RECORDS CLERK/TRANSCRIPTIONIST, POLICE

DEPARTMENT
Incumbent serves as Records Clerk/Transcriptionist for the Anderson Police Department and is
responsible for maintaining official police records and transcribing a variety of documents.
DUTIES: Maintains various official department records and logs, including traffic and arrest sheets,
case incidents, and accident reports. Sends copies of reports to appropriate courts and agencies.
Transcribes initial incident reports called in by patrol officers, as well as accident reports, supplements
prepared by officers or assigned detectives, and related information, on a rotational basis with other
personnel.
Transcribes arrest sheets and affidavits in a timely fashion on a rotational basis with other personnel.
Processes gun and dealer license permits, including making security checks and properly recording
registration information.
Collects fees for gun permits, parking tickets, and accident reports and issues receipts. Counts
monies received and sends to Controllers office weekly.
Prepares minor Initial Case Reports and supplements, as well as release forms for towed vehicles.
Takes runaway reports and assigns arrest numbers.
Enters a variety of information into Communications computer screen for police dispatch.
Accepts money orders and bond slips. Issues release to County Jail.
Answers telephone, determines nature of call, responds to inquiries, and/or refers caller to
appropriate person or department.
Assists the public at counter by answering questions, making copies of documents, and notarizing
documents as needed.
Opens, sorts, and distributes department mail to appropriate person or division, responds to various
correspondence as necessary.
Enters pertinent information in department computer, including accident reports, arrests, complaints,
tow-ins, gas tickets, gun permits, and FBI and SID transcripts and reports.
Maintains inventory of department supplies, submits requisitions as needed, distributes supplies to
various divisions as needed.
Performs related duties as assigned.
I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

Ability to utilize a variety of office equipment, including computer, typewriter, microfilm machine,
calculator, copier, Dictaphone, word processing system, and telephone with experience in word
processing preferred.
Ability to transcribe a wide variety of documents with speed and a high degree of accuracy.
Working knowledge of standard rules and regulations of the Police department, and the ability to
properly maintain official department records and documents.
Thorough knowledge of English grammar, spelling, and punctuation, and the ability to perform
arithmetic calculations.
Ability to effectively communicate with a variety of government agencies and departments to explain
and interpret policies of the department.
Ability to maintain confidentiality of legal records and reports.
Possession of Notary Public License.
II. RESPONSIBILITY: Incumbent performs clerical and transcribing duties according to the
standardized practices of the department, utilizing independent judgment to select applicable
methods to complete tasks. Errors in judgment or accuracy are readily detected by procedural
safeguards or through supervisory review. Undetected errors may lead to loss of time to the
department and other agencies, false testimony, or legal action against the Department, officer,
and/or City.
Incumbent receives general instructions with work reviewed during various phases of completion for
accuracy and compliance with standardized practices.
III. PERSONAL WORK RELATIONSHIPS: Incumbent maintains frequent contact with co-workers
and superiors, police officers, representatives form other organizational units and agencies, and
members of the general public for a variety of purposes, including exchanging information, processing
and maintaining accurate police records, and providing public service.
Incumbent reports directly to the Executive Secretary or Office Manager.
IV. PHYSICAL EFFORT AND WORK ENVIRONMENT: Incumbent performs duties in a standard
office environment. Normal hearing acuity is necessary to discern audio transmissions for
transcribing. Transcribing duties are performed in a restricted seated position and involve exposure to
arrest reports and documents that are frequently of a graphic and disturbing nature.
