Hiding/Unhiding and Working with Visible Cells

Sample Worksheets in this Workbook Sample Data, Hidden Data and Calculations, Hidden Data and Charting Hiding Excel Elements When you hide parts of a workbook, the data is removed from view but is not deleted from the workbook. If you save and close the workbook, the hidden data remains hidden the next time the workbook is opened. If you print a range with hidden data, Excel doesn't print the hidden cells. Hiding Workbooks and Worksheets Hide workbooks or work sheets to reduce the number of windows and sheets on the screen or to prevent changes. For example, hide sheets that contain sensitive data or hide a workbook containing macros so that the macros can run but the macro workbook isnt visible. A workbook or worksheet you hide remains open, and other documents can use the information. Choose Window, Hide to hide the current workbook. To display a hidden workbook, open Excel, choose Window, Unhide and choose the hidden workbook from the dialog that displays. Choose Format, Sheet, Hide from the menus to hide a worksheet. To unhide the worksheet, choose Format, Sheet, Unhide and choose the sheet name to unhide. Hiding Rows and Columns Hide selected rows and columns of data that you aren't using or to simplify or condense. Adding a Protective Password Protect a hidden workbook, worksheet or sheet elements with a password. Add a password by choosing File, Save As and clicking the Tools drop-down menu at the upper right of that dialog. From the drop down list that displays, choose General Options and then complete the password information. Hiding Window Elements You can hide most window elements including the Windows taskbar and the Excel title bar, toolbars, the formula bar, and the status bar. These elements are hidden as long as the workbook is open. If you close and reopen the workbook theyre redisplayed. Use the commands View, Full Screen.

How Functions Handle Hidden Data Excel's autofilter has been used here to display a subset of the sample data. The list rows that didn't meet the criteria are hidden. 478,507 - Is the sum of only the currently visible Volume values. The SUBTOTAL function must be used (or use the alternative technique described below). Syntax: =SUBTOTAL(9,$E$18:$E$1105) 27,543,071 - Is the sum of all Volume values in the list, whether visible or hidden. The SUM function is used. Syntax: =SUM($E$20:$E1107) What to Expect/Alternative Technique If you use the SUM function and drag over a subsetted list range to select the data to sum, or if you reference the data with a range name, your results may be unexpected because Excel will include in the sum the data in any hidden cells in the range. To avoid this problem, drag over the subsetted range, click F5 to open the "Go To" dialog, and choose "Special". On the "Go To Special" dialog that displays, choose "Visible cells only", then name the selected range.
