Your Graduation
I welcome all graduands to the Autumn 2016 graduation
ceremony and congratulate you on your success. This is
an important stage in your career, a time to reflect, to
share your achievements with family and friends, and
the staff of the university.

It is also a time to consider your on-going learning


and career opportunities, to reflect on the changes in
technology that you have experienced in your lifetime,
and the changes ahead. It is an opportunity to think
about the possible impacts on your career, and how you
will cope with them through on-going learning. We dare not rest on our laurels in a rapidly
changing world.

Whatever career path you follow I urge you, as the alumni of New Zealands largest research-
led university, never to forget your alma mater your university. We rely on our graduates for
support - moral, political and financial. More so than ever, our alumni networks are valuable
contact points. They serve to keep alumni in touch with their peers, academic developments
and issues of interest. Alumni events are held around New Zealand and in major cities

contact wherever your future takes you.

There will be 10 graduation ceremonies held in the ASB Theatre at the Aotea Centre, Auckland City.
Each ceremony is expected to be approximately two hours long.

Tickets
E-Tickets for your invited guests are attached to this email; you do not require a ticket for yourself. Each
individual ticket has a unique barcode and is not transferable. The tickets are not allocated to specific
seats, but your guests must print their tickets. If they are not able to print them, they may show them
on their smartphone or iPad etc.
Children are welcome at graduation ceremonies, but ceremonies can be quite long. All children three
years old and over require a seat and a ticket.
Once you have received your tickets with this email, all tickets will have been fully allocated and we
regret that we will be unable to respond to requests for more.

Regalia Label
Your regalia label will be available to collect when you arrive at the Aotea Centre. Please go directly to
the 'Lower NZI' room where your regalia label collection will be organised alphabetically by surname.
Please ensure you arrive 45 minutes before your ceremony starts so you have time to collect your label.

If you have any graduation questions prior to your graduation day, please refer to our section of the
University website:

If you become unable to attend the ceremony in person, you must notify the Graduation Office by
email: graduation@auckland.ac.nz. Your notification must include your name, student ID number, date
of birth and the qualification that you are to receive.
It is important you let us know if you will not be attending so we can re-allocate your tickets to
other students.

Disability
If you (the graduand) have a disability and/or require assistance, please contact the Graduation Office
via email graduation@auckland.ac.nz as soon as possible so that special arrangements can be made.
If your guest is in a wheelchair, please also contact us with their details so we can arrange for a seat to
be removed in the venue.

Street Procession
On graduation day the formalities start with a street procession from the University to the
Aotea Centre.
Assemble for the street procession at 9am in the Alumni Marquee, the large tent on Old Government
House grounds.

The following protocol for graduation street processions is important to note:


The procession is for graduands and members of the University staff and Council only.
Spectators and children are not permitted to join the street procession and for safety reasons
must remain on the footpath.
Graduands are responsible for their own safety and must follow instructions from event
marshals and Police at all times.
Graduands assemble in the Marquee. The procession will exit the Marquee onto the path outside
Old Government House before proceeding onto Bowen Avenue and down Victoria Street East. After
travelling up Queen Street, the procession will move into Aotea Square.
Graduands in ceremonies starting later in the day may report directly to the Aotea Centre at their
appointed time, but are encouraged to participate in the procession on their graduation day.
In the unlikely event that the procession from the University is cancelled, graduands in the Marquee
will be informed and asked to make their own way to the Aotea Centre. Notice will also be available
through the Student Contact Centre, 0800 61 62 63, and on Facebook.

After graduation, your name and qualification will be added to the publicly-accessible University
of Auckland convocation website:
www.auckland.ac.nz/convocation
The University provides schools with a list of names of their former students who have graduated.
The University undertakes to collect, use and disclose personal information in accordance with the
Privacy Act 1993.

Assemble for your ceremony in the Lower NZI Room of the Aotea Centre, 45 minutes before the
start of your ceremony, as follows:
Ceremony One, Five & Eight 9.45am
Ceremony Two, Six & Nine 12.45pm
Ceremony Three, Seven & Ten 3.45pm
Ceremony Four 6.45pm
Be on time. Late arrivals may not be admitted.

Upon Arrival
Graduands and Guests can enter the venue via the main
entrance up the steps from Aotea square (BNZ Foyer, Level 3)
or via the Aotea square level entrance (Owens Foyer,
Level 2). Guests can find auditorium seating in Levels 2, 3, 4
and 5 of the venue.

Where possible leave all flowers, cameras and handbags


with your guests prior to reporting to the Lower NZI Room
(Level 1) to assemble for your ceremony. If you are
graduating in Ceremony One, Five & Eight and plan
on walking in the procession, it is advisable to leave your
belongings with you guests prior to the procession as you
will be processing straight to the Lower NZI Room when the
procession reaches the venue.

In the Lower NZI Room collect your regalia label and then
line up behind the sign appropriate to your graduand
number, following instructions from the marshals.
The marshals will then guide the graduands from the Lower
NZI Room into the auditorium (Owens Foyer, Level 2).

Remain standing when you get to your seat. Please join in


the singing of the two verses of Gaudeamus (see page 42)
as the Official Party processes to the stage. Once the
Official Party has been seated, you can sit down. Until you
graduate you are referred to as a graduand.

Graduand Number
Your graduand number is very important as it determines the seating arrangements in the
Auditorium and the order in which you will go up to the stage. Your graduand number is
on your regalia label. Please wear your regalia label prominently on the front right-hand
side of your gown. Please note - If you are graduating in two different ceremonies you will
receive two regalia labels prior to each ceremony.

Ceremony Proceedings
Conferring of Degrees and Awarding of Diplomas
Marshals will direct you to line up at the correct time.
Once your name is called, you cross the stage to meet the Chancellor.
If you have a trencher, hold it in your left hand.
If you are graduating to a degree, the Chancellor will hold the ceremonial trencher over your
head and shake your right hand. If you are graduating to a diploma the Chancellor will simply
shake your hand.
If for any reason you do not wish to shake the Chancellors hand, please keep your right hand
by your side.
You are now a graduate! If you are carrying a trencher, put it on, cross to the other side of the
stage and return to your seat.
You will be presented with your certificate once you have stepped off stage.

Guests
Please ensure that your guests are considerate of others, especially when taking photographs. They will
not be permitted to move around the auditorium during the ceremony.

Mobile phones need to be switched off during the ceremony.

Ceremony Conclusion
At the end of the ceremony, please stand and join in the singing of God Defend New Zealand, first in
Mori, then in English. The words are printed in the Graduation Programme. It is customary for men to
remove their trenchers.
The Official Party and academic staff will leave the stage. The marshals will then direct the graduates
to leave the auditorium.

Academic Dress
New Zealand universities have a system of academic dress which indicates the degree ie. Bachelor,
Master, or Doctor.
The cap for all graduates other than Doctors is a black trencher with a tassel. Doctors wear a black
velvet bonnet.
The hood for a Bachelors degree is lined with coloured satin in the colour for the degree, and is
bordered with white fur. A Masters degree hood is also lined with coloured satin but has no fur. The
Doctor of Philosophy has a scarlet hood.

Wearing your Regalia


Graduands wear the gown and hood appropriate to their degree and/or gown and diploma scarf if
applicable and carry their trenchers including in the procession.
Trenchers are not worn until the graduand has crossed the stage during the ceremony.

Trencher: The trencher is worn with the shorter peak to the front; the top should be flat on your head.
Wear the tassel over your left eye.
Gown: The gown should be worn mid-calf length. Your arms should pass through the sleeve openings,
not the slits.
Hood: The hood is worn hanging down your back and is held in place by the neck-band. You can secure
the neck-band by pinning it onto your gown with safety pins.
The hood should hang showing a section of the coloured lining on the right-hand side.
You only wear one hood - it is not appropriate to wear two hoods during the ceremony.
Scarf: The scarf is worn around the neck and down the front of the gown.
Correct academic dress for diploma recipients who are not graduates is an undergraduate gown and
the appropriate diploma scarf. If you are being awarded a diploma and already have a degree, you
need to wear the full regalia for your degree, along with the correct diploma scarf. If your degree is
from another university, you can either wear the complete regalia for that university, or the University
of Auckland equivalent.
If in any doubt about what regalia you require or how to wear your regalia, please ask for assistance
when you collect it, or check with one of the marshals at the assembly areas.

Regalia Hire
The Kate Edger Educational Charitable Trust, trading as Academic Dress Hire is the preferred supplier
of regalia for the University of Auckland. Proceeds generated from the hire of regalia are used to
provide scholarships in the Auckland region. The University works closely with Academic Dress Hire to

What to Wear to Graduation


Your graduation ceremony is a formal celebration which takes place during a Meeting of the University
Council. You are expected to dress appropriately. In addition to the correct academic regalia, some
graduands choose to wear clothing or garments of honour from their tradition such as a sari, korowai
or taovala. The hood should be worn over the top of other such garments.
You may find it helpful to wear a shirt and tie. Placing the neck-band of your hood under your tie
helps to hold your hood in place.
Safety pins are also useful to secure your hood.
You are welcome to use a cultural or heirloom brooch to pin your regalia. These are the only other
accoutrements permitted.
Graduation day involves a considerable amount of walking and standing, and some stairs, so very
high heels may not be practical.
You will be videoed and photographed throughout the day, so you might like to look your best!
You must wear the appropriate academic regalia, in order to participate in the procession or ceremony.

How to wear your Regalia a visual guide
Junior (below) is wearing a Masters hood with a Postgraduate Scarf (The scarf goes under the
hood when wearing together). The hood has been held in place by wearing a tie over the neck
band. Junior has on the appropriate Masters gown with his arms through the slits in the sleeves.
His trencher sits with the shorter peak to the front and the tassel over his left eye.
Jade (opposite) is wearing a Bachelors hood and the appropriate Bachelors gown. She has
secured the hood in place by pinning the neckband to the front of the gown. Her arms pass
through the sleeve openings, not the slits. Jades trencher is worn in the same way as Juniors.

Frequently Asked Questions
When is the last day to defer your graduation?
The final date to defer from 2016 Autumn Graduation season was 1 April. After this date it is not possible
to defer, and if you are unable to attend the ceremony you will graduate in absentia.
What is graduating in absentia?
Graduating in absentia means that although your degree will be conferred or diploma awarded at the
ceremony or Meeting of Council, you will not be attending in person. If you graduate in absentia, you
cannot attend a ceremony for that same qualification in the future.
Where do we go, when we arrive at the Aotea Centre?
Guest entry to the auditorium will be open for guests to begin seating 25 minutes before the ceremony.
Graduands should assemble at Lower NZI, no less than 45 minutes before the ceremony. We will
arrange you in the order you will be seated; graduands will then be led in an official procession into the
auditorium, and seated in specified graduand seating, ready for the ceremony.
Are there fees for graduation and what do they include?
No. There is no costfor attendingyourgraduation ceremony,or for guest tickets. However, other fees
may apply if you:
Graduate in Person
If youchoose to graduate in person, you will need to hire regalia. To find out more about regalia hire,
contactAcademic Dress Hire.
Graduate in Absentia
There is a cost if yourequest for your certificate to be sent by courier:
Within New Zealand: $10.
To Australia: $30.
Anywhere else in the world: $60.
There is no cost for you to have your certificate posted by standard mail.However, we do not recommend
standard post as the certificate is a non-standard size and its untracked, so this is at the requesters
own risk.
Do graduands need a ticket to attend their graduation ceremony?
No. Graduands do not need a ticket for their graduation ceremony. Tickets are only required for guests.
Can I get extra guest tickets?
We guarantee all students up to three requested tickets during the online application for Graduation.
It is possible to request more than three tickets and if we have any available, we will include these
when we email you. If you do not receive all the tickets you requested, we did not have any extra tickets
available. During the ceremony, a viewing room with a live video link will be available for any guests
without tickets; ushers at the venue will direct these guests there. (see level 5 on page 9)
How do I cancel unwanted guest seats at my ceremony?
Please contact the Graduation Office by email at graduation@auckland.ac.nz as soon as possible to let
us know. Please include your full name, ID number and the number of tickets you would like to cancel.

What should I do if I can no longer attend my ceremony?
In this case, you will be graduated in absentia during the ceremony. Please contact the Graduation
Office by email at graduation@auckland.ac.nz as soon as possible to let us know you can no longer
attend. Please include the following information:
1. Your full name
2. Your ID number
3. Your date of birth
4. The qualification with which you are graduating
5. Whether you would like your certificate sent via standard mail, or whether you would like it
couriered to you.
Your certificate will be sent out around two weeks after the ceremonies. If you would prefer to have
your certificate sent out to you via courier, you will need to fill out an AS-39c form (available via the
University website) and return it to our office, as directed on the form.
How do I order my regalia?
To find out the regalia you require, including your graduation colours, and where to hire regalia, see
page 13. We recommend you visit Academic Dress Hire. Alternatively, you can hire or purchase regalia
from Out n About Graduation Regalia.
Can a friend or family member collect my regalia?
Yes, a friend or family member can collect your regalia for you.

What should I wear under my regalia?
Graduation is a formal celebration of your achievement and we recommend that graduands and guests
wear business-like attire. Previous graduands offer the following advice:
You will be photographed throughout the day, so you might like to look your best.
Men may find a shirt and tie useful for holding the hood in place; women may like to bring a pin or
other fastening that will allow them to fasten their hood to their clothing.
Choose a hairstyle that will allow you to wear your trencher comfortably and securely.
Due to the considerable amount of walking and standing, very high heels may not be practical.

We also encourage students to wear national dress e.g., a lei, korowai, sari. However, you must ensure
that your academic hood is worn over the top of any other clothing. If you wear a headdress for cultural
or religious reasons, you should still hire a trencher, but you do not need to wear it. Instead, you should
carry it in your left hand on stage, and after leaving the stage.
Is parking available at Aotea Centre?
The closest option is the Civic Car Park, located directly below Aotea Centre. It has internal access to
Aotea Centre and over 1,000 car park spaces available. There are also a number of parking options
throughout the City centre, and close to the University. Street parking is often very difficult to find on
Graduation days!

How long will the ceremony last?
A graduation ceremony normally lasts between 1.5 to 2 hours. The exact length of the ceremony depends on
the number of students graduating, but it is very unlikely that the ceremony will last more than 2.5 hours.
Can I leave the ceremony after I have collected my certificate?
No, you must stay until the end of the ceremony andthe Chancellor and official party have left the
auditorium. If it is an emergency and you must leave, please notify a member of staff.
Are seats allocated for the ceremony?
Seating is allocated for graduands; however, there are no seat allocations for guests.
Can I sit with my family and friends during the ceremony?
No. Graduand seats will have been allocated in a strict seat and row order according to Faculty. You
cannot change your allocated seat and you are asked to proceed into the ceremonial hall and be seated
as soon as possible. The reader will call out names in the order you have been seated, it is therefore very
important to remain in your correct seat.
Can children attend graduation?
Yes, children can attend graduation ceremonies. Children who are three years old and over will require
a seat and a ticket. As the ceremony can last up to 2.5 hours, it may be too long for young children.
Can we throw our trenchers into the air once we have graduated?
Unfortunately, this is not permitted; as our trenchers are made of a hard material, it would be very
dangerous if students were to do this as a group, or even individually.
Are photos allowed during graduation events?
Yes. However, all guest and graduands will only be able to take a photograph from your seat.
Official photographers from Timeless Images Photography will take photographs during the ceremony
which can be ordered from Timeless Images Photography.
Where can I have my graduation photographs taken?
You can have your official photograph taken by Timeless Images Photography. They are available in the
Aotea Centre and the Alumni Marquee. For more information, see page 34 & 35 of your e-book.
Is there special seating available for a disabled graduand?
Please contact the Graduation Office at graduation@auckland.ac.nz as soon as possible to advise us if
you are a graduand and require specific access or seating arrangements.
Can you assist disabled guests with seating for my graduation ceremony?
If you would like special access seating for your guest(s) please contact us via graduation@auckland.
ac.nz as soon as possible with their details so we can arrange for a seat to be removed at the venue. If
you have any difficulties on the day please speak with one of our staff members (or seek out an usher at
the venue - usually stationed at each entrance) before processing into the auditorium.
Can I still graduate if I have debts to the University?
Yes. Although the University will withhold your degree certificate when you have a hold on your
account (such as the one created by debts), we will not prevent you from participating in the graduation
ceremony, and graduating. When you have paid your debt, tell us and we will make your certificate

Before the day
Find out what the correct regalia is for your qualification search for What to Wear on the
University website, or see page 16 & 17 of this booklet.
Order your regalia (if ordering via Academic Dress Hire, it is best to order online via their website:
www.academicdresshire.co.nz).
Collect your regalia in the days before your ceremony.
Clear outstanding debts to the University by 15 April 2016.
Contact the Graduation Office at graduation@auckland.ac.nz if you or your guests require any
special seating arrangements.
RSVP to your Faculty and/or Department celebration, if attending.
Organise your travel arrangements for the day.
Book your photo appointment with our official graduation photographer (optional).
Contact the Graduation Office if there are any changes to the number of tickets you require, if you
find you can no longer attend the ceremony, or if there are any other issues we should know about.

On the day
Ensure you are wearing the correct and complete regalia for your qualification.
Make sure you arrive at Aotea Centre 45 minutes before your ceremony starts, so you have time to
collect your regalia label. Assembly is in Lower NZI.
Remind your guests to print and bring their tickets (unfortunately, guests with forgotten tickets may
not be admitted to the ceremony).
Attend the street procession (optional) - assembly is at 9am, in the Alumni Marquee.
Attend Faculty and/or Department celebrations (optional).
Have your photos taken with the Graduation photographer (optional).
Have an excellent time and enjoy your celebration!
