APPROVAL COMMITTEE
ROLE AND ORGANISATION

Timing
The approval committee is to meet daily. Otherwise a meeting may be called for any
other time by any of the members of the committee.
Chairman
The committee is to be chaired by the factory manager. In the absence of the factory
manager, it is to be chaired by the representative from the engineering department.
Members
The production committee is to comprise:
Factory Manager
Representative from engineering department
Operations supervisor or representative
Sales manager or representative
Role
The role of the approval committee is to review and approve:
a. Issue of technical submissions to customers for approval.
b. Issue of design changes and corrective actions.
c. Issue of authorised for construction.
d. Issue of workshop instruction.
e. Authorisation of completed panels for delivery.
The approval committee is to review all documents, drawings, test reports and records to
determine approval. Every member of the committee is to agree before an approval or
authorization may be issued. An approval or authorization is not to be issued if even one
member is not agreeing to the documents provided.
Forms
Approval of each is to be recorded and signed on the relevant form. The forms are to be
filed and kept be the factory manager in a box file. A copy of each approval is to be kept
in the respective job file.
Minutes
Minutes of each meeting are to be filed and kept by the factory manager in a box file. A
copy of the minutes is to be distributed to each attendee.
