Standard Operating Procedure for Human Resource Process

1. Purpose

1.1 To ensure that each employee of CPMCBL is carefully recruited.


1.2 To ensure that each employee of CPMCBL adhere to the rules & regulation.
1.3 To ensure all Statutory & Regulatory requirements are met.

4.1.1 The manpower requirements from the departments of CPMCBL are projected by the
concerned departments to and received by the Manager Administration.
4.1.2 Based on the requirements action is taken to fill the requirements / vacancy,
through advertisements in the News Paper, Employee reference etc are sought for
the prospective candidate.
4.1.3 Following the above process, the resumes received are screened for the Educational
Qualification, Professional skills, and the Experience relevant to the nature of the
job, previous company documents like reliving letter, Address Proof, Fitness
Certificate, that match the requirements of CPMCBL/Specific Departments Skill &
competency matrix and they are short listed.
4.1.4 The short listed candidates are called for an interview, and candidates are
interviewed by the concerned HOD. Wherever required written tests are conducted
and based on the candidate’s performance, the Management reviews and on
acceptance \ selections are finalised.
4.1.5 The selected candidates are listed, intimated through an appointment letter
specifying the probationary period and about the selection and the last date for
joining / confirmation of their acceptance , Execution of contract (if any) etc..
Candidates are selected w.r.t. Organisation / contract / Customer / Requirement.
4.1.6 Application form is filled by the candidates R \ REC \ MAF \ 01.
4.1.7 Selected candidates are briefed with Company profile, Rules & Regulation,
concerned HOD impart specific training called Induction \ Orientation training R \
REC \ IDT \ 02.
4.1.8 Successful and willing candidates are recruited and photos taken for preparation of
ID Card. Temporary ID is issued and details recorded in Temporary ID Card Register
R \ REC \ TID \ 02
4.1.9 On completion of the specified training period Permanent ID card is issued and
details are recorded in ID Card Register R \ REC \ IDR \ 03.
4.20 All the complete details of the employee joined is recorded in the Manning Register
R \ REC \ MGR \ 04 ESI, PF & Labour License, Welfare Fund forms are filled up.
4.2.1 HOD issues Uniforms are issued to the new recruits through Uniform
Issue Register as in form No. R \ REC \ UIR \ 05.
4.2.2 Concerned HOD introduces the candidates to the respective work area and
reports to Field Officer of the particular area.
4.2.3 Attendance register is maintained by the Customer Care, where every
employee has to sign the attendance on a daily basis before he initiates his
work on the field. Biometric punching system is updated employee thumb
impression taken and identified with Employee No. Also Employee Time
Sheet is also maintained to record the in and out time.
4.2.4 Annual Appraisal is monitored by the process owners and the same is
handed over to COO through Manager Administration for his review in form
R \ REC \ AAR \ 06 .
4.2.5 A list of employees who have undergone training is maintained in the
personnel file and the effectiveness of the training is recorded on the same.

4.2.6 The candidates who are selected and could not join due to lack of vacancies
or responding late are put together in a “waiting list”. And will be posted in
due course against the requirements.
