ReadyConnect

EY’s global audio conferencing service


What is ReadyConnect?

ReadyConnect is the firm’s global teleconferencing service that provides


on-demand,
on demand, reservationless audio conferencing, allowing you to
conveniently set up, conduct and participate in conference calls.
Participants use country specific access numbers to dial into conference
calls.

Global reservationless service

Deployment/provisioning policies and procedures are country specific.

Scope of Service/Accessibility - Access to the service is available


via local, in-country toll or toll free numbers. Currently this provides 73
access points and we continue to work with the vendor to expand
these further.

Pricing

Two components to the cost of the call:

► Bridge cost - per minute per person, charged to the host/chairperson


► Access costs:
► Local – No toll charges
► Long distance – Toll charge paid by local office policy or
originators calling plan
► Toll Free – Toll charge, charged to the chairperson

Setting up a call

To conduct a conference call, inform all participants of the conference


date and time, and distribute the participant passcode and dial-in
numbers Your participants then dial the conference telephone number

The conference is activated as soon as you enter your chairperson


passcode. (Please note: As chair, if you are the first person to enter the
call, you will hear silence until a participant joins.)

For security reasons, only one person can dial in using the chairperson
passcode. You should never share your chairperson passcode in an
online invitation or any email correspondence.

ReadyConnect features are designed for ease of use, convenience and


functionality.

Keypad features – At the start of a call

Options Menu, press ** - Allows the chair access to the Options Menu
during the conference.

Dialout, press *#1 - Enter the participant’s ten-digit phone number (as
chairperson, you do not need to dial a 1 before making long distance calls).

Join chairperson and participant to conference, press *1.

To disconnect the line, press *2.

Roll Call, press *#3 - When the chair selects this option, a recorded
message plays back the names of all current participants. (You may need to
request that this option be activated.)

Keypad features – During a call

Start Recording, press *#2, then select option 1.


Stop Recording, press *#2.

During the playback of your recorded conference, you have the following options:

Fast Forward Press 3#


Rewind Press 1#
Pause/Resume Press 5#
Skip Backward Press 4#
Skip Ahead Press 6#
Normal Playback Press 2#

Conference Lock/Unlock, press *#4 - As a security precaution, the chair can lock any
conference call.

To mute your own line

To activate Presentation Mode, press *#5 (all participants are muted).

NOTE: All keypad options work as a toggle. To undo any of these options, repeat the same
steps and it will reverse the process.

Keypad features – At the end of a call

Conference Continuation, press *#9


As the chair, if you leave the conference and would like the call to
continue, press *#9. The conference ends when the last participant
disconnects from the call.

Conference End, press ###


The chairperson can ensure that the conference is ended by pressing
###. All lines are immediately disconnected.

Security guidelines

► Never publish your chairperson passcode in a Notes Calendar


invitation or any correspondence.

► If you are chairing a one-time call that is highly confidential, consider


using an operator-assisted (reservation) call

► As an alternative, contact ACT Conferencing to request the use of a

FAQs

As the chairperson, how do I set up a call with global participants who may
use different conference numbers?

As the chair you can include the country numbers of your participants in you
Notes Calendar invitation along with your participant passcode. If you have
recurring
g meetings,
g , yyou can set up
p this information one time. To do so,, from the
Calendar view, the More drop-down and select Preferences. Navigating the
tabs, select Calendar & To Do > Display > Entries. In the Conference Call
Information text block, enter your calling information and click OK. The
information will automatically display each time each time you create a new
calendar invitation.

If you have wide participation

use the appropriate access numbers for the countries from which they will be
calling.

FAQs

Is there a minimum or maximum number of people that can join a


call?

As the chair you should use ReadyConnect for calls with six or more
people. The system can support up to 50 participants before
experiencing possible degradation. To be cost-effective, for calls with
less than six people (including the chair), you should use the Conference
feature available from your EY/Comm system.
