ABSTRACT
This project was assigned to me by the regional government of
Mashina to build a database, based on this its population details
e.g. employment details, residence and land details and other
specialization so that to hence easy planning for its people. A
century ago, Mashina was home to an estimated 2,500 company
towns, places built and operated by a single organization, for
which the residents or their family members all worked. A number
of these communities sprung up in isolated locations, near mines
sites, logging sites and textile mills, and earned a bad reputation
because they usually consisted of little more than poor-quality
rental housing and an overpriced company store. However, not all
company towns were exploitive and some, such as Lenana Hotel,
Honching Bank, were formed by individual. Mashina is well known
for its high population growth throughout the year, so this system
will help the government know information of every individual
detail in the region of Mashina.

ACKNOWLEDGEMENT

Firstly I would like to pay regards to my Computer Studies teacher who


helped me in order to make my project better and to correct any flaws
present in it. My teacher also played a very important role and without
his support and assistance I wouldnt have been able to make even the
bit of it. I greatly appreciate efforts and hard work of both of them. My
parents and my friends were a great source of inspiration for me and
without their support it would have been a challenging and tough task for
me. At last I would like to thank everyone who supported me during the
making of this project.

CHAPTER ONE
INTRODUCTION
Mashina is a home to an estimated 2,500 company towns, places
built and operated by a single organization, for which the
residents or their family members all worked. A number of these
communities sprung up in isolated locations, near mines sites,
logging sites and textile mills, and earned a bad reputation
because they usually consisted of little more than poor-quality
rental housing and an overpriced company store. However, not all
company towns were exploitive and some, such as Lenana Hotel,
Honching Bank, were formed by individual. Mashina is well known
for its positive happenings around it, like the employees are paid
well, availability of social amenities, creational centers and
availability of employment in the region.
Apart of all that the region faces challenges on daily accounts
occurrence. The area faces insecurity in day and night time which
is uncontrollable, the birth rates keeps growing rapidly in Mashina
and the government does not have the census for the region.
Underpayment and high rates charges for land is been practiced
on daily accounts.
The government should have a system to sustain all this and sure
easy planning for its people to avoid injustice.

1.1 DESCRIPTION OF THE PROBLEM


Mashina Region Government does not have a system that can be
used to help manage and know what going around them they are
faced with challenges that are difficult to manage. Examples of
these challenges are:
a) The employee and employer details are kept in paper-form
hence, stored in cabinets which take office space.
b) Complications like errors may arise during data input may
compromise data output.
c) Data update may be a huge tusk to accomplish in time for it
is stored in paper-form.
d) Much time is consumed for most of the records created are
done manually by hand.
e) It is costly for the cabinets used consume a lot of money to
purchase and maintain.
f) There is high risk of losing data since back-up equipments are
expensive.
g) Data is untidy hence increases chances of false or incorrect
data input for it is written by hand.

1.2 DESCRIPTION OF PROBLEM PROPOSED


The proposed system has an automatic feature that will give the
government better service and reduce its work.
ADVANTAGES OF THE PROPOSED SYSTEM
The data input with tidy, presentable and in order because
its not done by the work of hand but by a computer.
It will be easier to handle data compare to the analogue
system.
Storage is done in computer so easier update can be made.
Input error is control since everything is automatic.
Helps the government to know the number and detail of
employees, employers, self-employed and residents.
The government will know the land rates charges in the
region.
The government will have easier time when planning for
certain number of people in that region.
The government will know the dependant and the
dependency ratio.
DISADVANTAGES OF THE PROPOSED SYSTEM
It will cost a lot of money.
Requires a period of time.

1.3 JUSTIFICATION OF THE PROJECT


Due to the government of Mashina Region not having control over
it, a lot have happened in the area e.g. underpayment of
employment, high land rates charges, insecurity, corruption and
injustice for the people of Mashina Region. So this system is to be
built up for the government so that to capture every information
of the people including; employment details, employers details,
residents details, the ratio of dependant people compared to the
dependency ratio, self employed personnel and the land rate
charges.
Every resident of the Mashina Region should enter his/her detail
depending on his/her occupation details. This objective is to built
up an friendly environment and fair ground for its people living in
the region.
The strategy include; promoting formation of self-help groups,
promoting savings and credit activities in self-help groups ,
training the community members in self-help group management,
increase income for youths through agriculture development.

1.4 OBJECTIVES OF THE PROJECT


Following are the organizational objectives for a computerized
control system
1) For more efficient sales and purchase record preservation of
land.
2) For more efficient handling and processing of data.
3) To reduce paperwork required for stock control.
4) To keep up-to-date information of employee details.
5) To keep up-to-date information of all employers detail.
6) To keep up-to-date information of all land owners.
7) To keep up-to-date information of all residents.
8) To save time in finding and searching records.
9) To provide such an environment to save or make efficient use
of resources.
10) To preserve data more securely by keeping regular backups.

11) To reduce human error while performing calculations and


preparing invoices.
12) To lessen the burden on employees.
13) To formulate an effective way of producing detail sheets,
printouts and reports.
14) To cut down labour cost as less manual work is there
15) To automatically update the database if any change is made .

17) To provide a user friendly interface for the user .
1.5 PROJECT SCOPE
This system is to capture every information of the residents of the
Mashina Region including; employment details for the employees
including their salaries income, address, type of job. The land
owners details can also be inputted using this system.
OBJECTIVES
Following are automation objectives for a computerized system.

1) To make analysis more easy through plotting of charts and


graphs.
2) To link the data stored on different files.
3) To apply search conditions and queries for quick data retrieval.
4) To increase the accuracy of input data.
5) To create a database for better management.
6) To provide a user friendly interface for the user.

7) To allow easy access to records.


8) To manage data in a better way through usage of forms.
9) To automatically update the database if any change is made.
10) To sort the database in any specific manner e.g.
alphabetically.
11) To easily edit, amend and delete records.
This system can only perform the work that has been mentioned
above.
