Ceylinco Health Care Center, which is affiliated to the Washington


Hospital Centre, is the first private Radiation Treatment Center in Sri
Lanka. It provides specialized treatment for all types of cancer utilizing the
latest technology that’s equal to the best in the region. Cancer patients
can now benefit from the best of care close to home, while drawing
support from their family and friends. They are establish in 2001 fully
owned subsidiary of Ceylinco Life.

Channeling System
Any person can channel the doctor in Ceylinco Health Care center.
Any patient can get appointment in any date in the week and time
period. They use this type of forms.

First the patients have to get the appointment from the reception
and to do payments to the reception. The payment they charge in
to two ways. One is they get as hospital charges and other is they
get as doctor’s charge. After doing the payment they get
registered the patient to the system. And then they referred them
to a doctor asking about the doctor’s name or some diagnose or
medical test. And they give unique registration number to the
patient. Again and again they channel patient using this unique
registration number. If the patient done some medical test in the
laboratory and the patient come in the second time they use that
unique registration number. And this time the system display
“This is second visit”. After that they referred that patient to
the doctor. In the same time the nurses also have done some sort
of work. They update the system using patient diagnose details,
their medical test reports, and their blood group, etc. after that
,then doctor open the database of the patient and get the reports
of the patient and get some ideas about the patient. And again tell
to do some medical test for the patient and again done the same
process. This is the main function on this system.

And if the patient wants to do some further treatments they refer


that patient to that doctor but not in the Ceylinco Healthcare
center. They refer him/her to that doctor in another channeling
center.
This is the function of the system:

On-Line Appointment form

In this form they just ask only the requirement and the patient
personal details only. And can submit the form by filling the details.
If they give the appointment to the patient they inform it the patient
thought the internet or to the telephone number. After that patient
can do the payment and can channel doctor. First patient have to
get the appointment from the reception.
How they Channel doctors
They can get appointment by asking doctor’s schedules and times.
And can channel any doctor for the diagnose. If the patients know
the doctor they can get appointment for that doctor. If they don’t
know about the doctor for the diagnose they can ask doctors
schedules and can channel doctors.

Channeling methods
First patient have to check availability of doctors and time
availability for doctors. They have e-appointment as well. And can
get appointment through the phone call. If patient can do
payments using credit cards and using cash. They give unique
patient Reg.no for every patient. If patient get appointment from
the phone they can do their payments in their appointment time.
If The Patient is the Ceylan Merchant customer they can get
special medical checkup for special offer. They offer this only for
Ceylan Merchant customers, Ceylinco life customers as well as
Seylan staff members only. This is the payments receipts in the
Ceylinco Healthcare Center.

Channeling payments
And all the patient have to do their payments in their channel
times or using e-channeling. Patient must have to pay the doctor’s
fee and hospital charges. If the patient is a Ceylan Merchant
customer they haven’t any payments. Finely patients have to pay
total fee as a payment. Their receipt valid only for day of
appointment.

RECEPTIONIST
Doctor’s schedules
Per date one doctor channel some limited patients only. Every
doctor has unique time period for one patient.
Ex : Cardiologist Consultant get 30 minutes for one patient.
And check 15 patients per day in Ceylinco Health Care
Center.

Doctor’s availability
First, patients have to check availability in doctors. After that they
can get appointments. And the company checks the how many
channeling were having for one doctor. After that patient can get
the appointment for channeling. Appointments are subject to
cancellation and/or delays due to unavoidable circumstances such
as non availability of consultants.
Data and Information used in the Ceylinco Healthcare Center

Data

Data is defines as facts or observations about people, place, thing and


events. Physically view focus on actual format and location of data.
Logical view focuses on meaning and contents of data. The row,
unprocessed facts, including text, numbers, images, and sounds are called
data. After data is processed through the computer, it is called
information. There are two ways or perspective to view data. These
perspectives are the physical and logical data. The physical view focus on
the actual format and location of the data. Logical view focuses on the
meaning and contents of the data.

Data used in a Ceylinco Healthcare Center.

They use data about the patients in different ways. These data they use in
physical view as well as logical view. The physical view means they use
data in registration is correct and actual data about the patient. And they
use registration for as the data format. And logical view means they get
the meaning through that data, it means what are the contents of the
data and how they get the meaning through that data. And that’s why
they use the registration form as their data gather way. That’s the one
way that they gather data of the patient. And again they refer the patient
to the doctor. And in that time doctor ask the diagnose and gather the
data about the patient, that is another way that they gather the data
about the patient. After that doctor say to do some medical test to the
patient in that time patient do that medical test and give the reports to
the nurses. And again they enter that data to the system. And they get
more details about the patient through the medical test. This is the way
that they gather data in the organization. This is the diagram for that.

Quantitative information in the Ceylinco Healthcare Center

Ceylinco Healthcare Center uses lot of quantitative information for


different purposes. It means they use this information to making
decisions. These data can measure very accurately and correctly. Some of
the quantitative information used in the organization is follows:

2. total salary for an employee
3. total expenditures for month
4. average income of the year
5. highest market price per share

Qualitative Information in the Ceylinco Healthcare Center

Qualitative information can not be measured but it is important to get the


decisions in the organization. That’s why they use it to get the decisions in
the organization. And this is help to get the quantitative information in the
organization.
1. Details of the employee (name, Contact details, responsibilities,
etc.)
2. Personal details about the patients (Name, contact details, etc.)

They didn’t use only the formal information. As well as they use informal
information to get decisions in the organizations. Using this information

An information system is a collection of people, procedure, software, and
data. They all work together to provide information essential to running an
organization. This is information that will successfully provide a product or
service and for profit oriented enterprise, drive a profit.
They use computers in organizations to keep records of events. Another
reason might be less obvious to help make decisions.

For example:
In the doctors schedule records as well as which doctor check more
patients.

This information can be help to make decision making. For instance, it can
help to managers to decide which doctor will get more profit. If one doctor
gets more profit, in the other way it is way to get more profit to the
company. That’s why they get these details to decision make. And they
use internal data to make decisions. It means data within the
organization. Numbers of patient participate in particular date. And how
many patient get appointment for one doctor. These are the internal data
that they use to get decisions.

And the external data means data gathered from outside. Examples for
data providing by marketing research, trade associations.
They use data to get decisions to get answer for unanticipated questions.
And they use these data in the three types of decision models like
strategic level, tactical level and operational level. They use one data in
these stages. But each stage they get different types of decisions to
handle the organization.

availability of doctors as well as to get good famous name for their
company as well as good product for the customers.
e.g.: give some special packages for the patients. It means give
Seylan merchant customers for special package. And give easy
payment methods for the payments.
Tactical Level in the Ceylinco Healthcare Center

They use some information to get some financial planning in the


organization. It means to get total payments for the hospital and the
doctors. And can get average of those to get future decisions. And can
improve customer cares in the organization. And they monthly reports
from the organizations processors. And they give it to the top level
managers and finely they get the decisions about the organization and
plan the future targets.
e.g.: they get monthly available patient reports as well as they get
all the payment reports in the hospital to calculate the total of the
monthly payments. And they have to handle the doctor’s payments
in the organization.

Operational Level in the Ceylinco Healthcare Center

In the operational level they get day to day reports for the tactical level
operations. And they calculate the total payments details in the
organizations. In the operational level staff can’t sign off from their job till
they balance the total payments in the one particular day. And have to
balance all the payments in the organization. And have to give the reports
to the tactical level managers.
e.g.: give daily reports about the payments done in the particular
date and availability of the doctor’s and patients. And how many
patients get the appointment in one particular date. As well as how
many patients cancel the appointments. And how many doctor’s get
absent in one date. Like those reports handle in the operational
level people in every day to get decisions for the top level
managers.

Security and Accuracy

Security is concerned with protecting information, hardware and software.


They must be protected from unauthorized use as well as from damage
from intrusions and natural disaster. Some of the of the security principal
measure to protect the channeling system.

1. Restricting Access
Security experts are constantly devising to protect computer
system from access by unauthorized persons. They use
unique USER ID and PASSWORD for their computer system.
e.g.: receptionist can’t access the patient diagnose
information. Only the doctors can access those data. But
doctors also use user name and password to access those
data. And doctors can’t access all the parts of the database.
Only the limited data they can access through it. As well as
nurses can enter medical reports update data only. They can’t
change any data in the system. But system administrator can
access all the data in the database.

2. Backing up data
Equipment can always be replaced. A company’s data
however may be irreplaceable. They including guarding of
password and auditing of data and programs from time to
time. An essential procedure; however is to make frequent
backups of data and store them in safe remote location.
e.g.: in every registration automatically they backup the
data in the system. And all the medical record in the one
particular patient in the organization they get backups about
that patient. They always responsible for those data in the
system.
3. Anticipate Disasters
They use Physical Security and Data security. Physical security
is concerned with protecting hardware from possible human
and natural disasters. Data security is concerned with
protecting software and data from unauthorized pampering
and damage. For this also they use some security system to
protect their system. This also they use user name and
password.
e.g.: receptions can have only the one password and
they user code for one particular receptionist. Doctors also
have particular password and they enter to the system using
doctor’s code system. If there have any failure and if some
one hacking the data can catch him/her through this security.
‘coz they use code system for the every employee in the
organization.

4. Avoid Viruses
They install, use and periodically update a virus protection
program. All incoming files should be checked for viruses
before they are executed or saved.
e.g.: they use special virus guard to protect their
system. They always use on-line appointment system. That’s
why they use a virus guard to the system.

5. Guard the computer


They put a cable lock on the computer. If they subscribe or
belong to an online information services, they do not leave
password nearby in a place accessible to others. If there have
some one the hacker can access all the details in the system
and can change the system information. That’s why they
always log off in their logins when they are going out.
6. Guard Programs and Data
They store disk properly, preferably in a locked container,
make back up copies of all their important files and programs.
Store copies of their files in a different and safe location from
site of their company.
e.g.: they get daily back up data to the storage device
and keep it in safe place. And have high security of the data in
the information system in the organization information

departments. He needs doctors available per date. How many
channeling were having per date.
Middle-level Managers Flow

Middle management need summarizes information weekly or monthly


reports. They need to develop budget projections as well as to evaluate
the performance of supervisor.
e.g.: The middle managers need how many channels have per
date and how many doctors were absent per date and how they
recover it on that particular date. As well as how they pay for their
chargers. Not only that they also must coordinate with strategic
goals set by the top management. They deal with control,
planning, and decision making.

Supervisory Managers Flow

Supervisors need detailed, very current, day to day information on their


units so that they can keep operations running smoothly. They have to
communicate with the patients. They get all the patient information. As
well as they interact with the patient details and payments. They do
payments in the cashier. They actually produce the services. Thus the
managers have the responsibility relating to operational matters. They
monitor day to day events and immediately take corrective action, if
necessary.

In the company Top Management are responsible for long-range


planning. In the Middle Management is responsible for tactical planning. In
the Supervisors are responsible for operational matters.

Management Information System (MIS)

The Management Information System summarized the detailed data of


the transaction processing system in standard report for middle level-
managers. Such reports include

2. weekly doctors schedules
3. weekly channeling percentage
4. weekly how many channels were cancel
5. weekly patients available percentage

Using these data they think how to handle the customer service in the
organization and what are the areas that they want to develop in their
organization like those things and finely they get the decisions to
achieve to the targets and successfully complete their goals in the
organization.

Decision Support System (DSS)

The Decision Support System provides a flexible tool for analysis. The
DSS helps middle level managers and others in the organization analysis
wide range of problems such as effects of events
Ex: if one doctor were absent how they recover it using another
doctor. How they do that payments for that doctor. Like the MIS,
the DSS draws on the detailed data of the transaction processing
system.

In the operational level people use this software to create day to day

They use spread sheet software to get day to day total hospital charges
as the reports and calculate the total number of patient get
appointments as well as the registration of them. And can they get
these details as their final reports. And they get total charge for one
particular doctor in for the one date.

Database software
In the organization they use oracle database as their main database. It
has high security in the system. The entire person can access the
database. But can access only the limited areas only. it has more
security because all the system in the company that depend on that
database software. That’s why they get daily backups in the information
system.

Internet

Internet is the actual physical network. It is made up of wires, cables,


and satellites. It connects over 65 million computers and resources
throughout the world. The web is a multimedia interface to resources
available over the internet. Every day over billion users from every
country in the world use the internet and the web. The most common
uses of the internet are e-commerce, communication, searching,
education.etc.

Advantages of using internet in the Ceylinco Healthcare Center

1. Improve communication
Communication is by far the most popular activity. They can
exchange e-mails with their customers located anywhere in the
country. And can shre ideas as well as interests in the customers. As
well as instance messaging allows one or more people to
communicate via direct “live” communication. And they use on-line
appointment system. Using this one they can increase their
communication either the customers and can get more improvement
to the company goals.
2. Provide Services
In the Ceylinco Healthcare center provides more services in
the internet. They give their detail to the internet, any person can
access these data through the internet and can get the appointment
through the internet in this time. and this is good customer care to
get the customers attraction to the organization and they use good
services always. They give true information about them in to the
internet. And any person can access it thought the internet. And can
get the on-line appointment from the internet and can channel the
doctor.

3. Get correct information


Any person can access their website and can get the details about
them. This information are correct. Because they always try to give
good service to the customer. And they give all the company
information to the web. Because if person access it he/she can get
idea about the organization and can get appointment on that time
also. They use it to get customers attraction to their organization. But
they provide good service to the customer.
They give this information to the customer. In the above screen shots they
provide doctor’s availability and who are the doctor’s in the organization.
And also provide what are the packages available in the organization.
Using Communication in the Ceylinco Healthcare Center

Intranet

Intranet is the private network within an organization that resembles the


internet like the public internet, intranets user browsers, websites, and
web pages. Intranet typically provides e-mails, mailing lists, newsgroups,
and FTP services available only yo those within the organization.
Organization use intranet to provide information to their employees.
Typically applications include electronic telephone directories, e-mail
addresses, employee benefit information, and much more. Employees find
surfing their organizational intranets to be as easy and intuitive as surfing
the internet.

Firewall
Organization has to be very carefully to protect their information system.
A firewall is security system designed to protect an organization’s network
against external threats. It consists of hardware and software that control
access to company’s intranet or other internal networks.
Typically a firewall includes a special computer called proxy server. this
computer is a gatekeeper. All communication between the company’s
internal network and the outside world must pass through it. By
evaluating the source and the contents of each communication, the proxy
server decide whether it is safe to let a particular message or file pass into
or out of the organization’s network.
LAN
Network which computers and peripheral devices in close physically
proximity are called local area network. Linked by cable-telephones,
coaxial, or fiber optics.

WAN
Wide area network are countrywide and worldwide network. Among other
king of channels they use microwave relays and satellites to reach users
over long distance.

There are many legal issues in the Ceylinco healthcare center. It means
they provide good services to customers not only that they treat to their
employees as well.
These are the some legal issues in the organization.

• Staff always do the things for the customer satisfaction
• Should have to treat the patient very best
• Supervisory and managerial staff should not influence or pressurize
subordinate staff in decision making.
