reports to ensure that you have complete peace of mind as far as this requirement is

Monthly statutory reports

PF - Monthly Statement

Payroll MIS Reports
You can generate a large number of pre-defined reports from the application. All these
reports can be generated to a PDF or an Excel file. Apart from PDF generation, most
employee-wise reports can also be emailed to the respective employees directly from the
application.

QueryBuilder
Query Builder is a powerful ad-hoc reporting tool to create user defined reports. This tool is
one of the most frequently used features of the application and enables you to generate data
the way you require. It is as simple as selecting the required fields (from available
information categories), specify a sort order and filter results on various criteria.
Salient features are:

• Ability to select any data item across categories - Employee Information, Payroll
Information, Leave, etc
• Specify the order in which you want the fields to display
• Specify the order in which you want the fields to be sorted
• Specify the filter conditions
• Export results to MS-Excel for further work or email the spreadsheet.
• Save the ad hoc reports for future use.
A few examples of adhoc reports that can be generated using the Query Builder are given
below:

• Employees of Admin Department


• Employees of Bangalore Location
• Employees joined in the month of April 2009
• Employees who have joined before 01-Apr-2009
• Employees who have joined before 01-Apr-2009 and in the Admin Department
• Employees with Basic greater than 7500
• Employee who have been paid Performance Incentive in this month
• List of all Income Tax Payees for this month in Bangalore
• etc.

Statement Designer
The Statement Designer enables you to generate powerful and flexible reports with the
following features:

• Select the fields and specify the display order.


• Specify the set of employees who will be part of the report (filter on employees)
• Specify the grouping criteria - for e.g. the report to be generated Department wise,
Location wise, Cost Center wise, etc
• Facility to have a total for each group - for e.g. a sub-total for each department or
each location
• Facility to have each group appear on a separate page - for e.g. each department to
appear on a separate page.
• Facility to generate the report either as a summary or as a listing of all employees
• All these (whether total is needed, whether to group by Department or Cost-Center,
whether needed on each page, etc) are configurable parameters and can be
configured by you
• Facility to create and store multiple Statements with each having a different set of
fields and other criteria
• Facility to export the statement into a PDF or an Excel file

Leave Reports
You can generate a number of pre-defined reports on the employee leave data. This is apart
from the adhoc reports that can be generated using the Query Builder module.
The reports that can be generated are:

• Leave Balance As On A Day


• Leave Availed Report
• Leave Encashment Report
• Negative Leave Balance
• Year Wise Summary Report
• Day Wise Leave Transaction Report
• Leave Transaction Report

Configurable Salary Heads

• Create unlimited number of salary components


• Define attributes for each components like carry forward to next month, show in
payslip, taxable, tax category, etc.
• Various components can be setup that are relevant for your business but that need
not appear in payslips.
• The values for the salary components can be:
o manually entered by you
o computed using a formula
o slab based lookups
o value lookups based on location, grade, department, employee type, etc.
o complex computation through a Payroll Agent (e.g. income tax, loan
deductions, reimbursements, FBP, etc.)

Payroll Reimbursements

• Unlimited reimbursement components like LTA, Medical, Car Maintenance, etc.


• Rule based upper limits for employee entitlements.
• Monthly or annual accumulation: For example, Medical Entitlement can be RS.
15000/- at the beginning of the year or can be 1250/- per month, accumulated and
carried forward every month.
• Get complete reimbursment information like opening balance, entitlement, closing
balance, previous transactions, etc. during claims process.
• Validation of claims against available balances with facility to override.
• Year end processing with balance transfer to other components.
• Show reimbursement components in regular payslips or generate separate
reimbursement payslips.
• Separate bank transfer statements for reimbursement components only.

Payroll Arrears

• Process arrears for one or more employees.


• Upload the employees whose arrears need to be processed from an Excel file.
• Arrears can be processed from any previous date across multiple periods and not
necessarily from the beginning of a period.
• The arrears components are shown separately in the payslip.

Payroll Loans

• Facility to create any number of loan types offered to employees like car loans,
house loans, furniture loans, salary advance etc.
• Capture extensive information about a loan like loan amount, start and end date,
interest type, number of installments, etc.
• Multiple interest types available: flat interest, reducing balance, reducing balance
EMI, etc.
• Loan principal and interest deducted are tracked and displayed separately.
• Facility for lump sump repayments outside of payrolls.
• Loans deductions automatically stop after total recovery.
• Automatically considered for recovery during final settlement.
• Various employee-wise and summary loan reports
Payroll Final Settlement

Greytip Online provides a complete and easy to use final settlement module.

• Employees can be resigned and settled or settled, included in the current month's
processing and resigned in the subsequent month.
• Settlements can be done for employees who are resigning in the current month or
who have resigned in earlier months.
• Automatically calculates outstanding loan balances, notice pay and leave
encashment
• Recovers all loan balances and income tax due.
• Settlement Calculation sheet provides full information on how the calculations have
been done.

Payslips

• Configure the format of the Payslip.


• Add personalized messages for individual employees or common message for all.
Upload messages from an Excel file too.
• Print, email or publish payslips on the Employee Self Service.
• Print Payslips in the order of your choice. by Department, by Location, by Location
and Department, etc.
• Generate password protected payslips in PDF formats and email to employees

Payroll Statements
Generate various reports and statements once your Payroll is processed. Some of the
statements that can be generated are:

• Salary Register
• Salary Register with provision for employee signature
• Bank Transfer Statement
• Generate Salary Transfer Statements for one or more Banks
o Generate Bank Statements either as print-out (hard-copy) or in a pre-defined
format
o All major Banks formats available - CitiBank, ICIC I Bank, HDFC Bank, etc.
• Generate statements for payment through Cash payout, Cheques or DD.
• Reconciliation statements that provides breakups across Payment Types and Banks
make the payout process error-free and easy.
