Capernaum Lodge Banquet Policy

Tobacco & Alcohol Free Premises


Capernaum Lodge is an alcohol and tobacco free facility and premises. The law
defines smoking as the act of lighting, smoking or carrying a lighted or smoldering cigar,
cigarette or pipe of any kind to include those products that are smokeless or electronic
vapor devices. At no time is alcohol allowed on the premises; including all outside
grounds, sleeping rooms, meeting rooms, dining facility or parking lot. Use of alcohol
and tobacco products of any kind is strictly prohibited by all guests, to include any
vendors who are hired to provide a service for an onsite event.
Food and Beverage
Capernaum Lodge provides catered meals for events and all food and beverage is
purchased from our food service providers. Our pricing and menus are subject to
change and are based on current costs and availability of product. In the event an
outside catering company is obtained they must provide a copy of their current Liability
Insurance and understand our policies and procedures as outlined below.
Confirmation of Attendance
The final number of people attending a function, or the guarantee must be
communicated to the lodge seven business days (7) days in advance. This number is
considered a guarantee, not subject to reduction. Guarantees for Sunday, Monday,
and Tuesday are required by Noon the preceding Friday. The lodge is not responsible
for service over five percent (5%) of the estimated guarantee. The lodge reserves the
right to deny entrance to more than the maximum number or persons estimated.
Securing the Event, Deposits, Insurance and Cancellations
In order to secure space for an event a banquet contract must be signed. The deposit
to hold the space, securing the date is $500 per event and is non-refundable. This
deposit will be applied and reflective on the final event invoice on the day of the
event. A final invoice will be presented at the conclusion of the event to the person/s
indicated on the event contract responsible for payment in full. When lodge rooms are
required for guests to stay at the facility an additional $300 non-refundable deposit is
required for us to pre-book the lodge rooms and secure them from being sold to other
guests. These rooms are based on the current availability at the time the event
contract is signed and the deposits have been received. As indicated in the banquet
contract any damages to the property including lodge rooms, equipment and outside
grounds is the express responsibly of the client booking the event. Therefore it is a
requirement for all clients booking an event to provide proof of Event Liability Insurance
in the amount of $1,000,000.00.
Cancellations less than 30 days prior to the event are subject to full payment. Requests
for cancellations must be made in writing.
Service Charges and Taxes
A service charge of 18% will be charged to the event.
Renting Banquet Space/Event Only

If space only is being secured for an outside vendor/s to execute an event the banquet
space is rented on an hourly basis for the event hours and the number of hours for setup and tear-down based on the vendors requirements. The event space rental is on a
per room basis and the exterior ground space is not inclusive, but secured separately
and hourly rates apply accordingly.
Scheduling
Patron agrees to begin function promptly at the scheduled time and agrees to vacate
the designated function area at the closing hour as indicated. The patron also agrees
to reimburse the lodge for any wage payments or other expenses incurred due to the
Patrons failure to comply.
Signage and Banners
The lodge will not permit affixing of anything to the walls, floor or ceiling with nails,
staples, pins, glue, tape, etc. The lodge reserves the right to approve all signage in the
banquet and meeting areas, as well as all public space. Printed signs must be free
standing or on easels.
Hired Vendors
All outside vendors hired by guests for service must provide the lodge with proof of
liability insurance in the amount of $1,000,000.00. All vendors must comply with lodge
policies and procedures. Any food vendor utilizing the lodge kitchen must provide all of
their own cooking, prep pans and equipment as well as their own china, glass and
silverware. The kitchen space that is provided is for preparing, cooking and serving of
the food and beverage product. All cleaning of the vendors cookware and serving
wares is not permitted on site and must be removed and cleaned at their own facility.
Any vendor who is contracted to work on site must clean up after themselves and
remove all trash and equipment on the day of the event. No equipment can be stored
on site for any period of time. The vendor is a guest on property to perform a service for
a client who is paying for their services for a designated period of time as set forth by
their contract. It is the responsibility of the client paying for the event to communicate
all policies and procedures of Capernaum Lodge to the vendor to include that the
premise is alcohol and tobacco free and as a vendor they are prohibited from using
alcohol and tobacco products anywhere on the property. Vendors are required to
meet with Capernaum staff in advance of the event to discuss policies and
procedures.
Liability and Outdoor Functions
The lodge is not liable for its failure to perform any signed contract if such failure is due
to acts of God, labor problems, including but not limited to strikes, fire, flood, weather,
earthquake, restriction upon travel, food, beverage, or supplies, or any other cause
beyond its control.
Outdoor functions are subject to inclement weather conditions as the lodge has no
control over local weather. Should weather become a factor during the event hours,
the lodge will accommodate the event indoors as best as possible based on space
available. Regardless, no refunds will be honored based on inclement weather.

For any items rented by an outside vendor, all items are to be set-up and torn down
day of the event and cannot be stored or left on site upon conclusion of the event.
Damage and Loss
The lodge will not assume any responsibility for the damage or loss of any merchandise
or articles left in the lodge before or after your function unless prior arrangements have
been made.
Security
For certain events the lodge may require Security be provided at the clients expense.
