POLICY TITLE: POLICY ON THE USE OF SOCIAL MEDIA


POLICY PURPOSE: To clearly outline the privacy, confidentiality, legal and ehical
issues that all employees, physicians, and affiliates have in regard to the use of
social media.
POLICY STATEMENTS:
1. Actions outside of the workplace can affect your relationship with the Hospital if
such off-duty behaviors may impugn the reputation of the Hospital members,
staff, or patients;
2. Disclosing information on social media may affect the employment or
appointment and privileged relationships within the Hospital.;
3. Any Hospital staff or affiliate who violate this policy may be disciplined under
the Hospitals disciplinary process up to and including dismissal;
DEFINITIONS:
1. For the purpose of this Policy, social media means any facility for online
publication or commentary, including without limitation blogs, wikis, social
networking sites such as, but not limited to, Facebook, LinkedIn, Twitter, Flickr,
and Youtube.
PROCEDURE: In order to protect KDHI, staff, affiliates, clients, and partners, the
following procedure are in effect regarding participation by employees in social
media facilities:
1. Before publishing any material online, remember that what you post online is
legally considered public material and as such each employee of the KDHI
is personally responsible for his or her publilcations;
2. Social media content must comply with all our Hospital Policies including but not
limited to, our Code of Employee Discipline, workplace bullying, defamatory
remarks, and employee accountabilit policies;
a) Do not publish materials that are insulting, demeaning, or offensive to KDHI,
our staff, our affiliates, our clients and families, or any community partners,
or that damages our reputation in any way;
b) Do not reveal any confidential information related to KDHI, our staff, our
affiliates, our clients and families, and/or any community partners. Do not
disclose the names or personal information of your co-workers, supervisors,

or managers or discuss incidents that have occured in the workplace that


are not generally known outside the workplace. ABOVE ALL, remember our
legal responsibility for our patients privacy and confidentiality;
i.

All employees and affiliates are strictly prohibited from transmitting by


way of any electronic media any patient-related image. In addition, all
employees and affilliates are restricted from transmitting any
information that may reasonably be anticipated to violae patients rights
to confidentiality and privacy, or otherwise degrade or embarass the
patient;

ii.

All employees and affiliates must not share, post, or otherwise


disseminate any information or images about the patient or information
gained in the employee/affilliate-patient relationship with anyone unless
there is a patient-care-related need to disclose the information or other
legal obligations to do so;

iii.

All employes and affiliates must not identify patients by name, or post
or publish any information that may lead to the identification of the
patient. Limiting access to postings through privacy settings is not
sufficient to ensure privacy.

iv.

All employees and affiliates must not refer to patients in a disparaging or


insulting manner, even if the patient is not identified.

v.

All employees and affiliates must not take photos or videos of patients
on personal devices, including cell phones. Everyone should follow
policies for taking photographs or videos of patients for treatment or
other legitimate purposes using employer-provided devices only.

vi.

All employees and affiliates must maintain professional boundaries in


the use of electronic media. Like in-person relationships, everyone has
an obligation to establish, communicate and enforce professional
boundaries with patients in the online environment. Use caution when
having online social contact with patients or former patients. Online
contact with patients or former patients blurs the distinction between a
professional and personal relationship. The fact that a patient may
initiate contact with the employee/affiliate does not permit the
employee/affiliate to engage in a personal relationship with the patient.
Employees and affiliates must consult employer policies or an
appropriate leader within the organization for guidance regarding work
related postings.

All employees and affiliates must report any identified breach of


confidentiality or privacy.

viii.

All employees and affiliates must not make disparaging remarks about
the employer and co-workers. Do not make threatening, harassing,
profane, obscene, sexually explicit, tribally derogatory, homophobic, or
other offensive comments.

ix.

All employees and affiliates must not speak in behalf of the employer
unless authorized to do so and must follow all applicable policies by the
employer.

c) Do not involve, either directly or through links to other sites or web


domains, the unauthorized use of KDHIs intellectual property in your
communications as a specific permission is required to use the logos,
trademarks, and images owned by KDHI or by any other company to
reproduce the materials of KDHI.
d) If you identify the Hospital as your employer or include any information that
enables a reader to associate you with KDHI, you are required to include a
disclaimer statement or its equivalent stating that The content contained
herein is solely my opinion and does not represent the views of my
employer, Kidapawan Doctors Hospital, Inc.
e) Contact your supervisor or the Human Resource Department before
proceeding if you are concerned whether publishing a specific type of
content would be in violation of this policy.
f)

Any violation of this policy shall be considered a LESS SERIOUS Offense


except when aggravating or mitigating circumstances shall affect the final
decision of the Management.

g) If a violation will be found, the HR will compel the offending party to provide
evidence that the published material online is deleted and to submit all
existing and back-up copies of the photo or video for confiscation.
