INTRODUCTION OF ERP-

Enterprise resource planning (ERP) systems integrate internal and external management information across an entire organization, embracing finance/accounting, manufacturing, sales and service, customer relationship management, etc. ERP systems automate this activity with an integrated software application. Their purpose is to facilitate the flow of information between all business functions inside the boundaries of the organization and manage the connections to outside stakeholders. ERP systems can run on a variety of computer hardware and network configurations, typically employing a database as a repository for information.

Characteristics ERP (Enterprise Resource Planning) systems typically include the following characteristics: An integrated system that operates in real time (or next to real time), without relying on periodic updates. A common database, which supports all applications. A consistent look and feel throughout each module. Installation of the system without elaborate application/data integration by the Information Technology (IT) department.

Data services Various "selfservice" interfaces for customers, suppliers and/or employees. HISTORY AND EXPANSION-

It was first used in 1990s as an extension of material resource planning (MRP), later manufacturing resource planning and computer-integrated manufacturing. Not all ERP packages were developed from a manufacturing core. Vendors variously began with accounting, maintenance and human resources. By the mid1990s ERP systems addressed all core functions of an enterprise. Beyond corporations, governments and nonprofit organizations also began to employ ERP systems. ERP systems experienced rapid growth in the 1990s. Many companies took this opportunity to replace such systems with ERP. This rapid growth in sales was followed by a slump in 1999 after these issues had been addressed. ERP systems initially focused on automating back office functions that did not directly affect customers and the general public. Front office functions such as customer relationship management (CRM) dealt directly with customers, or ebusiness systems such as ecommerce, egovernment, e telecom, and efinance, or supplier relationship management (SRM) became integrated later, when the Internet simplified communicating with external parties. "ERP II" was coined in the early 2000s. It describes webbased software that allows both employees and partners (such as suppliers and customers) realtime access to the systems. "Enterprise application suite" is an alternate name for such systems. Best practices are incorporated into most ERP systems. This means that the software reflects the vendor's interpretation of the most effective way to perform each business process. Systems vary in the convenience with which the customer can modify these practices. Companies that implemented industry best practices reduced timeconsuming project tasks such as configuration, documentation, testing and training. In addition, best practices reduced risk by 71% when compared to other software implementations.

IMPLEMENTATIONERP's scope usually implies significant changes to staff work processes and practices. Generally, three types of services are available to help implement such changesconsulting, customization, and support. Implementation time depends on business size, number of modules, customization, the scope of process changes, and the readiness of the customer to take ownership for the project. Modular ERP systems can be implemented in stages. The typical project for a large enterprise consumes about 14 months and requires around 150 consultants. Small projects can require months; multinational and other large implementations can take years. Customization can substantially increase implementation times.

PROCESS PREPARATIONImplementing ERP typically requires changes in existing business processes. Poor understanding of needed process changes prior to starting implementation is a main reason for project failure. It is therefore crucial that organizations thoroughly analyze business processes before implementation. This analysis can identify opportunities for process modernization. It also enables an assessment of the alignment of current processes with those provided by the ERP system. Research indicates that the risk of business process mismatch is decreased by

linking current processes to the organization's strategy; analyzing the effectiveness of each process; Understanding existing automated solutions.

ERP implementation is considerably more difficult (and politically charged) in decentralized organizations, because they often have different processes, business rules, data semantics, authorization hierarchies and decision centers. This may require migrating some business units before others, delaying implementation to work through the necessary changes for each unit, possibly reducing integration (e.g. linking via Master Data Management) or customizing the system to meet specific needs. A potential disadvantage is that adopting "standard" processes can lead to a loss of competitive advantage. While this has happened, losses in one area are often offset by gains in other areas, increasing overall competitive advantage. CONFIGURATIONConfiguring an ERP system is largely a matter of balancing the way the customer wants the system to work with the way it was designed to work. ERP systems typically build many changeable parameters that modify system operation. For example, an organization can select the type of inventory accounting FIFO or LIFOto employ, whether to recognize revenue by geographical unit, product line, or distribution channel and whether to pay for shipping costs when a customer returns a purchase. DATA MIGRATIONData migration is the process of moving/copying and restructuring data from an existing system to the ERP system. Migration is critical to implementation success and requires significant planning. Unfortunately, since migration is one of the final activities before the production phase, it often receives insufficient attention. The following steps can structure migration planning:

Identify the data to be migrated Determine migration timing Generate the data templates Freeze the toolset Decide on migration-related setups Define data archiving policies and procedures.

ADVANTAGESThe fundamental advantage of ERP is that integrating the myriad processes by which businesses operate saves time and expense. Decisions can be made more quickly and with fewer errors. Data becomes visible across the organization. Tasks that benefit from this integration includeSales forecasting, which allows inventory optimization Chronological history of every transaction through relevant data compilation in every area of operation. Order tracking, from acceptance through fulfillment Revenue tracking, from invoice through cash receipt Matching purchase orders (what was ordered), inventory receipts (what arrived), and costing (what the vendor invoiced)

ERP systems centralize business data, bringing the following benefits: They eliminate the need to synchronize changes between multiple systemsconsolidation of finance, marketing and sales, human resource, and manufacturing applications They bring legitimacy and transparency in each bit of statistical data. They enable standard product naming/coding. They provide a comprehensive enterprise view (no "islands of information"). They make real time information available to management anywhere, any time to make proper decisions. They protect sensitive data by consolidating multiple security systems into a single structure.

DISADVANTAGESCustomization is problematic. Reengineering business processes to fit the ERP system may damage competitiveness and/or divert focus from other critical activities ERP can cost more than less integrated and/or less comprehensive solutions. High switching costs associated with ERP can increase the ERP vendor's negotiating power which can result in higher support, maintenance, and upgrade expenses. Overcoming resistance to sharing sensitive information between departments can divert management attention. Integration of truly independent businesses can create unnecessary dependencies. Extensive training requirements take resources from daily operations. Due to ERP's architecture (OLTP, On-Line Transaction Processing) ERP systems are not well suited for production planning and supply chain management (SCM)

The limitations of ERP have been recognized sparking new trends in ERP application development, the four significant developments being made in ERP are, creating a more flexible ERP, Web-Enable ERP, Interenterprise ERP and e-Business Suites, each of which will potentially address the failings of the current ERP.

INTRODUCTION OF BIG BAZAARBig Bazaar is a chain of hypermarket in India. Currently, there are 214 stores across 90 cities and towns in India. Big Bazaar is designed as an agglomeration of bazaars or Indian markets with clusters offering a wide range of merchandise including fashion and apparels, food products, general merchandise, furniture, electronics, books, fast food and leisure and entertainment sections. Big Bazaar is part of Future Group, which also owns the Brand Factory, Pantaloons, eZONE, HomeTown, KB's Fair Price to name a few and is owned through a wholly owned subsidiary of Pantaloon Retail India Limited, that is listed on Indian stock exchanges. HISTORYBig Bazaar was launched in September, 2001 with the opening of its first four stores in Calcutta, Indore, Bangalore and Hyderabad in 22 days. Within a span of ten years, there are now 152 Big Bazaar stores in 90 cities and towns across India. Big Bazaar was started by Kishore Biyani, the Group CEO and Managing Director of Pantaloon Retail. Though Big Bazaar was launched purely as a fashion format including apparel, cosmetics, accessory and general merchandise, over the years Big Bazaar has included a wide range of products and service offerings under their retail chain. The current formats include Big Bazaar, Food Bazaar, Electronic Bazaar and Furniture Bazaar. The inspiration behind this entire retail format was from Saravana Stores, a local store in T. Nagar, Chennai. The stores are customized to provide the feel of mandis and melas while offering the modern retail features like Quality, Choice and Convenience. As the modern Indian family's favorite retail store, Big Bazaar is popularly known as the "Indian Walmart". On successful completion of ten years in Indian retail industry, in 2011, Big Bazaar has come up a new logo with a new tag line: Naye India Ka Bazaar, replacing the earlier one: 'Isse Sasta Aur Accha Kahin Nahin'. Most Big Bazaar stores are multi-level and are located in stand-alone buildings in city centers as well as within shopping malls. These stores offer over 200,000 SKUs in a wide range of categories led primarily by fashion and food products. Food Bazaar, a supermarket format was incorporated within Big Bazaar in 2002 and is now present within every Big Bazaar as well as in independent locations. Problems of the organization1. Service delivery/ Logistics perception is weak. 2. Negative environment. 3. Top management takes lot of time to approve for new ideas.

ROLE OF ERP/SAP IN BIG BAZAARThe SAP is being used in Big Bazaar specifically for the purpose of Inventory Management and Supply Chain Management. Inventory is the list of goods and material which are held available for production process or for sale to the customer. RETAIL INVENTORY is to keep the wide variety of stock along with the appropriate quantity. Retail Inventory Management is used to keep track of the stock and these methods control everything from ORDERING, SHIPPING, RECEIVING, TRACKING INVENTORY AND STORAGE. For managing inventory of BIG BAZAAR they used SAP SOFTWARE. The data entry of all the materials sold in one day are noted down under this system which further helps in identifying the remaining material i.e. inventory management in the store. It is used by back office for maintain the data, general ledger, generating purchase order, inwarding of goods etc. Supply chain management software cuts down the time taken for the supplies to arrive from the vendor and reduces the inventory levels thus cutting cost. On the marketing side, it ensures that products the inventory levels thus cutting cost. On the marketing side, it ensures that products reach the end customers in time to fulfill their demand. Customer Relationship Management Companies offering products core operations including customer relationship management, inventory and distribution ordering etc. How much an item gets sold depends also on how items are displayed within the store and lots of considerations go into it. From where the customer gets down from the vehicle, what items/offers he/she sees first, from which hand he picks up an item to take a closer lookall these factors influence the decision. SAP is vast software in which the organization needs to buy the commands. Each command has their specific user id which the organization needs to buy for its functioning. Currently if we talk about the store of Big Bazaar located in Sahara Ganj Mall, there are 4 commands which are currently using in their store. In the last few days Big Bazaar has declined the number of commands they were using due to the misbalance being shown in their Profit and Loss account. Therefore, decreasing the number of commands means maintaining their Profit and Loss Accounts.

Software they use for the same purpose is REM. It is used POS (Point of Sales) to generate the cash memos, keeps record of goods sold and upload the information to SAP. It records all the sale of goods at POS. It also keeps the record of the stock on hand at that time and automatically update in SAP. The purpose of doing such scanning is to update the record of items available in the store. As scanning is done and bill is being prepared, at the same time with the help of codes given to the operator the inventory details of the items in the store is reduced so and so number being sold by them. It also helps in identifying the proper number of items sold in particular category. Big Bazaar has average sales of 10-15 lakhs daily almost 50-60% in form of cash. The cash is kept in cash room which is very risky It does not have warehousing facility. Since Big Bazaar is using SAP from the beginning itself, there are no issues regarding its working or its processing. The employees are very much comfortable with and in nearby future also they are planning to continue with the same process.

CHALLENGES IN SAP IMPLEMENTATION


1. Business problems, financially problems. 2. Conflicts between project team. 3. Training given to the employees. 4. Lack of Management support. 5. Lack of proper scope. 6. Lack of proper management of new changes taken place in the organization. 7. Excellent resources.

FEATURES OF SAP-

1. Easy Data Access. 2. Provides Data Security. 3. Auditing dashboard available for central administration. 4. Easy inventory management 5. Optimum utilization of resources.

6. Due to single system being used by the Big Bazaar there are less chances of switching
over the new system in the coming years. 7. The employees are very much comfortable with the working of the SAP in their organization. It is very user-friendly.

Conclusion: The SAP is being used in Big Bazaar specifically for the purpose of Inventory Management and Supply Chain Management. SAP has made the work of BIG BAZAAR much easy and it helps BIG BAZAAR in maintaining its database and customer record and other basic information in an efficient and proper manner, thereby bringing more systematic flow of work in BIG BAZAAR and reducing the work load of the employees.
