Dear Sirs, Following frequent complaints from coustomers and a very poor sales showing you had asked me to pay a surprise visit to our branch sales out-let at Boisor and report to you. I went to Boisor unannounced on Thursday, 4th May , and was at the branch office before opening time at 9.00 a.m. Till 10.30 I sat with the other customers in the waiting room and fortunately was not recognized. After that I went into the managers office and after identifying myself went through the books and interviewed the staff and the cross section of the customers. FINDINGS:1. All the staff report late for work and the manager was the last to stroll in at 10.15 a.m. 2. The manager has employed 4 of his own relatives and all confidential work is interested to them only. 3. On account of the partisan attitude of the manager the other workers feel frustrated and this is reflected in their poor application to work and customer service. 4. The Assistant Manager is a capable and sincere person but suffers from very poor health. 5. No proper attendance records are maintained. 6. Money collected from customers is not immediately deposited in the bank but is kept in the mangers room. 7. Petty cash is not checked on a weekly basis, and the stationery clerk does not have a proper postage register. 8. The workers and customers are quite dissatisfied with the canteen service on account of poor quality food and lack of cleanliness. RECOMMENDATIONS:1. That the manager be immediately send on leave prior to compulsory Retirement 2. That the Assistant Manager be superseded and charge be handed over 3. to the senior accountant. 4. Mr. Padgankar be sent over from the head office on deputation for period of 15 days to supervise the proper maintaince of books and introduced proper systems of checks and balances. 5. COMMITTEE REPORT ON DECLINE IN BUSINESS.

REPORT ON THE CAUSES OF THE DECLINE IN THE BANKS BUSINESS DURING 1997-1998 SUBMITTED TO THE GENERAL MANAGER GOLDFLAKE BANK LTD. Following the instructions contained in the resolution of the Board of Directors meeting on 5th January,2004, your committee made a through investigation into the causes leading to a decline in the Banks Business during the year 2001-02. For the purpose of the investigation in the committee examined conditions at the head office and also visited the banks branches in Kanpur, Chennai, Kolkata and Bilaspur. COMPETITION:It is the course of last year, five new banks have commenced business in urban areas with a few branches in rural areas. In addition, the established banks have opened as many as 2,500 new branches all over the country.Most of the new banks have started a dynamic advertisement campaign with special emphasis on vernacular advertising. The Goldflake Banks advertising campaign in comparision is fleeble and most of it being in English, is confined to urban area. STAFF CONDITION AND EFFICIENCY:Owing to the constant hostile relation between the management and the staff and frequent union threats to strike, the clerical and counter staff have developed an anti-institutional psychosis. This is reflected in the deteriorating efficiency and also on the treatment meted out to customers. Several accounts at the Head Office and at the branch offices have been closed following complaints of discourteous treatment. RISE IN PAY-SCALES AND D.A. TO STAFF:Even assuming that deposit had remained constant (which they have not) the bank would have been to show a profit position owing to the sudden rise in pay-scale of clerical and inferior staff and the corresponding increase in dearness allowance payable. The situation has been made worst, as already pointing out, by the fall in the deposits level. RECOMMENDATION:1. That the bank cease to do its own advertising and entrust the work to a specialised agency. This will enable the bank to reach rural population with its message. 2. That the Public Relation Department be set up to deal with staff relation

and that the management make all efforts to remove the hostile attitude of the staff. 3. That the branches offer more services to customers as a device to attract depositers . For instance, special loans at concessional rates can be offered for the purchase of household furniture or purchase of scooters and motor-cars.
