Registration 1. Registration fees are calculated in Euro and payable in either Euro or the Rand equivalent depending on your choice of payment method. 2. Full pre-payment of the selected registration fee is required. 3. Registration fees for participants includes: Attendance at the conference, conference bag with conference proceedings & welcome reception. 4. The Early Bird registration fee will be effective only if the registration and payment is done by 17 June, with a possible extension of 5 days for the payment (until 22 June 2011). 5. The discount will not be applied to any registration done after 17 June. 6. The receipt of your registration form will be confirmed within 48 72 hours. Cancellations and Refunds The Congress Secretariat must be notified in writing about the cancellation of the registration. The appropriate refunds will be made after the Congress. The following cancellation conditions apply: 1. Cancellations received by 30 June 2011 - full refund of the registration fee less 30 EUR handling fee 2. Cancellations received from 1 July 2011 till 31 August 2011 80% of the registration fee less 30 EUR handling fee will be refunded 3. Cancellations received on and after 1 September 2011 - no refund

Accommodation, Tours and Social Events

1. All Accommodation, Tours and Social Events are quoted in Rands and payable in either Rands or the Euro equivalent depending on your choice of payment method. 2. A one night deposit is required on all accommodation with the full balance payable no less than 60 days before date of first arrival. 3. A minimum 50% deposit is required on all Tours and Social Events with the balance payable no later than 60 days prior to the date of first arrival. 4. If payment by invoice is selected rooms are not guaranteed until the deposit payment is received. In the event that a deposit is received but the room is no longer available, the delegate will be offered alternative accommodation, at the corresponding rate as the case may be, or a full refund of his deposit. 5. Travel Vouchers and tickets will only be issued once full payment has been received. Cancellations and Refunds CityGuideSA must be notified in writing about the cancellation of any booking or reservation. The appropriate refunds will be made after the Congress. The following cancellation conditions apply: 1. Cancellations received before 1 August - full refund less 30 EUR handling fee 2. Cancellations received between 1 August 2011 and 31 August 2011 75% refund less 30 EUR handling fee 3. Cancellations received between 1 September 2011 and 15 September 2011 50% refund less 30 EUR handling fee 4. Cancellations received after the 15 September 2011 will not be refunded Where possible CityGuideSA will endeavour to resell any cancelled room, tour or ticket and in this instance will refund any recovery made to the client despite the cancellation terms above. Availability Whilst every effort will be made to keep the inventory levels of Accommodation, Tours and Social Events up to date on the web site all reservations will still be SUBJECT TO AVAILABILITY In the event that a reservation is made through the website but there is no longer any availability a full refund will be issued without deduction or levy. No availability guarantee is made until either a deposit or full payment is received. Online Payments 1. Only credit cards may be used to pay online 2. All online payments are subject to a 2.5% convenience fee. 2. Only full payment can be done by credit card via this web site 3. If you would like to make a partial (deposit) payment by credit card please select the invoice payment option and make note of this in the comments section of the checkout.
