

Bar and Lounge


The operation time for the bar and lounge early in the morning until 11pm except
Friday and Saturday. It is because Ixora Hotel will invite the live band on Friday
and Saturday which will perform until 12am.The guest could relax in lounge with
some snack after daily work.

Room Service
Room service is one of the service that hotel will provide to the guest. Ixora
Hotels guest could choose to have their meals on their room with using room
service. In house guest could order the food according to the menu room service.
This will give the convenient to the guest who is busy and no time to have their
meal in the restaurant. The payment for the room service can separate to by cash
or by room charge. When the guests check in with full payment and calling for the
room service, they need to pay the charges by cash. However, the guests who
check in with using the credit card and the front office has the guests credit card
number, they can pay the balance when they check out.

iv.

The Straits Caf


The Straits Caf is the restaurant which belongs to Ixora Hotel. Each month, they
will have the special promotion due to the theme that had been decided. The

Executive Chef will design the new menu to fulfill the guest needed. For the
buffet line, the decoration will be change when the festival is around the corner.

Chapter 3: Learning Outcomes


3.1 Work Performed and Application of Theory/Model
Sales and Marketing department is a department that always aims to maximize
company profit and promote their products or services. I have started my internship in Sales
and Marketing department of Ixora Hotels Group since 27th May 2013. I learn a lot of new
things and skills during the whole period of training but on the other hand, challenges and
difficulties come together as well.
Once I entered the department, I started with task like make and receive calls from
different departments or customer. Most of the customers call Sales and Marketing
department to inquiry and reserve hall for their function or wedding dinner and ask for details

while internal call from other departments are have many different purposes such as follow
up details of event.
The four process of Social Learning Theory which are attention, retention,
reproduction and motivation. Firstly, I do not know what I should talk when pick up the
phone or make some calls to customers, so I pay attention and observed the way of my
colleagues, Jessie Ooi speak with customer such as their polite tone. This process is attention
process. After I observed different way of my colleagues when they talking through the
phone, I getting remembered the style and the proper tone when communicate with customers
as a hotel line employee. This is retention process. Third process is about reproduction. Since
I start to be able to remember the proper way to communicate with customers, I gained the
confidence to pick up the phone or make calls. Besides, I also getting more familiar in selling
and promote our hotel hall packages through telemarketing. Last but not least, it is motivation
process. In order to reinforce people to continue imitate or act like the behavior that has been
modeled, positive reinforcement are needed. For example, I received compliment from my
sales supervisor once I successful selling our hotel meeting packages. It motivate me to
continue perform well in telemarketing because my efforts was appreciated and
acknowledged by colleagues.
On the other hand, telemarketing can be related to two-way asymmetrical model as
well. Majority of clients will request discount or any complimentary rooms. Some of the
customers will make complaint straight away through telephone once they cannot get special
discount or their special request cannot be fulfilled. According to the two-way asymmetrical
model, customer feedback is important to Ixora hotel in order to come out a better plan in
future. However, in order to protect hotel benefits, most of the times I will not fulfill
customer special request such as allow them to bring their own foods and beverages to our
hotel. If they want any foods or drinks can purchase in our hotel and I also explained to them

with scientific persuasion that this is the hotel policy in order to ensure consistent and rational
outcomes of the hotel, we cannot simply allow anyone bring their own foods and beverages
come to the hotel.
In order to persuade customer, I always told them we are four star hotel hence we will
come out high quality and sumptuous foods to satisfy them. Moreover, Ixora Hotel offers
dining option which serve delicious local and international cuisine at its the Straits Caf.
This particular case shown that two-way asymmetrical model was strongly related and
applied in my telemarketing task. It is imbalance communication process. I will collect
customer feedback but not compulsory to fulfill their request as well as I will provide facts to
persuade them to understand and accept our hotel policy.
Telemarketing might seem like an easy task but it really made me learnt a lot. First of
all, my communication skills are improving since I need to pick up a phone call or make call
to different people every day. In the hotel which its profit are always come from its services, I
also learnt that customers are always right and we need to try our best to fulfill their request
in order to maintain our hotel image and reputation. Even some time we might not able to
fulfill customer special request but I still learnt to explained and persuaded customer by
providing facts and reasons. In order to provide quality services to customer, I also learnt that
we must provide accurate, completed and confirmed information or details to every customer
so they will not confuse with our hotel packages or others.
During Ramadhan month I was excited that I had chance to participate Ramadhan
dinner with numbers of orphans. This particular Ramadhan dinner buffet was one of the
corporate social responsibility (CSR) activities of our hotel to contribute back to the society.
Consequently, those orphan no need to pay any money of buffet and each of them were
received duit raya and door gift. During the whole period of preparation for the Ramadhan

buffet, I was calculate and packed hamper and door gift based on the total number of orphan
that came for the Ramadhan buffet, coordinated the function to ensure everything go
smoothly. My responsibility is to guide guests and media persons to the function hall. It is a
very meaningful event and related to my field of study which is Public Relations as well.
This particular function about the corporate social responsibilities (CSR) was let me
gained and learned a lot. Even we cannot confirm the total number of guest will come we also
must calm and deal with the problems effectively and efficiently. I also learned that we
cannot simply expect or predict everything will go smoothly. We must always bear in mind
that uncertainty may occur anytime especially when deal with children. For the issue about
controlling the schedule of program flow, time is the most important thing. Hence, the use of
walkie-talkie to reduce the delay of communication is critical in order to ensure the program
runned smoothly as what we planned.
Last but not least, I have learnt that workings in service line we have the
responsibilities to help customer to solve every problems. The hotel policy is fixed and what
we can do is not blame but think about how to follow it because the hotel policy is always
protects the benefits of the hotel.

3.2 Work Performed


There are some roles of a trainee in Sales Department of Ixora Hotel. One of my roles
requires me to attend walk in guests and brief them about the hotel rates and information,
interpersonal skills I mentioned before are helpful in this roles as I have to communicate with
those walk in guest face to face. At first, I am confused with those hotel rates we provided
based on different duration and set-up, it caused me out of confidence while quote them the
rates. With the help and guidance of fellow colleagues at the workplace, I am learning from
time to time and trying to be more confidence and dependable.

Besides, I have to send out the corporate rate and quotation to the guest as well. There
is lot of inquiry about our meeting room / function room from guest and some of them might
request the corporate rate from Ixora Hotel, therefore I have to get their basic information
such as their contact, company address and nature of business. With that information they
provided, I sent them agreement for the corporate rate. If any of them are interested in having
their function in Ixora Hotel, I sent them the quotation based on their demand of the set-up,
room type, duration of event, meal menu, total amount of participants and etc.
After received the confirmation letter and deposit payment from guests, Sales
managers and coordinators will prepare the event order. The event order is an official
guideline for those conference and events to all departments in Ixora Hotel, I will distribute
these event orders to all of the departments through E-mail or manually to ensure that they
receive it and take note. If there are any changes of the event flow, my superior and I will
distribute the Amendment Event Order to all departments to ensure the event ongoing well.
There is Hari Raya come across during my internship in sales department and Ixora
Hotel did provide promotions for Ramadhan Buffet. I had been assigned in preparation on
lucky draw of this Ramadhan Buffet beside of promote it. In the promotion of Ramadhan
Buffet, I have to understand and know well about the terms and conditions to brief that
information to guests. Based on the high demand for the Ramadhan Buffet from guest, we did
make some arrangement on venue for them to have their dinner in Meeting Room or even the
Grand Ballroom due to high occupancy and a large number of guests instead of have their
meal in The Straits Caf.
Besides Sales Department, I had been assigned in Management Department due to the
resignation of admin assistant of Ixora Hotel. The Human Resource Department could not
recruit new candidate for the position in the short period so I had been assigned to take over
the task of admin assistant. However, I think this is a great opportunity for me to explore and
gain some new experience. As an admin assistant, my main is assist Hotel Operations

Manager, Mr. Moses Poon. My duties including draft the hotels policy & procedure, minutes
of HODs meeting and inspection of room cleaning inspection.
With assiatance of Human Resource assistance, Ms Serena we had read through few
department including Front Office, Sales and Marketing and Security of Standard Operationg
Procedure, I had learnt that the SOP should be an all time guideline for all operation staff
when they are on duty. The guideline not only ensure quality of work but also our own right
and safety. Besides, the satisfaction of guests is always our priority. To be productive, a good
management team and well management of time is essential to ensure the following task is
completed before the deadline by priotizing the main tasks at hand.
In the progress of room cleaning inspection, I have to inspect the room done clean by
Housekeeping Department with accompany of on duty Duty Manager in Ixora Hotel. (In
Ixora Hotel, the lift have to master with access card and all the in house guest will collect one
of it each room. This policy is aim to ensure the security of guest. Only Duty Manager and
Operations Manager among all staff able to carry the master key card while they perfroming
their tasks. ) The Duty Manager will collaberate with me inspect all the rooms facilities and
condition to ensure all rooms are serves well. The facilities and services must be always
ready and functioning well, double checking of completed work is crucial in decreasing the
possibility of errors.
Chapter 4: Conclusion
Throughout my 3 months of training in Ixora Hotel, the management level from the
Ixora hotel has given fully cooperation since i join the hotel. All departments especially the
department that I have been assigned have cooperated to help me achieve my practice goal.
Besides that, all knowledge been taught in University Tunku Abdul Rahman have helped me
a lot in complete my task during my internship in Ixora Hotel. For example, in Sales and
Marketing Department, I could perform a well two way communication with walk in guest,
every one of them treated as a VIP by us. The knowledge and communication skills I learnt
from classes can fully practice in my internship program in Ixora Hotel.

As a trainee who lack of experience in hotel industry and need to be train, my


colleagues is helpfulness and willing to guide me step by step to ensure I can adapt to the new
environment. When I encounter problem, they are willing to give the advice and suggestion
to solve the problem. They are encouraging me to be confidence and accept the new
challenge when I felt lost in the job task. In addition, I still remember the Sales Manager said
when we dont understand and dont know how to deal with guest we can refer back with the
sales personnel. They wont mind how many questions we asked, at least we are follow the
right direction. When I was making a mistake, they will help to solve it and asked me to treat
this as a lesson because no one is perfect. Sometimes, they will ask my opinion for solving
the problem or personal toward the case had been happened. They will accept my suggestion
if it is work.
Overall for the management in Ixora Hotel Prai, they are always readiness to help the
trainee to fulfill their internship and considering the trainees difficulties encountered. I felt I
have fully exposed the real hospitality world and adapt to the industry. All the knowledge I
have learnt will be valuable for my career in future. I feel grateful because I could have this
opportunity to have internship in Ixora Hotel. This is an amazing experience before I
complete my studies. I have been assigned to two departments during my internship period.
The knowledge I gain is truly priceless and it is worth for me as a trainee in this hotel.
I have met plenty types of guests and able to master the way to satisfied those requests from
guests.
Besides that, I have known the role as staff in the hotel line is very important because
employee is the property for the hotel which can help the hotel to build up the reputation and
give the best impression to the guest. Furthermore, this internship has given me a great
opportunity gaining experience in the hospitality industry as a reference for my career
selection.

Lastly, the effort for University Tunku Abdul Rahman sending the student to
Internship program is good. It will help the students to develop their confidence and make
them get ready for job seeking after gaining the experience through internship.
