A quick guide to installing your new signature in Lotus Notes 8

Thank you for downloading the Certus Solutions utility for creating an HTML email signature in Lotus Notes 8. Implementing this utility allows you to customise the fields, colours and position of contact details in your email signature for a consistent visual standard across your organisation. This database contains two new design elements that need to be inserted into your mail file and two existing design elements that need to be replaced in your mail file. BEFORE YOU BEGIN

These instructions outline the high-level tasks required to implement the design components contained in this database and we recommend they be followed by an experienced and trained Lotus Notes and Domino 8 Application Developers. Modifying the mail file can result in your mail not functioning correctly or the file being completely corrupted and will not function at all. The modifications should only be performed by an experienced Lotus Notes Application Developer who has experience in this area. It is recommended that you retain a copy of the two existing design elements in your mail file that are being replaced (i.e. rename them). New design elements to be inserted in your mail file: CertusHTMLSig Script Library CertusHTMLSignatureFields Subform.

These design elements are for an R8 mail file based on the StdR8Mail template Version 8.0.1 (23/01/2008). Do not apply these changes to any other version of a mail file or a mail file that has been modified with other design changes.

Lotus Notes 8 HTML Email Signature Installation Instructions

1. Using Domino Designer insert the 4 design elements into a copy of your mail template remembering to rename the two existing design elements in your mail template so you can revert back to them if something goes wrong. Lock the design elements to avoid them being refreshed by future design changes. 2. Open the .CertusHTMLSig script library. The declarations section of the script library looks like this: Const CertusDisclaimerTXT = Disclaimer Text Goes Here Const CompanyWebSiteURL = Your Company Website Const CompanyName = Your Company Name Const ABN = Your Company ABN Change the constants values to suit your organisation. 3. With a copy of an existing mail file, refresh the design using the modified mail template. 4. Open the modified mail file with an R8 Notes Client. Select from the action bar: More > Preferences In the Preferences dialog box select the Signature Tab. Check the Automatically append a signature to the bottom of my outgoing mail messages Select the HTML Signature option. Finally complete the fields to personalise your signature and select OK.
