QACC African Communities Council Management Committee Roles definitions

President
Duties
Lead QACC and the Management Committee by providing a vision and strategic direction
Develop and update a strategic plan and set annual priorities for QACC in a business plan
Ensure the Management Committee delivers on its annual priorities and evaluates the performance of
QACC in achieving its mission
Develop and maintain QACC's effective relationships with funders, donors, partners, stakeholders and
the community
Be the spokesperson for QACC and represent QACC at significant community events
Ensure accountability for QACC, including managing QACC and the Management Committee according
to relevant laws and regulations, and QACCs constitution
Attend and chair committee meetings through the agenda, keeping discussions relevant, decisionmaking
clear and encouraging broad participation
Make sure regular committee meetings are held in accordance with the requirements of the QACC
constitution
Sign documents, contracts and agreements on behalf of QACC
Register an amendment, repeal or addition to the constitution
Act as an exoffico member to subcommittees of the Management Committee
Role requirements
Current QACC financial member
High level and proven leadership and management skills
Full knowledge and understanding of the QACC constitution
Excellent knowledge of QACC, its strategic direction, functions and activities
High level interpersonal and negotiation skills and ability to communicate effectively with a range of people
Eligibility
This position is the head of the QACC Management Committee and the position holder must be elected

Vice President
Duties
Assist the President, and perform the duties of the President in his or her absence
Undertake on a day to day basis a set of the President's duties that has been delegated by the President.

Coordinate the QACC Advisory Board and Assembly of African Community Leaders
Lead community consultations, submissions on government and stakeholder policy documents and
projects
Represent the President at functions and events when requested
Be a spokesperson for QACC
Act as an exoffico member to subcommittees of the Management Committee
Role requirements

Duties

Vice-Secretary
Duties

Duties
Ensure QACC finances are managed appropriately according to current laws and regulations and to best
practice standards

Ensure true and accurate financial records are kept and maintained
Manage QACCs bank accounts
Ensure receipts are written for all money received and that money is banked promptly and appropriately
Ensure all cheques are signed in accordance with the constitution
Keep the Management Committee regularly informed (monthly) of QACCs financial position
Prepare forward budgeting statements six months into the future to ensure QACC is aware of the required
funds to achieve its priorities and deliver its activities and support its liabilities
Ensure the financial records are ready for the annual audit, prepare a draft financial statement for audit and
presentation at the annual general meeting.
Cosign QACC cheques when required
Develop a fundraising, funding and sponsorship opportunities program to continue to improve our financial
position.

Community Relations Officer


Duties
Develop a communications and community engagement strategies to engage the African community and
raise QACCs profile
Maintain QACCs website, Facebook page, and Twitter and LinkedIn accounts
Develop and maintain a database of all of QACC's key stakeholders and regularly communicate with them
on QACCs activities
Seek and coordinate positive media and publicity opportunities for QACC
Coordinate publications for QACC, including enewsletters and the annual report.
Role requirements
Current QACC financial member
Good knowledge of and rapport with the African community
Good writing skills
An understanding of and experience in communications, public relations, journalism or marketing would
be highly desirable.

Social Affairs Coordinator


Duties
Coordinate the work of the Youth, Women, Business and Professional, and Men subcommittees, including
doing the work to establish them properly and get them running.
Be the link between the leaders of the subcommittee and work of these groups, and the Management
Committee.

Coordinator)
Duties
Focus on keeping financial members up to date on QACC and Management Committee activities
Coordinate the QACC membership process, including admitting new members and followingup on
membership renewals
Coordinate QACC volunteer program including organising support for large QACC events
Maintain the membership and volunteers database
Update the membership and volunteers packs for recruiting new members and volunteers
Develop and implement ideas for membership and volunteer drives.

Full understanding of the QACC constitution as it relates to members and membership
excellent knowledge of QACC, its strategic direction, functions and activities

Officer)
Duties
Develop QACCs annual calendar of events to engage the community and lead the organisational work to
stage the events.
Keep uptodateknowledge of events and activities around the state and interstate that QACC can
participate in, sponsor or cohost, as part of QACC's objective of promoting its services to its stakeholder and
communities
Coordinate QACC's attendance and displays at various events and conferences
Identify opportunities for grants, sponsorships and inkind support for social events hosted by QACC
Role requirements

High level organisational skills
Experience in being a social coordinator or event management would be desirable

House)
Duties
Coordinate the hiring process for African House including taking enquiries and bookings, organising sites
visits by potential clients, post hire inspections and maintaining the hire database
Coordinate maintenance and good presentation of the centre, including organising cleaning, grounds
keeping and handyman work
