The purpose of this procedure is to define the guidelines for handling Site Queries.

The scope of this procedure covers Site Queries raised by any MMG Department at all project sites.

SITE QUERIES
Are questions raised at a project site which are addressed to the Customer or Customer Representative for clarification.

PROJECT MANAGER In overall charge of the project operation, reviews and approves all Site Queries raised in the project site. FIELD ENGINEERING SUPPORT GROUP SUPERVISING ENGINEER Supervise the Field Engineering Support Group, raise Site Queries and review those originating from other departments. FIELD ENGINEERS Raise Site Queries for identified field problems, changes in drawings & specifications, field re-routing problems and conduct site verification for recommendation of proposed resolution.

Responsible for receiving, recording, distribution and updating all Site Queries passing through the office of the Field Engineering Support Group.
PROJECT DEPARTMENT HEADS Responsible for raising Site Queries regarding their respective work discipline.

Field Engineering Support Group will review all incoming construction drawings, specifications and applicable standard references, conflicts between a drawings and specification for any applicable standard reference shall be addressed for the attention of the Customer Representative, in writing, using Site Query Form No. END-3-013A. Field Engineers shall conduct a daily field inspection of work in progress, and take note of any field problem encountered by Project Team members, Such problems may involve the re-routing of lines (piping, electrical, cables, conduits, ductwork and etc..) obstruction due to existing facilities, grade elevations, dimensions and locations on drawings, differing from the actual site condition and such other field problems requiring clarifications by the Customer or Customer Representative. The Field Engineering addresses this in writing, using Site Query Form No. END-4-013A.

The originating Discipline Project Department Heads/Manager and Field Engineering Support Group Supervising Engineer will review the Site Query raised in project site, to verify the technical aspects of the query , and recommend a Proposed Resolution.

If the Site Query requires clarification from the Customer or Customer Representative, the Originating Project Department Heads/Manager and Field Engineering Support Group Supervising Engineer shall sign the site Query and forward for approval of the Project Manager. The approved Site Queries are recorded by the Document Controller in the Site Query Tracking Log (Form No. END-4013B) and forward to the Customer or Customer Representative. Any response from the Customer Representative shall be reviewed by the Project Manager and the Field Engineering Support Group Supervising Engineer before it is forwarded to Construction Manager / Discipline Superintendent for implementation. The Document Controller shall complete the record on the Site Query Tracking Log, and file a copy of the Site Query.

PROCEDURE FOR SITE QUERY


Site Queries are questions raised at a project site, address to Customer for clarification. Site Queries are raised by MMG at the project site.

SITE QUERY RAISED BY FIELD ENGINEERING


Field Engineering Support Section will review all incoming construction drawings, specification, applicable standards, references and other project documents, issued by the Customer at the project site. Conflicts between the drawings and specification or any applicable standard reference shall be addressed for the attention of the Customer or Customer Representative, in writing, using Site Query Form No. END4-013A. Field Engineering shall raise Site Query on problem encountered during Field Operations, which need clarification / and/or decision by Customer or Customer Representative before the work can be performed or continued. Such problem may involve re-routing of lines (piping, electrical cables, conduits, duct works, and etc) obstruction due to the existing facilities, grade elevations, and location on the drawing differing from the actual site conditions, and such other field problems. Site Query address in writing using the Site Query Form No. END-4-013A.

The originating Discipline Project Department Heads / Managers and Field Engineering Manager or Supervising Engineer will review the Site Query to verify the technical aspects of the query and recommend a Proposal Resolution. Site Query is then forwarded to the Project Manager for approval. Approved Site Queries are then transmitted to the Customer or Customer Representative. Site Query is recorded by MMG Document Controller using the Form END-4-013B (Site Query Tracking Log)

Customer or Customer Representative will evaluate the Site Query. Customer may either decide to approve the recommended Proposed Resolution or make comments on the proposed resolution for implementation.
The Site Query will be forwarded to Originator, Construction Manager / Discipline Superintendent for implementation. MMG Document Controller completes the record on the Site Query Tracking Log and file a copy of the Site Query.
NOTE : In some cases, a Site Query may necessitate the raising of a Change Request Form END-4-004C shall be prepared by the Field Engineering in accordance with Procedure END-3-004 Project Field Change?
