Proposed Organizational Development Scheme

The following are proposed mandatory systems and organizational routines to be observed by the company
and its management and office staff effective on the day of its approval.

I. Bulletin & Memorandum System

III. Weekly Progress Report
IV. Month-End Management Committee Meeting (ManComm)
V. Online Group Conference (Executive Staff Only)
VI. Employee Evaluation System

I. Bulletin & Memoranda System


A bulletin board will serve as the announcement venue.
Two bulletin boards will be mounted, one for the La Castellana satellite office, and one for
the Bacolod main office.
Each bulletin board will be updated at least weekly, or as the HR and Communications
Department deems necessary.
Updates will cover all important information and notices from the Management.
Four (4) copies of memoranda will be given out to each Department Head in the beginning
of each month.
Department Heads will be tasked to inform and update the employees pertaining the
contents of the memoranda.

II.Daily Itinerary Record

An officer in charge, one person, each in Bacolod and La Castellana will be task to give out,
and collect the Daily Itinerary Record (DIR) of each office clerk.
The DIR will contain the task accomplished by the clerk at the end of his/her shift,
prescribed by the officer-in-charge.
Failure to submit the DIR will be translated to the Employee Evaluation.

III. Weekly Progress Report

A meeting will be held between the Department Managers and the Executive once every
week, preferably Sunday evenings.
Weekly Progress Report (WPR) will be discussed by each Department Manager, pertaining to
tasks accomplished by their respective department in the last work-week. Plans and
proposals may also be discussed during the meeting.
The WPR shall be printed in hard copy, and made available upon the request of the
management committee.
IV. Month End Management Committee Meeting (ManComm)

A regular ManComm shall be observed by the Department Managers and the Executive at
the end of each month.
The ManComm shall be a venue to raise long term and short term goals, as well as issues
that need remedy within the company.

V. Online Group Conference


To keep the consistency of communications, an online group conference shall be
established. All members of the Executive and Management shall be members, and are
tasked to keep track of all communications through this media.
This is to ensure that everyone concerned will be updated and kept in track, to avoid
miscommunication and the lack thereof.

VI. Employee Evaluation System.


The Human Resource Department shall establish an employee evaluation system `1
week after the approval of this proposal.
The employee evaluation system will keep track of employee performance, attendance
and appraisal.
The EES will also establish the penalties and sanctions applicable to absentee and non-
performing employees.
