Work flow

Sl no Activity Responsible Remarks


1 GA to be checked before modelling. Lead Engr/CAD GA/Input data to be checked to assess the workload,resources,timelines.
This is a mandatory process and no work shall be started without this.
2 Preparation of work plan and risk register. Lead Engr/CAD After the assessment of the work, program shall be prepared in line with the agreed timelines/deliverables.
Critical elements shall be identified and specifically looked into before the detailed design.
These forms to be circulated to the concerned team and work shall start only after the preparation of the same.
Progress shall be continuously tracked against the program.
3 Mandatory first level check Engineer/CAD Originator shall also check the GA/input data before modelling/drawings
Originator shall conduct a mandatory first level check before sending for checking.
This should include concerns which requries special attention by the checker.
Lead Engr/CAD Depending on the confidence level/nature of the work , varying degree of arithmetic check shall be conducted by the checker
Lead Engr/CAD No deliverable shall be sent to the lead office without the second level check.
Lead Engr/CAD Lead engr/CAD shall provide the drawings for review before upload to the lead office., as the need be.
All Efficiency is the key to progress.
4 Communications Lead Engr/CAD All communications related to concept of the work/timelines/deliverables/financials which has an impact on the work load.
Engineer/CAD Any communications related to the finer details of the design/drawing
5 Accountability All Each individual is responsible for their work. Any discussions/advises/suggestions shall be treated as guidance and originator shall take the ownership of the work.
All Each individual shall plan their respective work and stick to the agreed deliverables/timelines.
6 Raise the red flag at the first onset of crisis. All As soon as its realised that any event/change has an effect on deliverables, the same shall be raised immediately.
The same shall be discussed internally/externally and agree on the action plan/revised program.
Red flagging at the fag end of the activity will not result in any good and no help can be mobilized at such a late stage.
7 Booking of hours Approver Shall have an overview of the staff utilization and plan the projects to maximise the same.
Lead Engr/CAD Utilization shall be planned for the team based on the activity on hand, downtime shall be minimised.
Engineer/CAD Any downtime shall be reported to the Lead engr/CAD immediately so that alternatives can be looked into.
Rework due to any reasons, beyond our control, shall be treated as extra hours. The same shall be notified to the next level
and booked only after approval.
Work shall be planned to minimise the waiting time for inputs.
8 Problem identification/solution options Engineer/CAD Once a problem is identified, work out the solution options and discuss internally/externally. Discussion shall happen only after options are worked out
Lead Engr/CAD Do not discuss with the lead office without the above exercise.
9 Work monitoring Approver Shall have an overview of the progress
Lead Engr/CAD Track day to day progress related to deliverables and financials.
Engineer/CAD Report day to day progress to the lead and update the program prapared in the second step.
10 Utilization All Friday and Monday first half, there shall be mandatory quick meeting on the expected work and utilization.
Lead Engr/CAD Lead engr/CAD shall discuss the above.

Before the start of the work, give a thought to how the work will be finished and if in doubt, ask. Do not work on any assumptions that cannot be validated.
