General rules
Font type and size: Times New Roman, 11 point (AOBodyTxt)
Line and paragraph spacing: at least 13 pt
Aligning text:
Text should be fully justified in all documents

Use • to indicate a space to insert information in a paragraph at a later stage

Never use a full stop at the end of a heading

No space before semicolon, colon, question mark or exclamation mark

• Keep your use of abbreviations (eg ASAP, FYI, BTW) to a minimum. They can
lead to confusion if unknown to the recipient

• Do not use capital letters to emphasise a point. IF YOU USE CAPITAL

Track changes

• Track Changes is a way


for Microsoft Word to
keep track of the changes
you make to a document.
You can choose to accept
or reject those changes.

• Track changes in balloons

Red strikethrough for


deletions and Blue underline
for insertions.

Page Breaks
Page breaks only start you on the next page; all formatting will be kept the same from your
original page to your new one

Page breaks come in use when you want to After inserting break, double click on the
restart or change page numbering Header and Footer from the new page, and
deselect Link to Previous. After this step you
can start a new page numbering.

Table of contents
Step 1: Apply
heading styles
Select the text you
want to include in
the table of contents,
and then on the
Home tab, click a
heading style, such
as AOHead 1 – if
your documents it’s
already formatted
you don’t need to
follow this step.

Table of contents (1) Go to Options > then press Reset from Table of Contents Options
Step 2: Add table of contents
Go to References > Table of Contents, and then choose
Insert Table of Contents from the list.

Search in your list your sequence(s)


and type “1” if you want the
information to appear on the first
indent, or “2” to appear with one tab
to the right, etc.
