CHAPTER I

INTRODUCTION

Current State of the Project

Along with the development, the advancement of information technology is growing

rapidly and it can be seen from the increasing human dependency on the information

technology and is also crucial, thus the quality of information must always be improved to the

next level to benefit and have a considerable impact on the development of any institution or

an agency for critical decision making. Initially, the information technology used is only limited

to the processing of data. With the development of information technology today, individuals

and organizations can work quickly and process data accurately. That's why many companies,

small and medium enterprises, private organizations, multi-million companies and other

organizations are beginning to switch from a manual system to a computerized system for

various reasons and the goals to be achieved.

As cited by Kendiga (2017), Computer based information System are a very important

asset in many organizations or companies all over the world which effectively contribute to

effective decision making for the betterment of those organizations. According to Bartle (2011),

Monitoring is a process of routinely gathering information on all aspects of the project,

supervising activities in progress to ensure they are on-course and on-schedule in meeting the

objectives and performance targets.

The one of the most effective tools and most significant invention of the 20th century is

said to be the computer. It is a brain extended machine that it helps people do its work more

easily and efficiently. But in present time, mobile technologies recent development has

produced a new kind of device: the smartphone. According to Sonal Kasliwal et al. (2016),

smartphone usage is increasing every day. It is considered as one of the very effective tools

for increasing computational power and security along with search and rescue. Traditionally,

many gym owners are still using manual process of operating and monitoring the details of

their customers

Pound for Pound Fitness was founded by the team of Manny Pacquiao on June of 2014

and eventually passed the ownership to Keith and Marichris Picazo when he noticed that the

new owners can fully manage the gym. The main branch was built in Las Piñas and continue

its impressive growth with almost 85 branches nationwide. On June 27, 2017, the Calamba

Branch was built. According to Mr. Torres, the co-owner of Pound for Pound Fitness –

Calamba, the registration and attendance of new members and recording of monthly revenue

is done manually. The gym has a total of three log books that is used to record memberships,

monthly sales and attendance. For the registration, the customer will be given a blue form that

serve as the registration and membership form of the gym. It includes personal information that

must be fill up by the customer.

Also, it is used whenever the customer wants to renew his membership. As for the

attendance, each member needs to log in or out on the attendance record book. Moreover,

generating the gym’s reports has been a big concern of the owners where they struggle to go

back to old record books to find a specific record.

In consideration of the above mention problems encountered, Pound for Pound Fitness

– Calamba in fact really needs a gym management system to cater for the problems. A gym

management system is an information system that manages data information daily and helps

record information and transaction of the members and non-members. The proposed system

involves in monitoring and management of gym’s tracking and recording process. The gym

management system will be used by the admins of Pound for Pound Fitness – Calamba. It will

provide user interface for both administrators and gym members where they can monitor and

manage the progress of the gym and the gym members using the mobile application of the

gym. From the above background, the proponents have raised this issue into a research thesis

titled “Gym Management System of Pound for Pound Fitness – Calamba with Mobile

Application.”

Problem Statement

As stated from the background description, the proponents have identified several

issues regarding the current system of Pound for Pound Fitness – Calamba.

1. Member registration of new members procedures consume time due to handling data

manually and using registration forms is an expensive measure that require more storage

space when keeping the records.

2. The administrators are having difficulty in generating all of the reports needed by the gym.

3. It is time consuming and difficult when in the process of retrieval of membership data,

attendance and other records.

4. How to assess the Gym Management System in terms of:

a. Functionality

b. Efficiency

c. Usability

Project Objectives

The general objective of the project is to design and develop a user-friendly Gym

Management System of Pound for Pound Fitness – Calamba with Mobile Application.

The specific objectives of the project are the following:

1. To develop a system that will able to manage an effective membership registration process

for new and existing members and non-members of the gym.

2. To develop a system that will able to generate all required reports.

3. To develop a system that will able to track and keep records of member’s information.

Scope & Limitation of the project

Taking into consideration the time limit and ability of the proponents, the discussion of this

research will be restricted on the following regarding the development of the gym management

system of Pound for Pound Fitness – Calamba. The development of gym management system

and mobile application of Pound for Pound Fitness – Calamba will contain:

1. Data processing of new members registration which includes renewing existing members,

members and non-members transactions.

2. The output produced includes financial records of the payments of fees from every

member, monthly transaction report and relevant information of every registered member.

3. A mobile application is given to the administrators and official members of the gym.

4. A login account access right for the computer-based gym management is only given to the

administrators employed at Pound for Pound Fitness – Calamba.

5. A login account access right for the mobile application of the gym is only given to the official

members of the gym.

Significance of the Study

The findings of this study will redound to the benefit of Pound for Pound Fitness –

Calamba and its members considering that they play an important role in promoting wellness

and healthy lifestyle. Since membership registration for health clubs is increasing, it is

important to have an efficient and effective management system for processing data.

To the Administrator. The findings of this study may influence the administrator to be

more responsible in managing gym’s data and to adapt a system that will improve their current

system in terms of efficiency and reliability.

To the Employees. The result of this study can help to minimize the use of paper and to

efficiently process data. Improvement on the membership process and having more

convenient source of information about the gym promotion and announcement and viewing of

own membership details with the use of mobile application can lure more gym enrolees in the

future.

To the Gym Members. The direct recipients of the output of this research are the current

or future gym members of Pound for Pound Fitness – Calamba. Whose mobile application that

consist of its own membership details and a more convenient and professional way of

communicating with other gym’s coaches and members.

To the Researchers. The result of the study is beneficial to the neither present

researchers or the future researchers. This study address to future researchers to continue

and use it to a bigger or different sample group. The results of this study can be used as a

source for future studies.

Definition of Terms

Computer Based IS – A CBIS is an organised integration of hardware and software

technologies and human elements designed to produce timely, integrated, accurate and useful

information for decision making purposes.

Mobile Application – it is a type of application software designed to run on a mobile device,

such as a smartphone or tablet computer.

Smartphone – a mobile phone that performs many of the functions of a computer, typically

having a touchscreen interface, Internet access, and an operating system capable of running

downloaded applications.

Paper-based – it is used to describe a system that keeps information on paper, rather than on

a computer.

Membership fees – it is a regular fees or charges often paid to an organization at regular

intervals.

Registration – the action or process of registering or of being registered.

User Interface – the means by which the user and a computer system interact, in particular

the use of input devices and software.

Conceptual Framework – an analytical tool with several variations and contexts.

System Flowchart – a way of displaying how data flows in a system and how decisions are

made to control events.

LITERATURE REVIEW AND FRAMEWORK

Smartphones: An Emerging Tool for Social Scientists

According to Eagle, Oulasvirta and Raento (2009), a programmable mobile phone, the

smartphone was one of the current developments in mobile technologies produced. They have

also stated that the technological and social characteristics of the device make it a useful tool

in social sciences, urban studies, and media studies. It is stated that the smartphone is

willingly carried by a large fraction of people in developed countries. It integrates a number of

technologies for automatic observation. It can be programmed to interact and communicate

with the user and remote researchers, respectively.

A Web-based Employee Medical History Management and Monitoring System

As stated by M.Paandian & M.B.Malarvili (2012), almost all organization have their own

medical benefit program for their employees to ensure a healthy work environment. When their

employees received the treatment from health care provider, the current function of this

medical benefit program is to manage the payment of medical treatment. The existing system

fails to monitor the health and store the medical record of employee. Therefore, there is a need

for a new system to fulfil this need.

Membership Monitoring System

According to Mark Cenen T. Echaluce et al. (2013), technology plays a vital role in

business. It can handle massive amount of information. It is considered as a perfect tool to

guarantee worker’s efficiency, productivity, and economy. The system is designed to monitor

the membership information including customer identity, health statistics, conditions, and

payments among others.

Employee Tracking and Monitoring System Using Android

According to Sonal Kasliwal et al. (2016), smartphone usage is increasing every day. It

is considered as one of the very effective tools for increasing computational power and security

along with search and rescue. This can track and monitor the employee and their activity in

company by their office cell phone. This can improve growth of the company by securing

company data.

According to Makanjuola et al. (2016), it is necessary for an employer to keep track of his

employees at all times to ensure the quality of service from the employees’ and maximum

output from them. This project is designed and developed by using Android which will be

accessed from the company’s email account.

Employee Monitoring and Management System Using GPS and Android

As specified by Prashant Dhotre et al. (2017), this system is helpful in providing

dynamic database utility. The role of the centralized server is to provide data or information to

the proposed system. The proposed android application in smartphone consists of all

information about the employee phone uses like their all Employee SMS history, Employee call

Logs, Employee Locations and battery percentage. This proposed application is quite user-

friendly as it contributes to giving accurate digits in managing employees of the company by

saving time and reducing manager efforts.

Automated Monitoring System (Designing a Laboratory Equipment Tracking System)

As cited by Samrand Elyasizadeh (2016), the conventional manual approach of keeping

track of items or assets is a time consuming and inaccurate process, as most laboratories are

being used by more than 20 students per session. This old-fashioned system is a very

annoying task, and it is challenging for the lab administrator to monitor the flow of these items.

This system was found inefficient in tracking and has a lot of weaknesses such as misuse of

the equipment log records, loss of equipment, the absence of an in-out transaction record and

misplacing of equipment.

Student Information Monitoring System

According to Elaisa Mae Santos (2014), organizations particularly schools, monitoring of

students is a very important factor especially in identifying every individual coming in and out of

the school every day. Students, teachers, and employees spent most of the time in school.

Crimes increase every day as the schools do not put much effort into the security. Security is

at risk because in many cases outsiders who were not students or enrolled in the school

bypasses guards and personnel assigned and manages to make a way of going inside the

school.

Global Gym Management Software Market 2017 - 2021

According to PR Newswire (2017), Microsoft Excel and Google Drive are still being

used by smaller gyms while most of the large gyms today are using gym management

software to manage their activities such as scheduling, record management, billing, and

marketing and to expand their service offerings. To spend less time on administrative tasks,

improve data security and integrate applications are the things that a gym management

software that can help the management of the gym. It also helps gym members and

employees to search and reschedule classes and appointments. Gym members can easily use

their mobile devices such as smartphones to choose the required exercise equipment, book

gym sessions and other gym resources using such a software.

Holy Trinity College Faculty Attendance Monitoring System

Based on Maila Gimarino (2014), using the monitoring system will help reduce human

error, faculty complaints, and will increase reliability and efficiency because it runs through the

intranet. The system will be developed to provide an effective way to monitor the attendance

and to make sure that every faculty of Holy Trinity College is doing their jobs on time, because

it will also make sure that it records the number of faculty members who came late and

generate organized and accurate reports which will be submitted to the finance office

particularly the payroll in charge.

A Proposed Attendance Monitoring and Payroll System

As claimed by Marilyn T. Desuyo et al. (2012), in industrialization, computer is very

useful in performing a great task in data and information processing, securing files,

manufacturing processes, data and information of the company and people belongs to it and

business management in making a good service. Having a computerized management system

in a company helps to maintain the standard flow of data and information. This system can

make data processing faster and easier. Also, it is highly secured.

With the studies mentioned above, the following are the similarities that can be found in

the system. According to Kasliwal et al. (2016), smartphone usage is increasing every day. It is

considered as one of the very effective tools for increasing computational power and security

along with search and rescue. Employee tracking and monitoring system is designed and

developed using core java 1.5 or higher, eclipse android SDK, bluestack, ms access and my-

sql database. While the study of Echaluce et al. (2013) used Java programming language and

database server to store their records for their membership monitoring system. As for the

attendance, Wale and Patil (2014), sited that It is very important part of every enterprises and

public institutions, industry and other businesses to have a time attendance policy. That is why

biometrics fingerprint was recognized and was universally applied by other institutions. While

Maran (2014) also stated that using biometrics fingerprint for attendance will improve the

execution time drastically.

Which the system is designed to monitor the membership information including

customer identity, health statistics, conditions, and payments among others. As for Kasliwal et

al. (2016), who developed an android application to track and monitor the employee’s activity

in the company. Maila Gimarino (2014), created an attendance monitoring system for Holy

Trinity College that help reduce human error, faculty complaints, and will increase reliability

and efficiency because it runs through the intranet with use of MySQL database. The studies

support the use of java programming language to develop their system.

The proponents used a database to increase the efficiency of registration procedures.

They also used it for purposes such as storing records or information of their clients and

access in manipulating data in an easy way.

On the other hand, the following are the differences between the studies mentioned

above to the study of the proponents. As stated by M.Paandian & M.B.Malarvili (2012), almost

all organization have their own medical benefit program for their employees to ensure a

healthy work environment. They have created a web-based employee medical history

management and monitoring system using Hypertext Preprocessor language and Hyper Text

Markup Language to design the interface of the system by addressing the friendliness,

flexibility and communication. While Santos (2014), designed and developed a Computerized

Student Identification Monitoring System with the innovation of combined barcode SMS and

Entrance lock Technology which aims to facilitate a more efficient way in monitoring student’s

arrival and departure from the institution.

Figure 1 represents the conceptual framework used for the study. The figure shows

Input – Process – Output Diagram of the system. It shows the flow of data and how it

processes. The user’s screen will be displayed and the registration form will be filled out. Upon

entering the customer’s information, the system will take verifies the registration. It will call the

appropriate module after the verification and records are saved in the database. It will display

the user’s home screen. The user admin can add the member’s workout schedule, admin

schedule and create announcements. This will be added up to generate daily or weekly

reports.

Figure 2 shows the software development methodology that is used in the project.

Using agile methodology for mobile application development, app development process

becomes more quick, easy and efficient. The first phase evolves in requirement analysis. The

Proponents gathered all required information and data that will support the study. The Team’s

system designer brainstormed for the preparation of the design of the system. The proponents

used an editing software to design the GUI of the system. The development phase will evolve

on the creation of the prototype of the system that will be led by the team’s programmer.

Android Studio was the application used to create the mobile application of the

proposed system. API and PHP were also incorporated in the development of mobile

application. The application is using a host database and the built-in database for android

studio. For the main system, Visual Studio VB. Net was used to develop the system. The main

system was also using a host database so that it is connected to the mobile application.

For the implement phase, the proponents conducted a proper training for the

administration and other staff of the gym to know to use the proposed system. The future

researchers can upgrade the system to prevent it from being outdated. The implementation

processes include: categorizing member and non-member’s information, arrange and sort

paper files into record series within each record, categorizing sales report to daily, weekly,

monthly and yearly report and if necessary, purchase new equipment or supplies.

In monitoring phase, the proponents will keep in touch with the client to monitor the

performance of the proposed system. The client can contact us immediately if there are any

problems encountered in the system. As for the evaluation, the proponents will provide post-

questionnaire that will evaluated by the client to check the total performance of the system.

The result of this evaluation will be computed to a statistical data to see the success probability

of the system.

Data Gathering Procedure and Technique

This study is a combination of descriptive and use of existing records method. In

descriptive research is a study designed to depict the participants in an accurate way. Data are

collected through interviews and questionnaire as the main instrument for gathering the data.

On the other hand, use of existing records are used if the data or parts of data needed by the

researcher have been collected previously by another researcher or institution. This study

employs a descriptive method of collecting data as the researchers have personally

interviewed the client and used some existing records to support this study. Particularly, the

entire process of the development of Gym Management System with Mobile Application went

through formal and logical steps adopted from the Agile methodology.

Initially, the proponents have collected all the information which the client wanted to

store. Then the proponents studied the process of the current system which is done manually.

The limitation of the study of the current system was noted which motivated the client to have

new system. With the help of the gathered data, basic ideas about the system was taken as

well as the process of the proposed system. Most important thing is to study system

thoroughly. The advantages and disadvantages of both the systems must be understood when

studying both existing system and proposed system. The first task was identifying how system

can be computerized. Some analysis and projections must be done regarding changes to be

made to the existing system. The proponents aim that the new developed system for Gym

Management System and Mobile Application is simple without complexities.

Risk Analysis

Mobile applications market has become congested because of the recent development

in smartphones hence developers are encouraged to develop new applications. There are a lot

of details that are available on how to build an application but lack of documentation makes

understanding and optimization all the more difficult. Despite over 1.5 million mobile

application developments on various platforms, limited formal research has done that it should

be taken care of while developing applications for its engineering or risks.

The following are the risk factors on the methodology used in the project which is the

agile methodology:

1. Budget Risk: the most common risk in every software development and often tied to other

risks.

2. Personnel Risk: the risk of losing or absence of project team members that result to

delays or errors.

3. Knowledge Risk: The process of relearning results in additional labor, time, and

resources.

4. Productivity Risk: this risk is common when deadlines and goals are long-term. This

environment creates a lack of immediacy which results in a lack of urgency of work.

5. Time Risk: the results of poor planning, unrealistic timelines, and the inability to adapt to

changing product requirements.

Integration Testing

 Compatibility Testing

Compatibility Testing is a non-functional testing in which we ensure that the application or

system is capable of running on different environment. The proponents will test the

compatibility of the system according to the usage or need of the client. The system will

use a windows operating system and MySQL Database. The system will need a network

connection therefore the proponents will test the compatibility of the application in

different networks with all parameters such as Bandwidth, capacity and operating speed.

As for the Mobile Application, the proponents will test the compatibility of the application

with other mobile platforms.

 Performance Testing

Performance testing is needed in software testing to ensure that software can perform

well under the expected workload. This is aiming not to find bugs but to eliminate the

bottleneck in the performance. Performance testing focuses on the checking of the

software’s speed, scalability and stability. Thus, the proponents will test the system to

determine if the application can respond quickly, if it is stable under varying loads and to

find the maximum user load the system can handle.

System Testing

System Testing is the Testing of a complete and fully integrated software product. This

involves testing the software code. The proponents will be testing the fully integrated

applications to check how the components will interact with one another and with the system

as a whole. To check for desired outputs, the proponents will verify through testing of every

input. Also, to test the user’s experience with the application.

Acceptance Testing

Acceptance Testing is where the system is tested for acceptability. This will evaluate the

system’s compliance with the business requirements and asses if it satisfies the acceptance

criteria. The proponents must complete all of the other system testing in order to arrive in

acceptance testing. Once the system testing is complete, this is the right time to perform the

acceptance testing as to confirm that the software is ready to be made available to the end-

users.

Validity of Artefacts

Validation is done to make sure that the product is built as what is required by the client

at the end of the development phase. Different type of checks should be approved on the

requirements. The proponents will check on the validity, consistency, completeness, realism

and verifiability of the requirements. In registering new member, the system will not accept or

saved the input data if some of the required fields are not filled out. The system does not

accept ages 15 and below. The date registered is not also accepted if the date is greater than

current date. For the fields of cell phone number, telephone number, emergency number, age

and etc., it will only require numeric characters and white spaces. On the other hand,

alphabetic characters and white spaces are required for the fields of member’s name, address,

emergency contact person’s name and etc. For medical history, checkbox must be checked

either yes or no. For attendance, the biometrics requires right or left thumb.

Implementation Plan

The selection of a site is the first consideration in planning and preparing for installation.

This will determine if the site is to be refurbished or alterations are to be performed on the

existing site. The proponents will be checking the utilities of the site such as the availability of

power and communication. The proponents will also look if the site is prone to exposure of

hazards as this can cause problems to the equipment that will be installed in the site.

The proponents will hold a one on one training with all of the admins or other staff that

will use the system. The training will include on how to install and use the system. The

proponents plan to hold a week training for the admins and staffs on November 18 to

November 23, 2018. This was agreed between the client and the proponents. This will help the

client and proponents to analyze and evaluate the performance of the system.

Contingency planning is said to be a vital component to see successful run of the

business. In order or create a contingency plan, the proponents will identify the risks and

develop a plan to reduce those risks. The proponents will perform an analysis on the system’s

data, hardware and software. After finding the possible risks, it will be ranked according to the

order of its probability. The risks will be analysed by the proponents to see how these could be

eliminated. Then, the proponents will write a contingency plan that includes clear steps on how

to solve the risks if it may occur in the future. Finally, the plan will be tested to determine if it is

effective.

RESULTS OF PERFORMANCE ANALYSIS

This chapter contains analyzation of the evaluation method that reflected the system.

The proponents conducted the results of the evaluation method to determine if the proposed

system is acceptable or not. The data gathered were subjected to statistical analysis. The

proponents used Likert scale to get the weighted mean of each category.

DISCUSSIONS AND SUMMARY OF DATA

Summary of the Findings

The proponents developed a system for Gym Management System for Pound for Pound

Fitness – Calamba with Mobile Application at Brgy. Parian, Calamba City, Laguna to assist the

needs of the owners of the said gym. The proponents used different platforms to developed

this system. Visual Studio VB.net for the main system, Android Studio and PHP for the mobile

application, also PHP for the website and MySQL using Web hosting site for the connection of

the database. The proponents have utilized the descriptive and use of existing records

research design to develop the system. This is composed of surveys and personal interview

with the client. Based on Cassandra McNeill (2018), descriptive research is a study designed

to depict the participants in an accurate way. Also, descriptive research seeks to describe the

characteristics or behavior of an audience. After developing the system, the proponents tested

the system on the client’s site and evaluated the results. The results of the evaluation are

summed up that the system got an overall weighted mean of 3.62 which is interpreted as

“strongly agree”. The functionality of the system got the highest mean of 3.75 which is

interpreted by strongly agree. This was followed by Usability with 3.57 and Efficiency with 3.55.

CONCLUSIONS AND RECOMMENDATIONS

Conclusion

The proponents designed and developed the Gym Management System for Pound for

Pound Fitness – Calamba with Mobile Application that would automate the registration and

retrieval of information and generation of reports of the gym members. The system includes a

registration function for new members and walk-in customers, viewing and retrieval of records

using the main system and mobile application, generation of reports such as member’s list and

sales reports. The system can also register new admin or staff in case the owners will hire

more employees in the future. The system was developed to manage basic processes of the

gym specially the registration ang generation of reports that also helped them to retrieve

needed records easily. The overall result upon the evaluation of the system, it garnered 3.62

composite mean that was verbally interpreted as strongly agree. Based on the result of the

evaluation, this means that the developed system met the requirements and is acceptable.

Recommendation

To the future software developers, the proponents to recommend the fingerprint

attendance system that will be linked in the main system to monitor the in and out of the

members and administrators of the gym. Also, a payroll system is recommended for the

employees of the client. As for the mobile application, the proponents recommend to enhance

its design and add more modules to make it more interesting such as planner and diet plan for

the members. For the website, the proponents recommend to incorporate an online shopping

as the management of Pound for Pound Fitness – Calamba are planning to release a gym

merchandise for their customers.

To future researchers, this research can be used as referenced to furthermore improve

and enhance the proposed system. The future researchers can also add more features and

functionalities that will help in the enhancement of the system. Upgrading the system into a

new platform and programming language is also recommended so that the system can be

used in different platforms and can be manage easily. The use of platform of IOS for Apple

users and programming language ASP.net of Visual Studio is recommended by the

proponents.
