NOTE:
1. It can be seen n the above example that the transferee in the second sale deed and the transferor
in the third sale deed are different. This indicates that there is a missing document. It may so happen that
in the third sale deed all the three transactions are mentioned. Inspite of that, the Encumbrance
Certificate for the period from 04-06-2005 to 07-07-2007 should be necessarily called for and put in the
self-indexing file. If EC has already been produced by the citizen, details of the same should be mentioned
in the above table as shown above. In case EC is not there in the file the same can be got either from the
citizen or the concerned department.

2. Further it should be noted that the mode of acquisition of rights need not necessarily be sale. It could
be through will or gift or partition or inheritance. Whaterver be the mode of acqusiton of rights, the same
should be clearly indicated in the column 'TYPE OF DOCUMENT'.

3. While entering the date of the document it should be done with care. Presently almost all documents
need to be registered. Thus in case of registered documents, the date of document will be the date of
registration. In the case of will which need not be registered, it would be the date of death of the person
who has made the will. (If will happens to be the latest document then the death certificate of the person
who made the will should necessarily be one of the essential document). In case of EC the date of the EC
