Dear Sir,
Kindly receive my application for the post of Administration and Finance Coordinator for which
am confident will meet all your expectations, which, I presume, is to deliver on the areas
outlined in the advert.
I am an experienced Accountant with years of hands on, in both profit and non-profit
organizations, in various capacities, applying unique talents and solutions to unique
challenges. This has enabled me solve hard situations by applying suitable approaches in order
to roll out the required deliverables.
I will bring that experience and an innovative approach, team spirit, learning and knowledge
sharing to the organisation.
I will design and/or update and implement finance, administration and HR systems and
procedures, design operating manuals, that will ensure effectiveness and address the internal
control environment;
I will ensure timely disbursements through accurate compliant transactions;
I will ensure adequate segregation, for both bank and cash transactions;
I will ensure the both cash and bank, payables and receivables are reconciled, at least
monthly;
I will continuously monitor cash levels to ensure activities are not impeded because of cash
shortages;
I will ensure timely (with deadlines) reporting for monthly, quarterly and year end reporting;
I will review budgeting procedures and if inadequate, introduce participatory planning and
budgeting so that there is a sense of ownership and this encourages and speeds
implementation;
I will design appropriate monitoring tools for spending against budgets. I will do this by
designing appropriate parameters that extract spending and budgets and produce budget
variance reports;
I will use the same tools to do project (cost centre) control reports and with appropriate IT
tools, raise red flags where there in under/(overspending;
I will make sure the organization abides with statutory obligations like PAYE, SSF, W/tax, etc,
where applicable; in order to avoid penalities and or litigation;
I will assist partner organizations through training, design for them simplified procedures and
report formats in order that they are in line with your mission and vision; and for
accountability purposes;
I will coordinate with line Managers on job descriptions and staffing requirements, performance
indicators, schedule of appraisals and staff development planning;
I will review (for completeness) the administration manual or procedures, update these and
discuss with all stakeholder so that they are aware of the operating environment;
I will develop a fixed assets and inventory policy, that will address the issues of aquisition, use,
maintenance and disposal;
I will make sure there is adequate computer infrastructure and dedicated internet, adequate
working space, secure premises, office supplies and encourage an open door policy, to raise
and maintain staff morale;
