INTRODUCTION TO MIS

Management information system is a system consisting of people, machinery procedures, database and data models, as its elements.

A MIS is comprised of computer based processing and/or manual procedures that provide useful, complete, and timely information.

This information must support management decision making in a rapidly changing business environment.

The system implementation stage involves hardware and software acquisition, software development , testing of programs and procedures ,development of documentation, site preparation, user training in the operations and installation of the system.

Implementation is a process of installing a newly developed MIS at ausers premise and continously getting the output it was designed to generate.

It is a process of converting from an old system to a new system.

PLANNING THE IMPLEMENTATION PHASE


The first step of MIS Implementation is to plan it. The plan pre-requisite and is known as pre implementation activity.

Various activities, which are required for implementing a system, are identified and their sequence and relation to each other is decided.

Various other estimates like time required for each activity and cost estimate are also obtained.

It uses various tools like Gantt charts, Network Diagrams,etc.

ACQUISITION OF FACILITIES AND SPACE PLANNING PHASE


Replacing of old system in an organisation with a modified system requires acquisition of facilities like office, computer room, computer library, etc.

The MIS manager require to prepare estimates of floor space requirement and also rough layouts.

Space planning should occuipied by computers, terminal printers etc. as also by people and their movement.

MIS ORGANISATION AND PROCEDURE DEVELOPLMENT PHASE


It will help to manage the user resistance to change and increase their acceptance.

It is right time that manager stare recruiting new personnel.

Various activities may include evaluating and selecting hardware, buying or developing software, implementation, testing of the system etc.

USER TRAINING

PHASE

The end user are trained to operate the new system. Group training is generally preferred. Its better use of time and it encourages group learning possibilites.

Fundamental of information system technology should given.

ACQUISITION OF HARDWARE AND SOFTWARE PHASE

It should start immediately after the design specification of the system are over.

It may quite complex and time consuming. The activities like installing the hardware such as site preparation work ,computer room layout ,air conditioning, electric connections, communication lines etc should be completed to avoid loss of time in making the system opertional.

CREATION FORMS AND DATABASE PHASE


  

Forms are very important for transmitting data. Required for input and output in the system. The actual data should be obtained and the database created, which is used ,in the first instance, for the initial besting and the actual opertation of the information system start.

TESTING PHASE

Testing of newly developed activity is important activity. It involves system testing and debugging, hardware devices, testing, computer programs and testing information processing procedures.

Progams are sub divided different modules. Program testing usually require from higher to lower of programs modules untill the entire program is tested as a unit.

DOCUMENTATION PHASE

It includes manual of operating procedures and sample data entry display screens, forms, and reports.

System documentation manuals may be prepared to finalize the documentation of a large system.

It serves as a method of communication among people responsible for developing, implementing and maintaining a computer based system.

CHANGEOVER PHASE

It is the event of switch over from the old system to the new system, which takes place after the system is tested and found reliable.

The existing system is replaced by the new system. Conversion can be done by selecting one or a combination of various conversion approaches.

HARDWARE AND SOFTWARE ACQUISITON PHASE


Minimun acceptable physical and performance characteristics for all hardware and software requirements by listing are established.

Most of the govt.agencies formulate document called on RFP on RFQ.
