Ilanka Community Health Center Office Systems Coordinator


Team: Health and Wellness Team
Reports to: Deputy Health Director
FLSA Status: Exempt

Salary range: $27.00 - $32.00 per hour


Schedule: Regular, FT (40 hours per week)

This position is responsible for day to day operations of the clinic and reports to the Deputy Health
Director.
The Office Systems Coordinator receives little instruction on day to day work and receives general
instructions on new assignments.
Responsibilities/Duties:

Provides orientation and ongoing training to front desk and business office staff.
Maintain provider enrollment in insurance companies, Medicare, Medicaid, etc.
Reviews front desk and billing employee timesheets and submits them to supervisor on time.
Develops and implements procedures for efficiency in front desk activities including patient
check-in and check-out, insurance eligibility determination, and patient account review.
Schedule equipment maintenance with ANTHC as needed.
NextGen EPM/EHR Coordinator/Trainer.
Ensure NextGen and EMP/EHR programs are up to date and managed effectively.
Accurate and timely GPRA reporting.
Accurate and timely NextGen reports to management and funding agencies.
Review ICHCs insurance company contracts and any prospective changes.
Meaningful Use Coordinator.
Onsite IT Liaison.
Responsible for oversight of patient accounts receivable, including the contract billing agency
performance. Prepares monthly reports on activity and analysis as needed.
Supervises Front Desk Staff.
Coordinator for all system interfaces through NextGen and External Customer.
Coordinate and ensure accuracy of Coding, Billing, and Collection activities.
Periodic review of CPT or HCPCS billing codes used by ICHC for accuracy.
Responsible for Contract Health payment and committee management.
ICD-10 implementation.
Competencies (Knowledge, Skills and Abilities)
Excellent communication and organizational skills, attention to detail, and must have excellent ability to
prioritize tasks and meet deadlines; Must be able to effectively work with a variety of stakeholders in
diverse working environments; Ability to communicate well with employees and management; ability to
create both graphical and narrative reports in an accurate and timely manner; Excellent skills in MS office

suite software; Must possess and maintain a working knowledge of applicable Federal, State, and Local
regulations and laws; Ability to learn new tasks and procedures.
Experience Requirement:
Minimum of five years progressive office experience in the healthcare field preferred.
Education Requirements:
High school diploma or equivalent required, advanced training, certificates or experience in clinical
administrative activities preferred.
Performance standard
Regularly sit for long periods of time to complete tasks.
Regularly bend, crouch, stand, move about to complete work.
Typically lifts 15 lbs to coordinate work.
Regularly manipulate electronic data to gather, input and otherwise coordinate work.
Regularly use mental, oral and written methods to complete work.
Regularly use mathematical and linear thinking skills to provide accurate, literate work.

Environmental Factors
Majority of work will be completed in an office within a medical primary care clinic.
Exposure to Hazards: Housekeeping Products.
Blood/Fluid Exposure Risk:
Category II: Usual tasks do not involve exposure to blood, body fluid, or tissues but job has potential
for mucous membrane or skin contact exposure to blood, fluids or tissue. Use of personal protective
equipment (PPE), when appropriate, is required
