Time & Attendance Management Case Study

Project Description
Project Site: Jakarta Transportation Agency, Indonesian National Police
Jakarta in Indonesia has undoubtedly owned one of the busiest traffic in the world. An approximate number of 2,800,000 of
population live in the central region of Jakarta, and, according to Jakarta Transportation Agency’s figures, there are as much as
90,000,000 car flowing in and out Jakarta daily including motorbikes, trucks and so many other vehicles. Jakarta Government has
been paying efforts in not recent years in improving the public traffic by planning the TransKakarta BRT system which is a 119km
express corridor, by doing so Jakarta Government hopes public transports to well utilize the Bus Way to avoid traffic jam, however
the daily average patronage does not even meet 400,000s which has little effect on easing the tight city traffic. Thus the traffic
control related units face heavy workload and pressure every day. Jakarta Transportation Agency is a subordinate unit of the
Indonesian National Police, its general and major duties include improving traffic, road patrol, driver and car licensing and
registration, and also covers community traffic education, related law enforcement and traffic assessments. They had a pressing
need to upgrade their time & attendance system which is more efficient and suitable to their work nature.

Project Requirements
Reliable Verification Method
In order to ensure attendance accuracy and prevent fake punch-in or out, the conventional card punching has to be replaced as it
does not satisfy the needs due to that it is not capable to verify if the card holder is the authentic person the card belongs to, yet a
time & attendance system that truly verifies and authenticates the persons punching in or out does. After having a deeper
understanding of different time & attendance methods, our client required a hybrid biometric verification time 7 attendance system
composing of fingerprint verification and face recognition functions.
Effective Remote Attendance
Traffic police officers are required to perform patrol or handle unexpected events in different locations, and also are required to
perform general duties related to drivers and licenses in police offices. Thus every police officer may work in different locations daily
and that caused great difficulty and inconvenience in attendance taking, and also created a loophole for improper staffs to take
face attendance. Thus, our client required us to provide a system that enables their staffs to take attendance in different locations,
in the meantime ensuring that the staffs take authentic attendance in the places they are required to. Also, conventional
attendance taking methods require staffs to provide event details afterwards which take unnecessary time and effort, thus they
hoped to have a more efficient system in handling field duty records.
Central Attendance Management
As there are office attendance taking of different police offices and field duty attendance taking, if it is required all the above
attendance data to be exported on by one and delivered to the headquarter, it consumes great time and manpower. Thus our
client also required to have a central attendance management system.

Technical Features
The offices of the Agency are deployed with BioPoint 300TC time & attendance terminals. Each office is deployed with 2 to 3 units of
time & attendance terminals. All terminals are centrally managed by the TimeCube time & attendance software.

All police officers are of the Agency are registered with their identities, personal information, fingerprints and face data.

They are required to perform punch-in and punch-out with fingerprint verification or face recognition.

For field duties, officers are required to perform remote attendance using mobile phones and the TimeCube app. Although
biometric verification methods do not apply to remote attendance for precise authentication, the app. enables mobile GPS
functions, thus officers’ locations are precisely recorded to ensure that officers are in the right locations they need to perform duties.

In case any accident or emergency case occurs, police officers can record details with Event Management function, event details
thus are recorded and delivered.

All BioPoint 300TC time & attendance terminals in different offices are centrally connected to the TimeCube software via its Cloud
Based Service to deliver attendance data for central time and attendance management. More than that, TimeCube also directly
connects to all TimeCube apps on mobile devices directing receiving remote attendance data. Thus, all offices’ and remote
attendance data are all centrally and directly managed by the Agency.
Function Description
Apart from the above mentioned functions, as the TimeCube is cloud based, it not only enables distanced connections between
different spots in the same district, but even enables globally remote connections.

If a multi-national enterprise has offices in USA, Australia, France and Indonesia, 2 back offices in Australia and Indonesia, and
numerous retail shops in USA, and has countless salespersons and other staffs that are required to perform frequent field duties,
install each office or shop a Timecube time & attendance terminal, and install TimeCube app. in all staffs’ mobile phone, the
enterprise is then able to connect all of them in an effortless and efficient way.

With Timecube’s zone attendance management function, management staffs are enabled to sit in headquarter, and easily but
effectively real-time manage all attendance of all branches to save manpower and time.

The quantity of areas and the number of personnel in an area are not limited, which enable Timecube to erfectly achieve the
inter-area personnel management.

If necessary, apart from GPS tracking, TimeCube app. also enables snapshot attendance function, by that administrators can require
staffs to photo capture field duty locations to ensure staffs are in the right places.

Timecube is able to manage, review, and edit personnel’s basic information, positional information, contact, and academic
background etc.; it is convenient for managing staffs to easily make use of personnel information and save the manpower for
manual review of print materials.

To save time and manpower, Timecube offers one-click analysis of staffs’ attendance including different shifts, shift groups, overtime
duties and off-duty shifts etc. exceptions.

Timecube supports multiple timeslots classified by colors; it is able to divide a shift into 5 timeslots and10 free points which provides
higher flexibility; Each shift’s setting can be customized specifically; Timecube also supports fixed overtime duty shift timeslot.

TimeCube also offers easy and efficient leave application management. After the employees apply leave via TimeCube App.,
administrator can approve or reject a leave application of your team member in the page of approval or rejection of leaves. Users
can view their annual leave and sick leave in leave balance via the TimeCube App.

TimeCube offers a costly, convenient while high-quality informatized management tool, which is non-implemented and is very
easy to use time attendance that does not require any external server, and users just simply install the Android and iPhone APP, you
never need to install or manage a licensed server when you use our cloud service.
