Job Specification
We are looking to replace our outgoing Operations Manager to plan, direct and coordinate all of
the organizationps operations. You wiOO be responsibOe for improving performance, productivity,
efficiency and increasing donations through the implementation of effective methods and
strategies. You will manage a team of team of staff and volunteers and report to the Secretary
General
The role will be based in our Head Office in Stanmore, London, UK. Working hours are 09:00-
17:00 but flexibility out of hours to coordinate with volunteers will be expected.
Responsibilities:
Ensure that all projects are completed in a correct, cost effective and timely manner in alignment
with objectives and outcome requirements
Manage staff, volunteers and departmental leads to achieve the charities objectives
Coordinate via weekly calls between heads and staff to ensure key deliverables are achieved
Improve operational systems, processes and implement best practices to guarantee organizational
well-being
Report to the Secretary General / Deputy Secretary General progress of all projects on a weekly
basis and ensure weekly written reports are sent in a timely manner.
Support the Secretariat in production planning and making sure the activities and deliverables are
adequately resourced.
Identifying any skills gaps in the organisation and undertaking a recruitment programme to support
this.
Training of staff and managers to ensure that everyone is performing adequately in their role.
Ensuring key performance indicators are in place and production targets are met.
Implementation of any new policies and procedures relating to the production process.
Introducing and managing in-house IT systems ensuring that they are fit for purpose.
Requirements
Proven work experience as operations manager or other managerial experience
Experience of other Khoja institutions: The World Federation, Regional Federation, Jamaat,
Madrasah etc. would be beneficial.
