ASSESSMENT INSTRUCTIONS
Overview
Prior to commencing the assessments your assessor will explain each task and the terms
and submission of your task. Please consult your assessor if you are unsure of any
questions. It is important that you understand and adhere to the terms and conditions
and address each task fully. If any task is not fully addressed then your assessment task
will not be marked. The assessor will support you throughout this process.
Written work
The assessment tasks are used to measure your understanding and underpinning skills
and knowledge of this unit of competency. When answering please ensure you address
each criteria and sub point, demonstrate your research each of the questions and cover
the topic in a logical and structured manner.
Active participation
It is a condition of enrolment that you actively participate in your studies. Active
participation is completing all tasks on time. If you do not participate you will be required
to report to Student Services Coordinator.
Plagiarism
Plagiarism is taking and using someone else's thoughts, writings or inventions and
representing them as your own. Plagiarism is a serious act and may result in a students
exclusion from a course. When you have any doubts about including the work of other
authors in your assessment, please consult your trainer/assessor. The following list
outlines some of the activities for which a student can be accused of plagiarism:
Presenting any work by another individual as one's own unintentionally
Handing in assessments markedly similar to or copied from another student
Presenting the work of another individual or group as their own work
Handing in assessments without the adequate acknowledgement of sources used,
including assessments taken totally or in part from the Internet
If it is identified that you have plagiarised within your assessment task, then we will
organise a meeting to discuss this with you.
Copyright
You must be careful when copying the work of others. The owner of the material may
take legal action against you if the owner's copyright has been infringed. You are
allowed to do a certain amount of copying for research or study purposes. Generally,
10% or one chapter of a book is acceptable, where the participant is studying with, or
employed by, an educational institution.

There are two outcomes of assessments: S=Satisfactory and NS = Not Satisfactory. You
will be awarded C=Competent if you have completed all tasks.

Assessment appeals process


If you feel that you have been unfairly treated during the assessment and you are
unhappy with the outcome you have a right to lodge an appeal. You must first discuss
the matter with your trainer/assessor. If you would like to proceed further with the
request you need to lodge an appeal to the Course Coordinator in writing outlining the
reason(s) for the appeal.
Special Needs
Candidates with special needs will have their request for adjustments to suit these needs
addressed immediately.
Application of the unit
This unit applies to individuals who possess fundamental skills in computer operations
and keyboarding, and basic skills in the operation of word processing software. They may
work as individuals who provide administrative support within an enterprise, or may be
technical/knowledge experts responsible for production of their own word-processed
documents.

Instructions to the students


Designing and producing text documents is an everyday part of working within an
organisation. It is important that you know how to prepare yourself to produce the
document and design the document according to the organisations requirements using
various formatting styles and advanced functions.
The following tasks / questions will enable you to demonstrate your ability to prepare to
produce word-processed documents. In small groups read and discuss the case study
below and answer the questions in the spaces provided remembering to follow the
answer guidelines. You may discuss each question in groups but answers must be
provided in your own words and not copied from other students.
Case study

Rachel is the receptionist in a busy office. Her main tasks are reception duties, word
processing, handling the mail and filing. Most days Rachels manager gives her urgent
work in the afternoon that needs to be completed that day. Her time lines are always
very tight and she often finds that she has to work during her lunch hour and for an
extra half hour in the evening. She is always exhausted and is becoming stressed.
Because her manager doesnt give Rachel adequate guidelines and there is no style
guide for her organisation Rachel spends a lot of time editing and printing drafts of her
text documents for her manager to continuously check before she can finish each task
and move onto the next.
To make matters worse, Rachel finds that work is often just dropped on her desk, which
makes her desk disorganised and difficult to use. She cant alter her chair and there is
glare coming from her screen. She often leaves work with a headache and a backache.

Designing and producing text document is an everyday part of working within an
organisation. It is important that you know how to prepare yourself to produce the
document and design the document according the organisations requirements using
various formatting styles and advanced functions.
STUDENT NOTE: You will have 2 hours to complete this Assessment Task 2. Ensure your
name is on the top of all the documents you print or email to your trainer and assessor;
and all documents must be submitted as instructed below. Ensure you also keep an
electronic copy for your own records to ensure there is no loss of work when using
electronic submissions.

2.1.You are required to design a word processed document, which suits the
purpose, audience and information required. The document must be set out in such a
way that it is easy to read and is appealing to the eye and it must meet organisational
requirements for style and layout. A formatting style sheet is provided to ensure
consistency of design and layout. Ensure that you put a version on flyer to keep an
eye on the progress of the document development.
(guide - you can choose to use various process applications or programs e.g. MSWord,
Open Office Processing program, Mac Pages etc).

When you are happy with your flyer, save it to your computer and print it off to show your Manager (trainer)

2.2. Your manager is very impressed with your flyer however, there is some additional
information she would like you to include in a table. You will need to access your file
again and edit the flyer inserting the following into a table

Role-play

Now that you have finished with the flyer and it is ready to be distributed to clients
you need to design a cover letter to advise clients about the flyer. The letter may be
emailed or posted to the clients.
To ensure that the correct information is inserted in the cover letter you must clarify
this with your manager and your team. Hold a meeting with colleagues and your
manager and discuss the points which would be suitable include in the cover letter.
The meeting shall take approximately 10 to 20 minutes.

b) Draft a Client Cover Letter, print or email the letter to your assessor for checking and
feedback with no logo. Ensure that you put version control on the draft. Once the
assessor provides feedback copy and paste the cover letter onto a letterhead, insert a
new version control and then again print and send the final version of the letter to your
