Field Other Compensation Reporting

INSTRUCTIONS FOR USING THE FIELD COMPENSATION PROGRAM


1. To open the program, go to START-PROGRAMS-FIELDCOMP2004 and click on the Field
Comp 2004 program.
2. Each time you open the program, a message box is displayed that reminds you to enter the
data using local currency. This is a reminder only. To close this box click on the X in the
right corner.

3. PROJECT TEMPLATES: Project templates are files that provide a starting name list for data
files (*.foc files). They will be provided by Expatriate Financial Services. Project files have
*.prj extension, and are located in the "projects" subdirectory of the application ("\Program
Files\Field Comp 2004\projects" by default). Once you are provided with a project file, and
after installing the program, be sure to place it in this subdirectory. This subdirectory is
requred in order for the program to properly find it.
You can add to or edit your project files by choosing File | Project Templates... from the main
menu. Using the Create or Edit Project Template enables you to add or edit names directly
in the *.foc files at any time.

4. Before you save a new *.foc file, choose Settings | General Info... Fill in or change as
necessary, the project name, currency that you made the payments in (DO NOT MIX
CURRENCIES IN THE SAME FILE - IF YOU PAID IN TWO TYPES OF
CURRENCY THEN YOU MUST REQUEST TWO FILES), the year that the data relates
to, the name of the person to contact if there are questions regarding the data, and that
person's e-mail address and phone number. ALL FIELDS ARE REQUIRED. Click OK
when finished.

5. Save the file by choosing File | Save As... The file extension is defaulted to ".foc". Use this
extension. Name the file with the year XX (where XX is the last two digits of the year the
data relates to) followed by the country and project name. For example, a Thailand project
would name the file for 2007 as "07thailand_pt_esp.foc".
This program basically works in the same manner as Microsoft Excel; that is when you open
this program you will see a blank worksheet . You must open an existing file to see your
previously entered information. Be sure to open the file you have entered data in.
You must continue to use the same file for the entire reporting year.

Do NOT change the name of the file at any time during the year.
6. To enter data by person, select a name from the drop down menu If a name is missing or
there are people listed that were not at your location, you may add/delete persons through the
menu item "Settings | Edit Names..." - see step 11 below. If you are adding a person to the
file, please following the format and enter the last name first.

As soon as you choose a name, the table becomes editable. Enter the appropriate data for
each person working at your location. Save the file frequently as there is no auto save
feature. It is recommended you backup onto a disk or onto a network server so you don't lose
your work if the hard disk crashes.

7. The spreadsheet has functionality to select an entire row (click on the gray label of the row
you want to select) or a block of data (click in the uppermost left cell that you want to select
and while holding the shift key down, click on the lower rightmost cell that is the last field
you want in the selection). The area selected will be highlighted. You may then enter an
amount or choose the delete key in the first cell in the selection and it will be repeated in all
the selected cells. There is other spreadsheet functionality, such as setting the format of the
cells, expanding a cell width, etc.

8. When all the data has been entered, you should print all the data (menu item File | Print). If
later, you change the data for a single person, you may also print the report by person. These
hard copies should be retained in your files.

9. When you want to add a person to the current file, choose Settings | Edit Names... Then add
the person's name (last name, first name); SAP Personel Number (PRNR) or ID (for
employee type 4 or 6), Company Code and Employee Type.

Other Compensation/CS/FD/FluorCorp. The information will be sent to you.

10. When all employee and earnings data has been entered and the file has been saved, e-mail the
*.foc file as an attachment to: Other Compensation/CS/FD/FluorCorp

BELOW ARE A FEW GUIDELINES WE ASK THAT YOU PLEASE


FOLLOW
If you have an expatriate who changes status mid-year, from SHORT TERM to LONG
TERM status, you must separate the "Other Compensation" accordingly. To do this you will
need to obtain a separate .FOC file to report any "Other Compensation" for the LONG TERM
portion of the assignment. This step is necessary to prevent the duplication of earnings that
were reported during prior months. If you to obtain the file or if you need dates of status

changes, please send an email with the employees name to: Other
Compensation/CS/FD/FluorCorp . They will provide the file or information that you need.
Please double check under the "General Info" section, that all information is correct. If an
option you need does not show up in the drop down windows for Country, Currency, or the
Year, please send an email to Other Compensation/CS/FD/FluorCorp with the requested
change. Update any project Information that is not accurate and make sure the preparer
information is current.

If you need to add an employee and do not know the information requested such as;
EMPLOYEE TYPE, SAP PERNR/ID, or the COMPANY CODE please DO NOT use filler
information. Send an email to Other Compensation/CS/FD/FluorCorp they will reply
with the necessary information.
We ask that copies of all expatriates' final local Tax Returns or legalized Tax Receipts for the
current year be sent to Expatriate Financial Services as soon as completed (see mailing
address below). Please send these documents with a brief cover letter that lists the Reporting
Year and Country, as well as the expatriates names whose returns (copies only) are included
in the package.
The "Field Other Compensation" file must be emailed by the 5th of the month following the
reporting month
