OBJECTIVE
To outline the proper reporting and monitoring in the event of employee
injury or accident at the work place.
POLICY
1. Any accident/incident occurring at the work place must be recorded using
the standard incident report form.
2.

All related data and information must be recorded at the time of the
incident (copies should be kept with the Human Resource department,
Incident Management Kit and employee file).

3. The management must implement an internal procedure to enable


accident /injury reporting including staff members and hotel guests.
PROCEDURE
Minimum Requirements
In order to facilitate the reporting of any incident the hotel
must clearly
display the emergency telephone numbers as follows at caption:

Fire brigade
Police station
Ambulance
Rescue team
Doctors, Hospitals
Others (as applicable)

Reporting may result from many different situations ranging


from loss or damage of staff or guest property, loss or damage
of hotel property, crime scene or accident scenes. For each
situation, a proper
form must be used and include evidence
such as photographs, CCTV footage and witness statements

as well as any other documents required by a investigative body


(as applicable).
Public Liability
The hotel must also be prepared in the event of an incident
where there may be public liability from the event (e.g. food
poisoning, car park accident, swimming pool accident, fire etc).
In most countries, legislation allows for the use of signage to help manage
the risk exposure.
Employee Accident
3 steps guideline:
Step 1
Once an accident has been reported, you should ensure that
the Employee is given proper medical assistance by the nearest
hospital.
Step 2
For the Employees covered by Mega Health Care Insurance
repatriation, as soon as possible, contact the Call Center to one

When calling the above number, you will be asked to provide the following
information:
1. Members name & surname (injured employee)
2. Hotel contact person name, hotel information (detailed name of your
subsidiary/ entity)
3. The telephone number where you call from or where you can be
reached name, place and telephone number of the medical structure
(hospital) and
the name of the doctor (person in charge) where the injured employee
is being taken care.
Step 3:
The manager on duty / head of department must report the accident to
Human Resources Manager immediately.
