INTRODUCTION
The people and the business world have witnessed the proliferation of computer system

that favors to meet the goal of Information Technology in a modern history of the computer.

Businesses thrive, flourish, compete and prosper, and in order for businesses to stay in the

business competition, they need to seek out for ways in maintaining a competitive edge. Before,

big companies used a logbook for listing stocks, computing sales, viewing pull-out deliveries,

and managing stocks, manually. It exerts too much time and effort for managing their inventory.

Later, when developing system comes out in industry, all records of each item at the same time

managing it can be easier and more efficient by using a system.

For retail businesses, it is a necessary to have an inventory system that gives the

management information on what goods are in store, what goods have been purchased, and what

goods have been sold. Failure to maintain an accurate inventory system will cause a big impact

to the businesses that it could lead to significant opportunity costs of missing out a good sale

because of out-of-stock items.

The EN Barong Filipino is one of the most promising fashion store when it comes into

casual and formal attire. They provide this kind of fashion for different occasions in different

parts of the Philippines. However, this kind of business is not easy to handle. Lots of work in

every branch is very tiring mostly in recording the data manually.

In a retail company like EN Barong Filipino, multiple transactions are made on a daily

basis. These may range from marketing, product development, monitoring of cash flows,

promotion, beginning and ending inventory to clerical work. All these require manpower which

may mean a slash on the cash budget and the possible outpour of workload.
The researchers have come up with a proposed study to develop their existing manual

system through computerization, design, create a link database system in their inventory

functions to easily process their transaction and avoid the common problems that they encounter.

Developing this kind of system made an easier way for the user in processing the records.

The user will be the one to manipulate the data in the system. The EN Barong Filipino is a

family-owned business. Creating a well-known and high quality mens attire. Theyve been

recognize by enhancing the design and quality of it.

It started supplying and distributing products at SM Department Stores nationwide. They

are now present and can be seen in different Kultura Filipino outlets. It expanded the company

branch by joining the Wellworth Department Store in Fairview, Quezon City. Barong Filipino

achieved to have a new brand design of clothing. It is called MAYUMI and is made for young

ladies with its distinct looks and styles.

The technology use in this system are VB.net as programming language and Wamp

Server as the database manager. VB.net is easy to use for creating graphical user interface and

codes. It is one of the most programming language used by different programmers. And Wamp

Server to create a database to gather and store data.

Barong Filipino has trouble in manually recording the data. They also have trouble in

computing and enlisting stocks. It consume lots of time and effort. Instead of spending their

remaining time to finish other works. Somehow, manually recording data of their stocks losses

some important details. The unrecognizable hand writing of the data encoder is one of the main

problem of the employee.

STATEMENT OF THE PROBLEM

The manually method of recording the data of the products of EN Barong Filipino results

of having a hard time writing the data and it consumes lots of time. Especially, when the

penmanship of the employee is hard to understand. They sometimes forget to write a record for

an item.

How to have an easier way of understanding the recorded data? They usually

recording a data with some items missing. Wrong information of the item sometimes is the

problem. It makes a complicated situation for the responsible employee who handle it.

How to provide an easier way of recording the data? They manually recording the

data of the products. It consumes lots of their time and energy.

OBJECTIVES OF THE STUDY

The main objective of this study is to develop a system that will be easily use by the

user. Specifically, it aims to:

1. design a system that will help employees to have an easier way of recording data;

2. build the system efficiency for the employees;

3. create a user-friendly interface for the user, and;

4. develop a more advance and not too much time consuming system.

Review of Related Literature and Studies

The literature and studies cited in this chapter tackle the different concept, understanding,

ideas, generalization or conclusions and different development related to study of Inventory

Management from the past up to the present and which serves as a guide for the researchers in

developing the project. Those that were also included in this chapter helps in familiarizing

information that are relevant and similar to the present study.

Foreign Literature

Inventory management is an important part of any retail business. It provides information

about the condition of the products, as to whether are below their safety stock or whether

available or not.

Inventory is one of the most important in monitoring a stock that take place in business

activity. The inventory system does the entire task in computing the value with inventory (cost

and quality) and handling data or information. Inventory System maintains an orderly flow of

supplies, raw materials, or finished goods through an office shop/factory because of items in any

inventory. Represents cost, they need to be controlled. The purpose of inventory system for

management are to keep inventory levels and cost at desire minimums while maintaining to

proper safeguards over materials to places and people who need them. (Warren R. Planret, 2002).

Brian Sutter stated in the article that all of us have experienced inventory problems.

Inaccurate information counts that cause mischance or bad lucks, delays because of not accurate

information resulting in displeased customers, costly end-of-year write-offs, and wasted time

spent looking for lost inventory, are the most common pain points sited by businesses. Manually

tracking inventory is an old way. Upgrading your business will only result in more money saved,
improved record keeping, easily located inventory and time saved. (Brian Sutter, Fight Inventory

Pain Points 2014).

Inventory Management is not easy. If it were, more companies would be good at it but

being competent at managing inventory isn't all that difficult either, likely have not previously

experienced. It actually explains inventory management, and in doing so, exposes the good, the

bad, and the ugly aspects of it. (David Piasecki, 2009)

Inventory management systems were created to help dealerships implement, maintain, and

fine-tune their inventory plans. Dealers who use inventory management systems realize quicker

vehicle turns and a higher ROI (Return On Investment) than dealers that dont. Choosing the

right system can make a significant contribution to your inventory management efforts. This

strategy helps a lot to come up with a successful outcome. (Tim Zierden, 2009).

According to Audra Bianca, using Sales and Inventory Monitoring System, the company

makes strategic business decisions concerning in purchasing raw materials, production

scheduling, pricing, and other decisions in the supply chain. Sales and inventory data allows the

company to decide whether they will increase or decrease the production of goods in their

factory so the company won't have too many finished products or stocks stored in its

warehouses. It collects data to provide what is necessary in production scheduling. The system

compares current inventory status of a product and the number scheduled for production with the

number needed, and it can determines if the level of production must be changed. Automated

sales and inventory monitoring gives a company a competitive advantage by linking different

automated processes within the supply chain. For example, automating the ordering process for

customers and the production scheduling, then adjusting manufacturing based on up to date
inventory levels, makes a company more flexible, capable of deciding how to best satisfy the

orders of the customers. (Audra Bianca, Demand Media, 2007).

According to Jeff Wourio, online sales and inventory system are designed to directly record

all sales and inventory transactions. It is less disturbing to a business owner than observing their

staff stressing themselves with inefficient, unproductive responsibilities, from double-checking

his inventory disparities to seemingly endless cash-register reconciliation. Perhaps the greatest

advantage to a comprehensive point of sale network is the freedom it can afford on personnel to

devote their energy to what genuinely matters the most helping customers.

Sales and marketing information systems are used to build a new good and services

(product analysis), to determine the best location for production and distribution facilities (place

or site analysis), determine the best advertising and sales approaches (promotion analysis), and

set product prices to get the highest total revenues (price analysis), Stair and Reynolds stated on

their book, Principles of Information System. (2009).

On the book, "System Analysis and Design Transaction processing system data generated

by day-to-day business operations. Transaction processing are efficient because they process a

set of transaction related commands as a group rather than individually to protect data integrity

however, TP systems ensure that if any single element of a transaction fails, the system does not

process the next transaction. (Shelly, Cashman, Rosenblatt, 2007).

In business like merchandising, Inventory system plays an important job. It is used to track

all the business transactions and responsible for monitoring the items supplies. All the business

transactions or information must be properly recorded and must be fully secured by password. A

Computerized system is the best solution and most innovative answer for their needs.
Local Literature

Computer-based system is complex and complicated system wherein information

technology plays a major role. It makes our job easier, faster and more accurate. Due to that fact,

the automated scheme has become essential to small and big companies for they are expected to

give the best services possible. Nevertheless, some businesses still prefer sticking with the

system that is not integrated with technology. Probable causes are computer illiterate staff and

lack of funds. Companies, especially the big ones are recommended to switch from manual to

automated systems because this will improve the efficiency and productivity of the business

which will uplift the industrys reputation.

One of the most sought after automated systems of different companies is a purchasing and

inventory system which comes hand in hand. A purchasing and inventory system is very

important in every organization because a good purchase and inventory management can create

excellent productivity. Primarily, inventory work consists of input, output and restock. Input is a

process of buying new products into the inventory and replacing the old products with the new

ones. Meanwhile, output is a procedure of taking out the products from the inventory for sales or

usage and refill is a process of increasing the number of existing products in the inventory in

order to fulfill the insufficient products or escalating demands. Most of the retailing market is

using traditional way in the inventory management system where a person is assigned to check

and record the stock by hand using pen and paper. It is where operations with regards to all the

stock will be archived. (StudyMode, 2010)

In an article entitled Stop Employee Pilferage: Inventory controls are key to dissuade

employees from stealing the author said that: Computers can only do much, but coupled with

inculcating honesty among staff and instituting the appropriate deterrents, they can work very
well in minimizing losses and pilferages. It is therefore highly advisable to do both the manual

and the computerized inventory system in a retail and wholesale business. (Junaito Villegas,

2009)

Most small businesses underestimate the importance of managing their inventory. They do

not realize that many headaches and fire drills are caused by the lack of control and knowledge

of their inventory. Whether it is a lack of knowledge of the quantity or specs of a certain product,

businesses too frequently use outdated inventory systems. Insufficient systems do not allow

them to get the most out of their inventory, because when used properly, inventory management

systems allow businesses to make a concise, real time analysis of products and markets that help

them make better business decisions. Inventory management systems also allow businesses to

better serve their customers since they keep a detailed and accurate record of purchase histories

and trends so they can reorder products more efficiently restaurant business was primarily

through tie-ups with travel agencies, while advertising through radio was utilized only by some

establishments.

Foreign Studies

Computerized inventory management systems provides a lot of benefits that are

not easy to get using paper methods or an in-house spreadsheet. Systems that are specific to the

lab can be used relatively quickly without a significant learning curve or system customization.

The ability to analyze the inventory, item usage, purchasing history, and other areas (e.g., lot

numbers, equipment) are important improvements to spreadsheets and paper systems. If the

system includes equipment tracking, it can be used to determine the capital asset as well as track

the service history and lifespan of equipment. The ability to streamline and automate many of the
inventory control tasks will be increasingly important to reduce hands-on time while improving

the analysis of trends, reducing stock-outs, and avoiding expiring reagents. The ability to ensure

that the right reagent in the right quantity is present at the right time is critical to laboratory

operations. Given that reagents are approximately one-half of most labs' operating budgets, a

continued focus on this expense will assist the laboratory in continuing to provide accurate and

timely laboratory testing at the lowest cost. (Thomas M. McHugh, 2011).

In a study by Aparanjitha 2008, Online Sales and Inventory Management System (SIMS)

can be used to store the details of inventory, update the inventory based on the sale details,

produce receipts for sales, generate sales and inventory reports periodically, etc. This is one

integrated system that contains both the user component (used by salesperson, sales manager,

inventory managers, etc.) and the admin component (used by the administrators for performing

admin level functions such as adding new items to the inventory, changing the price of an item,

etc.). This system runs on multiple terminals, offers GUI to its users and connects to a common

database(s).

The University of Alberta Facility Inventory System provides a computerized inventory

of equipment on campus for departmental, faculty and central administrative functions. The

system has the responsibility to ensure that all new equipment acquisitions are inventoried.

Initially, this involves scrutinizing all completed purchase orders, followed by an Equipment

Inventory staff member locating and tagging the equipment and processing the information. Only

Facility Inventory System has the ability to provide with the complete task by using borrowing

with lending system that elaborate the data user.

Inventory refers to stocks of anything necessary to do business

The U.S. Small Business Administration publication describes what constitutes successful

inventory management(balancing cost versus benefits of inventory), including: Maintaining a

wide assortment without spreading the rapidly moving items too thin, Increasing inventory

turnover without sacrificing service, Keeping stock low without sacrificing performance ,

Obtaining lower prices by making volume purchases, Maintaining an adequate inventory without

an excess of obsolete items. Anyone in business must understand the business of inventory. (

U.S. Small Business Administration, 2010, pp. 1-2).

Sales are affected by many factors besides advertising, such as product features, price and

availability. Service is the anything which organization offers to customers. It is the means by

which customers needs are satisfied. Service organizations need to follow a strategic approach

for effective service that can increase customer satisfaction that influences the profitability

(Ketler, 2009).

Local Studies

Technology has taken a big leap forward in 21st century. Technology has influenced &

greatly simplified almost in every aspect of a students life today, it makes our job more easier

and less hassle that's why technology make a big impact to our society and how we became

dependent on it. Having computers in the workplace has enabled the business to more efficiently

and has contributed in having on all around better businesses. This increase in usage of computer

proves that computers have affected every aspect of our lives and have become one of the

necessities. Many developers have contributed to such an advancement and widespread of

computer technology.
Nowadays there are so many companies using computer system to improve the quality of

service of their company, but there are some companies still using manual computing for their

product inventory like LC Pc Net Sales & Services. It is the first company that he built in order

to apply his knowledge and skills in his past schooling, together with his friends as employee.

Their products are such peripherals. (AMA, 2010)

According to the study entitled Osaka Sales and Inventory System (Laranang, Maao, and

Naola, 2009) it states that business nowadays takes the advantage of using modern technology

to improve their status and ensuring an efficient and newer way to make their work easier. They

state that the main problem of the Osaka Iridology is what modern effective tool must be used in

creating and developing a sales and inventory system that will manage efficiently their

transaction. So they develop a system that inclusively for the transaction of Osaka Iridology,

such as monitoring of their medicine and their daily sales.

Also stated in the research, Sales and Inventory System For Schema Mega Center

(Almeda, Daez, Geronimo), the proposed system are not just only accurate, reliable, and fast in

processing transactions rather it is also provided more systematic way of transacting with the

members and through the billing system also helped the employees to save a lot of time on

transaction processing.

The research study conducted by the Leyte Normal University students, they developed a

system, Longjas Trading Online Sales and Inventory, with high levels of reliability and

availability required of business to consumer Websites that requires not only great technology,

but also great operational processes. Building a scalable, highly available application is a

necessary process in becoming functional as an e-commerce entity.

Another research study with the title name Sales Inventory for Gaisano Capital

Tacloban Branch, that deals with sales inventory wherein the customers will purchase the item,

and then the cashier will scan the barcode to the barcode reader machine and automatically

compute the sold items, available and generate sales inventory report. The objectives of their

research study is to have an accurate sales, stock, availability of the goods, lessen the work load

of the management employee and have a smooth flow of sales inventory.

Sales and Inventory System Software developed for a Company, is a system designed to

achieve maximum efficiency and reduce the time taken to handle the payroll activity. It is

developed to It is designed to replace an existing manual record system thereby reducing time

taken for calculations and for storing data. The system is strong enough to withstand regressive

daily operations under conditions where the database is maintained and cleared over a certain

time of span. The implementation of the system in the organization will considerably reduce data

entry, time and also provide readily calculated reports (Santiago, Acopiado, Dabodabo &

Gomez,2015).

Thesis entitled Property Inventory System of Cavite State University-Imus Campus

aimed to develop a Computerized Property Inventory System in a client-server environment. It

was conducted by Perea to enhance efficiency and productive of personnel in the supply office

in recording of properties of the university. The proponents used different methods in gathering

data such as interview and research through reading and surfing the net.

The data flow diagram was used in analyzing system in developing the software,

integration of waterfall and rapid prototyping paradigm was used. A series of test such

As visual basic is the programming language used by the proponents to develop their system.

(Perea, Lester 2007).

Conceptual Model of the Study

The study would focus on trying to come up with a better alternative in terms of

Inventory System, which at the present is being done manually for the most part.

The said alternative would be the Forma Wear Inventory System for EN Barong. It is

expected that upon its implementation, all processes connected to Forma Wear Inventory System

of EN Barong would be more efficient and effective.

Materials and Methods

This chapter presents the requirements in developing the system and its functions.

Necessary materials used by the researchers are discussed in this chapter including the hardware,

software, materials, and techniques or methods needed in developing the system.

Materials

To specify and clearly define the requirements of the project, the researchers used

different diagrams and methodologies throughout the process of creating the system. They used

the conceptual model to identify and to break down the system fundamentals in building the

study, namely, knowledge requirements, software requirements, hardware requirements, and the

processing steps required to come up with the outputs. They also used fishbone diagrams to

specify the real problem to be solved by the study and to determine the problems. A short-

iteration of process called Feature Driven Development was used in developing the software to

be able to come up with a product that was made methodically. The researchers used Visual

Basic as their programming language appropriate for the proposed system. Microsoft Office

Word 2012 was used as the material for the system documentation. All the documents were

based on the data that has been gathered. Adobe Photoshop CS6 was used to edit graphics in

designing the system and the researchers used laptop with the specification of Intel Core I5

processor, Windows 10 as the operating system, 4 GB of RAM and 500 GB hard disk drive.
